AI for Staffing Agencies: Run Job Orders and Placements
A staffing desk doesn’t lose placements because recruiters can’t find people. It loses them in the gaps: the job order that sat in an inbox overnight, the client who never sent interview feedback, the contractor who didn’t know Monday was the start date.
Most “AI staffing software” fixes one of those gaps inside one app. The agencies pulling ahead put an agent across the whole desk.
The quick answer: Keep the ATS you already run, then add Carly as the layer that works the email threads, calendars and follow-ups around it. Each Carly agent has its own email address, so you CC it on a client thread and it takes the job order, schedules the interview, chases the feedback and updates your ATS itself.
The agent layer that runs the desk
1. Carly: agents that work job orders through to the start date
Carly is an AI assistant that finishes the job instead of drafting and waiting. You build agents on the agents page, give each one a job and the tools it’s allowed to touch, and hand it work by email. For a staffing agency, that usually means one agent per stage of the desk:
- Job order intake. A hiring manager at Rivian emails Josh, your light-industrial lead: “Need 12 forklift operators, second shift, starting the 14th.” Josh forwards it to his intake agent. The agent reads the email, creates the job in your ATS with pay rate, shift and start date, and replies to the client confirming the details and asking for anything missing (site address, PPE, background check level).
- Matching and outreach. The same agent searches your ATS for candidates tagged with the right certifications and availability, drafts a short personalized text or email to each, and logs every reply against the job. Set a “require approval” rule and nothing goes out to candidates until Josh taps yes.
- Interview scheduling across client and candidate. Emily, a direct-hire recruiter, CCs her agent on the thread with a hiring manager at Kaiser Permanente and two finalists. The agent checks everyone’s availability, proposes times, sends the calendar invites with the video link and handles the reschedule when one finalist’s shift changes. Candidates who’d rather pick a time themselves get a booking page.
- Feedback chasing. Two days after an interview, the agent emails the client for a yes, no or next round. If nothing comes back, it nudges again, then flags the job in Emily’s morning digest. For the no-show side of this, see our client no-show follow-up playbook.
- Start dates and timesheets. Once a placement is confirmed, the agent sends the contractor a start-date reminder with site, time and parking the day before, then chases timesheets every Friday afternoon until they’re in. Michael, who runs a contract IT desk, has his agent send a week-one check-in to every new consultant and forward anything that sounds like trouble straight to him.
- ATS and CRM updates. Every step writes back: submittal status, interview dates, feedback notes, start confirmed.
- A daily desk digest. Each morning Claire, the ops lead, gets one email: new job orders, submittals waiting on client feedback, interviews today, starts this week, missing timesheets.
You describe any of these in plain English on the workflows page (“every Friday at 2 p.m., email every active contractor who hasn’t submitted a timesheet”) and Carly builds it. It runs over Gmail and Outlook / Microsoft 365 equally, plus SMS and a dashboard.
Carly connects to thousands of apps, including the staffing stack: Bullhorn, JobAdder, Crelate, Loxo, Vincere, Ashby, Workable, Lever, Recruitee, PandaDoc, DocuSeal, Gusto and Deel. The integrations page is where you connect them.
Pricing: Free Zapier-style workflows; AI agents from $35/month. Timesheet reminders and start-date emails that run every week don’t need an AI step, which matters for an agency with a big contractor bench.

ATS and CRM platforms with built-in AI
Every major staffing ATS now ships AI. It works inside the database; it won’t answer the client’s email or chase the contractor’s timesheet.
2. Bullhorn
Bullhorn’s AI product is Amplify, which it describes as “digital workers” built on an LLM for staffing. The digital workers enrich records from interactions, match and contact candidates by relevancy score, screen and score candidate interviews, generate branded candidate submissions for clients, transcribe calls, and audit placements and charges before payroll. Amplify Chat answers questions inside Bullhorn. Pricing is quote-based.
Connect it to Carly: Bullhorn issues API credentials through your account rep, so ask your Bullhorn rep for API credentials, then paste them into Carly on the integrations page. More options in best Bullhorn integrations and on our Bullhorn integration page.
3. JobAdder
JobAdder’s AI is called Adder Intelligence. It gives every applicant an instant summary and relevancy rating against the job, writes client-ready candidate overviews from the resume and recruiter notes, and prompts you to update records when it spots next steps in your notes. Pricing is by quote.
4. Crelate
Crelate sells itself as an AI recruiting platform with a Discovery Agent (finds companies and candidates beyond your own database), an Insights Agent (cleans and enriches records and suggests next steps) and Co-Pilot for generative AI inside records. Its Essentials plan is $85 per user per month billed annually, and Business is $119 per user per month. More in our Crelate API guide.
5. Loxo
Loxo bundles its ATS and CRM with a set of agents: data agents that keep the database clean, Longlist and Shortlist sourcing agents, a Candidate Submittal Agent that writes client summaries, a Job Description Agent and an AI notetaker. Core starts at $149 per user per month billed annually; Professional, which adds Loxo Source, starts at $199. See our Loxo API guide.
6. Vincere
Vincere is another recruitment CRM on many agency shortlists. Its AI features change often, so ask for a demo to see what’s live today.
Connect JobAdder, Crelate, Loxo or Vincere to Carly: Paste your API key into Carly on the integrations page.
Running an in-house-style ATS instead? Ashby, Workable, Lever and Recruitee are native in Carly: open carlyassistant.com/integrations, find Ashby (or Workable, Lever, Recruitee), click Connect. See our Ashby integration page.
Sourcing and screening AI
7. Juicebox
Juicebox (PeopleGPT) runs natural-language search across public profiles and sells Juicebox Agents, sourcing agents that run around the clock and can auto-email or auto-shortlist. There’s a free tier, and agents are a $199 per agent per month add-on to a paid seat.
8. hireEZ
hireEZ positions itself as agentic AI on top of your existing ATS: sourcing across 45+ platforms, AI applicant review that shortlists best fit, voice AI for screening, and an AI scheduler for interviews. It has a dedicated RPO and staffing offering. Pricing is through sales.
Both find and rank people. The shortlist still needs someone (or an agent) to submit it, book interviews and chase the answer.

Interview scheduling and notes
9. Booking links and schedulers
Calendly-style links work for one-to-one candidate screens. They break down on client interviews, where a hiring manager, a panel and a candidate on a shift schedule all have to line up. That’s the case the Carly agent handles by being CC’d on the thread.
10. Fathom and Fireflies
Recording intake and screening calls keeps pay rates and deal-breakers out of one recruiter’s memory. Fathom and Fireflies both record, transcribe and summarize. Connect your notetaker and Carly turns the summary into the next step (update the job order, email the client the recap, schedule the second round). Compare them in Fathom vs Fireflies.
Payroll, onboarding and e-sign for placements
11. PandaDoc and DocuSeal
Client service agreements, rate confirmations and offer letters all need signatures. PandaDoc covers proposals and contracts with templates; DocuSeal is a leaner, open-source e-sign option. Both are native in Carly: open carlyassistant.com/integrations, find PandaDoc or DocuSeal, click Connect. Your agent can then send the rate confirmation the moment a client says yes and chase it until it’s signed. See our PandaDoc integration page.
12. Gusto and Deel
Gusto runs US payroll and contractor payments; Deel handles international contractors and employer-of-record hires. Either one closes the loop on a placement once the paperwork is signed. Connect either by pasting your API key into Carly on the integrations page, and the start-date agent can confirm onboarding is complete before it sends the day-one reminder.
How to actually choose
Don’t switch ATS to get AI. Every platform above now does matching, summaries and submittals, and the differences are smaller than the cost of a migration.
Then look at where your desk loses time. For most agencies it’s coordination: intake emails, interview scheduling, feedback, start dates, timesheets. That work happens in email and calendars, outside the ATS.
- If you run a temp or light-industrial desk with high volume and weekly timesheets, go with Carly. The recurring reminders run as free workflows, and one agent can cover the whole contractor bench.
- If you’re a direct-hire or executive search firm where every client interview is a scheduling puzzle, go with Carly. CC the agent and the thread gets handled.
- If your recruiters spend their day in Outlook, go with Carly. It works the same in Microsoft 365 as in Gmail.
- If your bottleneck is finding people at all, add Juicebox or hireEZ for sourcing, then let Carly handle what happens after the shortlist.
Not sure how it fits your desk? Book a call and the Carly team will map it to your ATS, or just get started.
Frequently asked questions
What is the best AI for staffing agencies?
The AI inside your current ATS for database work (matching, summaries, submittals), plus an agent layer like Carly for the email and calendar work around placements: job order intake, interview scheduling, feedback chasing, start dates and timesheets.
Can AI schedule interviews between clients and candidates?
Yes. CC a Carly agent on the thread with the hiring manager and candidate and it checks availability, sends invites and handles reschedules. Set it up on the agents page.
Does Carly work with Bullhorn?
Yes. Ask your Bullhorn rep for API credentials, then paste them into Carly on the integrations page. Carly can then create jobs, log submittals and update placements as part of any workflow.
Can AI chase contractor timesheets?
Yes. Describe it once on the workflows page (“every Friday, email contractors with a missing timesheet, then text them Monday morning”) and it runs every week without an AI step.
How much does AI staffing software cost?
ATS platforms with built-in AI run from about $85 to $199 per user per month where prices are published, and Bullhorn and JobAdder quote on request. For Carly: Free Zapier-style workflows; AI agents from $35/month. Background on the market is in our recruiting statistics.

See what people say
"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.
Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.
On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
