Veterinary team using AI tools to coordinate patient appointments, records, billing, and client follow-up

Vetspire API: AI Automations for Veterinary Clinics

When a cancellation opens tomorrow’s schedule, Carly can find the right client, offer the slot, handle the reply, and brief the front desk. The same Vetspire connection can run post-visit follow-up, organize referrals, watch inventory, coordinate receivables, update clients, and move work across email, calendars, and tasks.

Vetspire gives practice administrators a real, read-write API key inside the product. There is no vendor certification exercise just to connect your own clinic: go to More → Admin → Integrations → API Keys, create a key, and assign it a user role that limits what the integration can do. Its GraphQL API reaches clients, patients, appointments, medical records, billing, inventory, treatments, and communications.

The veterinary workflows worth automating

The API is broad, but the useful jobs are specific:

  • A cancellation fills itself. When an appointment opens, check the waitlist, rank suitable patients by appointment type and availability, and text the first owner who can take it.
  • Discharge follow-up goes out on time. A completed encounter starts the right instructions and check-in sequence for the procedure, with a task for staff when the owner reports a problem.
  • Preventive-care gaps become a daily worklist. Query patients whose vaccines, diagnostics, or preventives are due and send the team a prioritized list instead of expecting someone to build one manually.
  • Low stock reaches purchasing before the shelf is empty. Inventory thresholds can create a reorder task or draft a purchase order with the location and recent usage attached.
  • Outstanding balances get a consistent follow-up. Pull aged receivables, exclude disputed or recently contacted accounts, and send staff a review queue before any message leaves the clinic.

The best first workflow is usually operational rather than clinical. Appointment recovery, reminders, inventory, and receivables have clear rules and reversible actions. Diagnosis, medication, and treatment decisions need a veterinarian in the loop.

Getting and scoping the key

Vetspire’s user manual documents the complete path:

  1. Open More → Admin → Integrations → API Keys.
  2. Select Create New API Key.
  3. Give the key a unique title.
  4. Assign a user role.
  5. Create the key and copy the token.

Each key creates a corresponding API User under Admin → Staff → Users. Rename that user clearly so changes in the audit trail identify the automation rather than an anonymous integration account.

Keys expire after four years by default. Deleting a key does not remove its API User, so clean up both when retiring an integration.

The role is the safety control that matters. A key can potentially reach the organization’s complete database; do not assign administrator-equivalent permissions to a workflow that only needs to read appointments and create tasks. Use separate keys for separate automations so one revocation does not break everything.

GraphQL changes the integration work

Vetspire uses one production endpoint:

POST https://api.vetspire.com/graphql
Authorization: YOUR_API_KEY

GraphQL lets the caller request exactly the fields it needs and combine related data in one query. It also means a generic REST connector may not be enough. The tool has to send GraphQL documents, understand the schema, and handle nested responses.

Vetspire enforces a maximum query depth of eight. A request that follows too many nested relationships returns query_depth_limit; split it into smaller queries rather than trying to pull the whole clinic graph at once.

The documentation advertises subscriptions and live data, but it does not publish a simple, exhaustive business-event webhook table. Verify the exact trigger for your workflow in a test environment before promising instant behavior. For low-urgency work such as preventive-care lists or receivables, a scheduled query is simpler and easier to audit.

What Carly can run around Vetspire

Carly connects to Vetspire with the key you generate, then carries the work across email, calendars, tasks, and the rest of the clinic’s stack. You describe the result in plain English; Carly interviews you for the rules and builds the workflow.

  • Cancellation recovery agent: watches for newly open appointment slots, finds eligible waitlisted clients, offers the slot, and stops when it is filled.
  • Tomorrow-ready agent: checks the next day’s appointments for incomplete intake, missing records, or referral documents and sends the right reminder.
  • Post-visit agent: sends procedure-specific instructions, schedules the check-in, summarizes replies, and escalates anything that needs clinical judgment.
  • Referral intake agent: reads the referral email and attachments, matches the client and patient context, and gives the medical team one organized review task.
  • Preventive-care agent: builds the daily outreach list from due dates and history, sends approved reminders, and records the touch.
  • Inventory agent: reviews stock and recent usage, drafts the reorder list, and routes exceptions to the practice manager.
  • Receivables agent: finds balances that meet the clinic’s rules, checks prior outreach, sends approved follow-up, and pauses when a client replies.

Vetspire does not publish an official MCP server, but it does expose an API, so you can connect it natively to Carly from the Integrations tab. Give each Carly agent only the Vetspire role it needs.

Frequently asked questions

Does Vetspire have a public API?

Yes. Vetspire publishes a GraphQL API with queries and mutations across clients, patients, appointments, medical records, billing, inventory, and other practice data.

Can a Vetspire customer generate an API key?

Yes. An administrator creates one under More → Admin → Integrations → API Keys and assigns it a user role. No public integration-partner application is required for a clinic connecting its own account.

What is a good first Vetspire automation?

Start with the cancellation waitlist. Carly can identify the right patients for an open slot, contact them in order, handle replies, book the appointment, and notify the team when the schedule is full again.

Does Vetspire have an MCP server?

No official Vetspire MCP server is documented. Connect an AI tool through the GraphQL API or use an automation platform that can call it.

What can Carly automate with Vetspire?

Carly can coordinate waitlists, intake reminders, post-visit check-ins, referral organization, preventive-care outreach, inventory review, receivables follow-up, and daily clinic briefs using Vetspire plus the clinic’s email, calendar, and task tools.

See what people say

"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.

Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.

On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
