8 Best AI Automation Tools for FreshBooks in 2026
FreshBooks already runs the billing calendar: recurring invoices, up to three payment reminders per invoice, and late fees that apply themselves.
What it never sees is your inbox. That’s where the client wrote “approved, send the invoice,” where the receipt arrived as a PDF, and where the late payer promised Friday. And the official FreshBooks connector that landed in Claude in September can read your books but not change them.
Short answer: Carly is the best AI automation tool for FreshBooks. Describe the job in plain English, and Carly drafts the invoice when a client approves, chases late payers from your own inbox, and files receipts as expenses, across every Gmail and Outlook account and calendar you connect. For asking questions about your numbers, Claude’s FreshBooks connector. For wiring FreshBooks into a long list of apps, Zapier.

1. Carly
Carly is an AI agent with its own email address that you run from the web or by text. Connect FreshBooks on the integrations page and Carly can create and look up invoices, clients and expenses, check who’s overdue, send reminders, and pull revenue and outstanding balances. Things FreshBooks users hand it in the first week:
- “When a client replies ‘approved’ to a proposal or final draft, draft the FreshBooks invoice for the agreed amount and text me to approve it.”
- “Every Monday at 8, email me every invoice more than 30 days overdue and draft a polite chaser for each as a reply on my last thread with that client.”
- “On the last business day of the month, total the hours on my calendar for each retainer client and draft their FreshBooks invoices.”
- “File the receipt in every Adobe, Figma and Google Workspace email as a FreshBooks expense.”
A normal Monday: Josh Whitaker runs a four-person content agency on FreshBooks. At 8am Carly emails him the three invoices more than 30 days late, each with a chaser drafted as a reply in a thread the client already knows. It skips a fourth because Michael Bennett at Gusto wrote Friday that payment goes out Wednesday; FreshBooks’ own reminder would have nudged him anyway. At 10, Claire Thompson at Allbirds replies to the final draft: “Approved, send over the invoice.” Carly drafts the $4,800 invoice from the scope in that thread and texts Josh to approve it.
What makes it different:
- It starts on its own. A new email can fire a Carly workflow, and so can a schedule, a calendar event or a form. FreshBooks reminders run off due dates, and ChatGPT and Claude mostly wait for you to open a chat.
- It reads the reply. “Paying Friday,” “resend with our PO number,” “we never got this”: Carly acts on what the client wrote instead of sending reminder two on a timer.
- It works across all your inboxes and calendars. Every Gmail and Outlook account you connect sits next to FreshBooks, plus your Google and Outlook calendars, and one request covers all of them.
- It reaches the rest of your stack. Carly connects to thousands of apps, so the invoice, the Stripe payment check, the Slack note and the follow-up happen in one pass.
- It hands receivables to an agent. Give collections to one of Carly’s AI agents with written instructions (“never chase the same client twice in a week; loop me in on anything over $5,000”), and it works the list. More in AI agents that send invoices and reminders.
CC Carly’s address on any client thread and it picks up from there. Between meetings, text it.
Set it up:
- Sign in at carlyassistant.com and open carlyassistant.com/integrations.
- Find FreshBooks, click Connect, and sign in with your FreshBooks account. Connect Gmail, Outlook and your calendars the same way.
- Open Workflows and describe what should happen, or start from a template.
- Working in Claude? Click Get the Carly connector, then Connect, and sign in. In ChatGPT, click Get the Carly plugin and sign in. Your FreshBooks comes with it.
New clients who need a kickoff call can pick a time on a booking page that checks all your calendars at once.
Best for: Freelancers, consultants and small agencies whose billing starts in an email and stalls in an inbox.
Pricing: Free Zapier-style workflows; AI agents from $35/month
Want to see it on your own invoices first? Book a short call.
2. FreshBooks’ built-in automation
FreshBooks handles the predictable parts. Recurring invoices go out on schedule, clients can keep a card on file, each invoice can send up to three reminder emails before or after the due date, late fees apply as a percentage or a fixed amount, and bank transactions import automatically. Plus adds receipt scanning and an address you can email receipts to, and Premium adds automated client emails with dynamic fields. FreshBooks doesn’t ship an AI assistant inside the app; its AI move this year was the Claude connector in entry 5.
Best for: Retainer clients and fixed monthly billing that never changes.
Pricing: Lite $23/month (5 billable clients), Plus $43 (50 clients), Premium $70 (no client cap), billed monthly, with 10% off for paying yearly; Select is custom. New customers currently get Lite at $1/month for the first year or 80% off Plus and Premium for three months.
Limitations: Reminders are templates on a timer. The same email goes out whether or not the client already wrote back “paying Friday,” and it comes from FreshBooks rather than a thread with you. Nothing turns an email into an invoice or reads your calendar for billable hours, and receipt capture starts on Plus.
3. Zapier
Zapier’s FreshBooks app goes deep. Instant triggers fire on a new invoice, payment, expense or time entry, and actions create and send invoices, add clients, expenses and time entries, or record a payment.
Best for: Pushing FreshBooks events into niche apps, like a new payment into a Slack channel.
Pricing: Free for 100 tasks/month with two-step Zaps; Professional $19.99/month billed annually ($29.99 monthly).
Limitations: Triggers fire when a record is created or updated, so “every Monday, chase whoever is 30 days late” becomes a scheduled Zap with search, filter and email steps you build and maintain. When the client answers the chaser, nothing reads the reply. See Zapier alternatives.
4. Make
Make’s FreshBooks app has 20 modules to create, update and search clients, invoices, estimates, expenses, items and services, plus a raw API call for anything else.
Best for: Ops-minded users who want branching and data transforms on FreshBooks records.
Pricing: Free plan; paid plans are priced by monthly credits, and AI steps draw on them.
Limitations: There is no FreshBooks trigger module, so a scenario runs on a schedule or starts from another app. Sending an invoice means configuring the API call module. See Make alternatives.
5. Claude and ChatGPT
On September 25, FreshBooks launched an official, Anthropic-verified connector in Claude’s directory. Ask “which clients owe me the most?” and Claude pulls your profit and loss, revenue by client and balance sheet, plus invoices, payments, expenses and recurring templates. FreshBooks says the connection starts in Claude; we found no FreshBooks plugin in ChatGPT, where people add third-party FreshBooks MCP servers instead. Setup is in Claude + FreshBooks and ChatGPT + FreshBooks.
Best for: Plain-English questions about your numbers without running a report.
Pricing: Your Claude or ChatGPT plan.
Limitations: The connector is read-only; its listing says it “doesn’t make changes on your behalf,” so no invoice gets created, sent or chased. Both act when you ask or on a schedule you set up. OpenAI said on September 29 that ChatGPT plugins will be able to start automations from events in connected apps, but there is no FreshBooks plugin there to start one.
6. Lindy
Lindy is an AI teammate you work with in Slack or over iMessage, with scheduled tasks and replies drafted in your voice. Its integration directory has pages for QuickBooks, Xero and Zoho Books, but none for FreshBooks, so reaching your invoices means adding a FreshBooks MCP server yourself.
Best for: Slack-first teams who want an assistant in their channels.
Pricing: $50 in free credits for 7 days, then Team at $29.99/user/month for 3,000 credits, with top-ups at $10 per 1,000.
Limitations: Work is priced in credits, and when the pool runs out Lindy pauses credit-using actions until the next cycle. Plans connect 2 to 5 inboxes. If your billing happens in email, that is a second app to work through.
7. QuickBooks Online with Intuit Intelligence
If you want AI inside the accounting app, Intuit ships the most of it. Intuit Intelligence categorizes expenses on every QuickBooks Online plan, and Essentials adds Payments AI to get you paid faster plus automatic bulk invoicing in beta. This one is a switch, not an add-on: your clients, invoices and history move out of FreshBooks.
Best for: Businesses outgrowing FreshBooks that want AI inside the ledger.
Pricing: Simple Start $38/month, Essentials $85, Plus $140, Advanced $340, with 50% off for three months and no annual contract.
Limitations: Its AI chat is a limited-capacity beta. In late August, users on QuickBooks’ community forum reported a new automatic “finish your payment” email going to customers who had opened an invoice, with no way to turn it off or reword it. More in AI automation tools for QuickBooks.
8. Xero with JAX
JAX is Xero’s chat assistant. It answers questions about your numbers and drafts invoices, for example from the last quote you sent a client, and Xero includes JAX chat for every subscriber at no extra charge for now.
Best for: Owners who want a ledger with built-in AI chat and are willing to migrate.
Pricing: Early $27/month, Growing $59, Established $97, with 80% off the first three months.
Limitations: Xero’s own FAQ says JAX “only does something when you open it and ask it a question.” The Early plan has a 20-invoice limit. More in AI automation tools for Xero.
How to pick
If your billing is fixed and monthly, FreshBooks’ recurring invoices, reminders and late fees already cover it.
If you want to ask questions about your numbers, add the FreshBooks connector in Claude. It reads; it doesn’t act.
If you need FreshBooks events in a long tail of apps and don’t mind building, Zapier. For branching and transforms, Make.
If you’re ready to leave FreshBooks for AI inside the ledger, QuickBooks or Xero. The dedicated invoice chasers, Chaser and Upflow, connect to both but don’t list FreshBooks.
If you want invoices drafted the moment a client says yes and late payers chased from your own inbox, go with Carly. It reads the email, writes to FreshBooks, and finishes the job across every inbox and calendar you connect.
FAQ
What is the best AI automation tool for FreshBooks?
Carly. It starts on new emails and schedules, drafts FreshBooks invoices when clients approve work, and chases overdue invoices from your own inbox. For questions about your numbers, Claude’s FreshBooks connector. For building paths yourself, Zapier.
Can FreshBooks send payment reminders automatically?
Yes. Every plan can send up to three reminder emails per invoice, before or after the due date, and charge a percentage or fixed late fee. They are templates on a timer, so they don’t read the client’s reply. A Carly workflow checks what the client said before it chases.
Does FreshBooks work with Claude or ChatGPT?
Claude has had an official FreshBooks connector since September 2026, and it is read-only. We found no FreshBooks plugin in ChatGPT. Add Carly as the Carly connector in Claude or the Carly plugin in ChatGPT, and FreshBooks comes with it alongside your email and calendar.
Does FreshBooks work with Zapier?
Yes. Zapier’s FreshBooks app has instant triggers for new invoices, payments, expenses and time entries, and actions to create and send invoices. Scheduled jobs like a weekly overdue sweep need search and filter steps you build.
How do I connect FreshBooks to Carly?
Open carlyassistant.com/integrations, find FreshBooks, click Connect, and sign in. Connect Gmail, Outlook and your calendars on the same page, and Carly works across all of them.

See what people say
"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.
Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.
On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
