How to Have Carly Reach Out on Your Behalf
What if you didn’t have to send the first email? What if you could just tell Carly “reach out to Sarah and schedule a call” — and Carly starts the conversation, handles the back-and-forth, and texts you when it’s done?
That’s delegated outreach. It’s one of Carly’s most powerful features, and most people don’t know it exists.
How It’s Different from CC Scheduling
With CC scheduling, you write the email and add Carly to the CC. You start the conversation.
With delegated outreach, Carly starts the conversation. She emails the person directly, introduces herself as your assistant, and handles everything from there. You’re not on the email thread at all — unless you want to be.
The Basic Flow
You Tell Carly Who to Reach Out To
From: you@yourcompany.com To: carly@usecarly.com Subject: Reach out to Sarah
Hey Carly, reach out to sarah.chen@designlab.co and schedule a 45-minute call sometime next week. We’re going to discuss the brand refresh project.
Carly Sends the Email
Carly drafts a professional email and sends it:
From: carly@usecarly.com To: sarah.chen@designlab.co Subject: Scheduling a call with [Your Name] — Brand refresh project
Hi Sarah,
I’m Carly, [Your Name]‘s scheduling assistant. [Your Name] would like to set up a 45-minute call with you next week to discuss the brand refresh project.
Here are some times that work:
- Monday, March 3 at 10:00 AM EST
- Tuesday, March 4 at 2:00 PM EST
- Thursday, March 6 at 11:00 AM EST
Do any of these work for you? If not, let me know your availability and I’ll find something.
Best, Carly
Carly Handles the Replies
Sarah replies directly to Carly:
From: sarah.chen@designlab.co Subject: Re: Scheduling a call with [Your Name]
Hi Carly, Tuesday at 2pm works perfectly!
Carly confirms and creates the event:
From: carly@usecarly.com Subject: Re: Scheduling a call with [Your Name]
Great! I’ve scheduled it:
Brand Refresh Discussion — [Your Name] & Sarah
Tuesday, March 4 at 2:00 PM EST
Zoom link included
Calendar invites are on the way. Looking forward to it!
You Get an Update
Carly sends you a separate notification:
From: carly@usecarly.com To: you@yourcompany.com Subject: Meeting scheduled with Sarah Chen
I’ve scheduled your call with Sarah Chen:
Brand Refresh Discussion
Tuesday, March 4 at 2:00 PM EST
Zoom link included
The calendar invite has been sent to both of you.
You didn’t have to do anything after that first email to Carly.
Reaching Out to Multiple People
You can ask Carly to schedule with several people individually:
To: carly@usecarly.com Subject: 1:1s with my reports
Reach out to each of these people and schedule 30-minute 1:1s with me next week:
Morning slots preferred.
Carly sends separate emails to each person and schedules them independently. You get notified as each one is confirmed.
Using Groups for Bulk Outreach
If you’ve set up a group in your dashboard (like “Direct Reports” or “Sales Team”), you can do this even faster:
To: carly@usecarly.com Subject: Team 1:1s
Reach out to my direct reports and schedule 30-minute 1:1s with each of them next week.
Carly handles outreach to everyone in the group.
Tracking Conversations
Every delegated outreach lives in the Conversations tab of your Carly dashboard. You can see:
- Which outreach emails have been sent
- Who has replied and who hasn’t
- The full email thread for each conversation
- Which meetings have been confirmed
This gives you full visibility without being on every email thread.
Real-World Use Cases
Networking Follow-Ups
Met someone at a conference? Tell Carly to follow up:
To: carly@usecarly.com Subject: Follow up
Reach out to marcus@techstartup.io. We met at the SaaS conference last week and talked about a potential integration. Set up a 30-minute call.
Client Check-Ins
To: carly@usecarly.com Subject: Client check-ins
Reach out to these clients and schedule 20-minute check-in calls for next week:
Keep it friendly and casual — these are just quarterly touchpoints.
Recruiting
To: carly@usecarly.com Subject: Interview scheduling
Reach out to lisa.park@gmail.com and schedule a 45-minute interview slot. We’re hiring for the senior designer role — mention that in the email.
Pro Tips
Give Carly context. The more you tell her, the better the outreach email:
Reach out to Sarah. We’re discussing the brand refresh. She sent me mockups last Friday that I want to review together.
Carly incorporates this context into a natural, professional email.
Specify the tone. Carly defaults to professional but friendly. If you want something different:
Reach out to marcus — keep it super casual, we’re old friends.
Reach out to the VP of sales at Acme Corp. Keep it formal.
Carly follows up automatically. If someone doesn’t reply, Carly sends a polite follow-up after a few days. You don’t have to track who hasn’t responded.
The Bottom Line
Delegated outreach is like having a real assistant who sends emails on your behalf, handles the scheduling back-and-forth, and reports back when things are confirmed. You write one email to Carly, and she handles the rest.
Perfect for anyone who schedules a lot of meetings with external contacts — clients, candidates, partners, or people you met at events.
