How to Set Up Click-to-Book Links for Easy Scheduling
Here’s the normal scheduling flow: Carly proposes three times, the other person replies “the second one works,” Carly creates the event. Three steps, two emails from the other person.
With click-to-book, those three proposed times become clickable links. The other person clicks one, and the meeting is instantly on both calendars. One step. Zero reply emails.
Before and After
Without Click-to-Book
Carly’s email to the other person:
From: carly@usecarly.com Subject: Re: Coffee chat?
Here are some times that work:
- Tuesday, March 4 at 2:00 PM EST
- Wednesday, March 5 at 10:00 AM EST
- Thursday, March 6 at 3:00 PM EST
Which works best for you?
Then they reply, Carly confirms, calendar invites go out. Works fine, but takes a few extra steps.
With Click-to-Book
Same email, but now each time is a clickable link:
From: carly@usecarly.com Subject: Re: Coffee chat?
Here are some times that work — just click one to book it:
Tuesday, March 4 at 2:00 PM EST> Wednesday, March 5 at 10:00 AM EST> Thursday, March 6 at 3:00 PM EST> You can also reply to this email if you’d prefer a different time.
When Jamie clicks “Tuesday, March 4 at 2:00 PM EST,” she sees a clean booking page:
- The event details (title, duration, attendees)
- Her timezone automatically detected
- A “Confirm” button
One click on Confirm, and the meeting is on both calendars with a video link.
What the Booking Page Looks Like
When someone clicks a time, they land on a professional booking page that shows:
- Event title (pulled from the email context)
- Date and time (shown in the recipient’s timezone)
- Duration
- Attendees
- Confirm button
If the time slot has been taken since Carly sent the email (say, someone else booked that slot), the page shows that it’s no longer available and suggests the remaining options.
How to Turn It On
From Your Dashboard
- Log in to your Carly dashboard
- Go to Advanced settings
- Find “Clickable Event Links for 1-on-1 Scheduling”
- Toggle it ON
That’s it. Next time Carly proposes times for a 1-on-1 meeting, the times will be clickable.

Turn on click-to-book for my meetings.
From: carly@usecarly.com Subject: Re: Settings
Done! I’ve enabled click-to-book links. When I propose meeting times for 1-on-1 meetings, each time will include a clickable booking link.
How It Works Behind the Scenes
When Carly sends proposed times with click-to-book enabled:
- Each time slot gets a unique booking link
- The link leads to a booking page hosted by Carly
- When the recipient clicks “Confirm”:
- Carly checks for conflicts in real-time (no double-booking)
- Creates the calendar event with all details
- Sends calendar invites to both people
- Adds a video call link (Google Meet, Zoom, or Teams based on your settings)
- Both you and the recipient get a confirmation
Real-Time Conflict Checking
This is important: the booking page checks your calendar in real-time when the person clicks Confirm. If something was booked in that slot since Carly sent the email, the page catches it:
This time is no longer available.
Here are the remaining options:
Wednesday, March 5 at 10:00 AM EST> Thursday, March 6 at 3:00 PM EST No double-bookings, ever.
Timezone Handling
The booking page automatically detects the recipient’s timezone and shows the time converted:
If you’re in EST and the recipient is in PST, they see:
Tuesday, March 4 at 11:00 AM PST
2:00 PM EST for [Your Name]
No confusion about what time zone the meeting is in.
When Click-to-Book Activates
Click-to-book works for 1-on-1 meetings — when Carly is coordinating between you and one other person. For group meetings (3+ people), Carly uses availability polls instead (which are better suited for multi-person coordination).
Managing Bookings After the Fact
If the recipient needs to reschedule after booking, the confirmation page includes a “Reschedule” and “Cancel” option. They can manage the booking without emailing you.
Your meeting is confirmed!
Coffee Chat — [Your Name] & Jamie
Tuesday, March 4 at 2:00 PM EST
Google Meet link included
[Reschedule] [Cancel]
Pro Tips
It works in any email client. Click-to-book links work in Gmail, Outlook, Apple Mail — anywhere that renders HTML email links.
Recipients don’t need a Carly account. They just click the link, see the booking page, and confirm. No sign-up required. It’s a faster alternative to sharing your whole calendar just so someone can find a time.
Combine with delegated outreach. Ask Carly to reach out to someone on your behalf with click-to-book enabled — the outreach email will include clickable time slots, making it super easy for the person to book with one click.
Try It
Turn it on in your Advanced settings and schedule your next 1-on-1. The other person will love how easy it is.
