How to Export Contacts From Any CRM (CSV & Excel)
Switching CRMs, consolidating tools, or just need a backup of your contacts? Every major CRM lets you export contacts as a CSV or Excel file — you just need to know where to click. This guide covers the exact steps for ten of the most popular platforms.
Salesforce
The fastest way to export Salesforce contacts is through the Reports tab.
- Click the Reports tab in the top navigation.
- Click New Report.
- Select Contacts & Accounts as the report type, then click Start Report.
- Add or remove columns to include the contact fields you need.
- Click Run Report.
- Click the Export dropdown and choose Details Only.
- Select CSV as the file format.
- Click Export.
Bulk export alternative: Go to Setup (gear icon) > Data > Data Export > Export Now, check Contacts, and click Start Export. You’ll receive an email when the ZIP file is ready. Files stay available for 48 hours.
Good to know: CSV exports have no row limits. XLSX format caps at 100,000 rows and 100 columns. You need the “Export Reports” permission.
HubSpot
- Go to CRM > Contacts in the top navigation.
- Apply any filters or select a saved view to narrow results (optional).
- Click the Export button in the upper-right corner.
- Choose All properties or Selected properties to pick specific columns.
- Select your file format: CSV, XLS, or XLSX.
- Click Export.
- You’ll receive an email with a download link (expires after 30 days).
Good to know: CSV files over 2 MB are automatically zipped. Exports exceeding 1,000,000 rows are split into multiple files. Max 300 exports per 24 hours.
Zoho CRM
- Click the Setup gear icon (top right).
- Under Data Administration, click Export.
- Click Start an Export.
- From the Module dropdown, select Contacts.
- Choose a list view (e.g., “All Contacts”) or select Based on Criteria to filter.
- Choose to export all fields or select specific fields.
- Click Export.
- When the status shows Completed, click Download to save the CSV.
Good to know: You can export up to 200,000 records at once. Downloaded files are available for 7 days. You need the “Export” module permission.
Pipedrive
- Go to Contacts > People in the left sidebar.
- Apply any filters you need, or use “All People.”
- Click the three dots (…) in the upper-right corner.
- Select Export filter results.
- Choose CSV or Excel (XLSX).
- The file downloads automatically.
Admin full export: Go to More (…) in the left nav > Export data > select People > choose CSV or Excel > click Download.
Good to know: Only global admins and users with export permissions can use the full Export Data feature. Generated files remain available for 28 days.
Attio
Export a list or view:
- Open the list or All Records page that contains your contacts.
- Make sure every column (attribute) you want is visible in the table view.
- If you’ve applied filters, click Save for everyone so the export respects them.
- Click Import / Export in the top-right corner.
- Select Export view as CSV or Export view as Excel.
- The file downloads immediately.
Full workspace backup:
- Click your workspace name in the upper-left corner and select Workspace settings.
- Under the General tab, find Export Workspace data and click Start new export.
- Wait for it to reach 100%, then click the download icon.
- You’ll get a ZIP file containing CSVs for people, companies, lists, notes, tasks, and more.
Good to know: Enriched data (data auto-filled by Attio) is excluded from exports — only manually-added data is included. Enterprise admins can restrict export access to admins only via Security settings.
Monday.com CRM
Monday.com exports to Excel only — no native CSV option.
Export a single group:
- Navigate to the board where your contacts live.
- Click the three-dot menu (…) next to the group name.
- Select Export to Excel.
Export an entire board:
- Click the three-dot menu (…) at the top-right of the board.
- Select More actions > Export board to Excel.
Need a CSV? Open the downloaded .xlsx file in Excel or Google Sheets and use Save As > CSV.
Good to know: Full board export requires a Pro or Enterprise plan. Account-wide export requires admin access.
Freshsales (Freshworks)
- Click your profile icon or go to Admin Settings.
- Scroll to the Account section.
- Click Export data.
- Select a time period for the export.
- Check Contacts (and any other record types you want).
- Click Export.
- A ZIP file containing CSVs will be emailed to you.
Good to know: Requires admin-level access. You can export up to 5 times per day; a full-range export is limited to once per day.
Oracle CX Sales
Oracle’s export lives inside the Import/Export Management tool.
- Navigate to Tools > Import and Export Management.
- Click Export to create a new export job.
- Select Contact as the object type.
- Choose which contact fields to include, or select all.
- Add any filters to narrow the export (optional).
- Click Submit. Oracle processes the export in the background.
- When the status shows Completed, click the job to download the CSV file.
For Oracle Eloqua (marketing contacts): Go to Audience > Tools > Data Export and Import > Data Export tab > click Add. Select Contact as the data type, choose your contact list or segment, then click Save and Run now. A download link is emailed to you and stays active for 14 days.
Good to know: Exports over 1 million records require multiple export jobs. Eloqua contact exports time out after 6 hours. You can schedule recurring exports or upload directly to an SFTP server.
Copper
- Navigate to the People list view from the left sidebar.
- Use filters to narrow down contacts, or keep the default view for all records.
- Select records by checking the box in the upper-left of the list (selects all in view).
- Click the three-dot menu (…) at the top of the list.
- Select Export List.
- Choose whether to export selected records, all records, or all records matching your filter.
- The file downloads as an Excel (.xlsx) file.
Need a CSV? Open the downloaded .xlsx in Excel or Google Sheets and use Save As > CSV.
Good to know: Exporting requires a permission that your admin must enable. Copper exports to Excel (.xlsx) only — no native CSV option.
Close
- Go to the Leads tab in the left sidebar.
- Use the search bar or filters to narrow results, or leave it unfiltered for all leads.
- Click the three-dot menu (…) at the top of the list.
- Select Export.
- Choose your export type: Leads, Contacts, or Opportunities.
- Select format: CSV or JSON.
- Choose Common fields or All fields.
- Click Export. The file downloads when ready.
Good to know: You can only export from a Leads Smart View — not from a Contacts Smart View. If you need contact-level data, export from the Leads tab and select “Contacts” as the export type. CSV is the best format for spreadsheet use.
