8 Best AI Automation Tools for Mixmax in 2026

Mixmax is very good at getting the email out. Sequences send on schedule, Smart Send picks the hour, and tracking tells you who opened it twice.

Then the reply comes in. Someone still has to answer it, find a time on two calendars, and move the deal.

Short answer: Carly is the best AI automation tool for Mixmax. You describe in plain English what should happen when a prospect replies, and Carly answers, books the meeting and updates your CRM across all of your inboxes and calendars. For more automation inside Mixmax itself, its Copilots and Rules. For wiring Mixmax events into a long list of apps, Zapier or Make.

1. Carly

Carly is an AI agent with its own email address that you run from the web or by text. Mixmax stays your sequencing and tracking tool. Paste your Mixmax API key on the integrations page and Carly can enroll prospects in sequences, send tracked emails from your templates, pull opens, clicks and replies, and see meetings booked through your Mixmax scheduling links (more on the Mixmax connection). Things Mixmax users hand it in the first week:

  • “When a prospect replies to a sequence asking for time, offer two open slots from my calendars and book the one they pick.”
  • “Add these 12 people from yesterday’s webinar to my Webinar Follow-up sequence, with first name and company filled in.”
  • “Send Josh Whitaker my pricing template through Mixmax so I can see when he opens it.”
  • “When someone books through my Mixmax link, create the deal in HubSpot and send me a prep brief an hour before the call.”

A normal Tuesday: Michael Bennett runs sales at a 15-person analytics startup, and his Mixmax sequence goes out at 7am. At 9:12 Emily Parker, a finance director at Ramp, replies: “Thursday afternoon? Please include Claire, our controller.” By 9:15 Carly has answered from Michael’s own inbox with two Thursday times open on both his Google and Outlook calendars. When Emily picks 2:00, the invite goes to Emily and Claire, the deal moves to Meeting Booked, and Michael gets a brief from the thread an hour before the call.

What makes it different:

  • It starts on its own. A reply to your Mixmax email lands in your inbox, and that new email can fire a Carly workflow. So can a calendar event, a schedule or a form. ChatGPT and Claude mostly wait for you to open a chat.
  • It finishes the job. Mixmax’s Copilots draft the follow-up and you send it. Carly sends the answer, books the meeting and logs it. Want to read every email first? Have it draft instead, your call.
  • It works across all your inboxes and calendars. Mixmax is built for Gmail, with a lighter Outlook add-in. Carly sits on every Gmail and Outlook account you connect, plus your Google and Outlook calendars, and one request covers all of them.
  • It reaches the rest of your stack. Carly connects to thousands of apps, so the reply, the Salesforce or Pipedrive update and the Slack note happen in one pass.
  • It hands judgment calls to agents. Give reply handling to one of Carly’s AI agents with written instructions (“never offer a discount, loop me in instead”), and it works through every reply while you’re on calls.

CC Carly’s address on any thread and it picks up from there. Between meetings, text it.

Set it up:

  1. In Mixmax, open Settings → Integrations, find the API section and click Create Mixmax API Token. Copy it right away, because Mixmax shows it only once. API access is on every paid Mixmax plan, not Free.
  2. Sign in at carlyassistant.com, then paste your Mixmax API key into Carly on the integrations page. Connect Gmail, Outlook, your calendars and your CRM on the same page: find each one, click Connect, and sign in.
  3. Open Workflows and describe what should happen when a prospect replies, or start from a sales template.
  4. Working in Claude? Click Get the Carly connector, then Connect, and sign in. In ChatGPT, click Get the Carly plugin and sign in. Your Mixmax comes with it.

Prospects who would rather pick a time themselves can use a booking page that checks all your calendars at once.

Best for: Reps and founders whose sequences get replies faster than they can answer them.

Pricing: Free Zapier-style workflows; AI agents from $35/month

Want to see it on your own pipeline first? Book a short call.

2. Mixmax’s Copilots and Rules

Mixmax now sells three AI Copilots. Inbox Copilot sorts your inbox, flags threads that go quiet and drafts the follow-up, with Smart Send picking the send time. Engagement Copilot adds the AI sequence builder and sequences across email, calls and LinkedIn. Meeting Copilot records Google Meet and Zoom calls and drafts the follow-up. Rules, which Mixmax also calls Agentic Workflows, run if-this-then-that automations: enroll a prospect in a sequence, update Salesforce, or ping Slack.

Best for: Teams that want sequences, tracking and CRM sync to run inside Gmail with one vendor.

Pricing: Free plan (20 tracked emails, 50 sequence recipients a month); Inbox Copilot $29/user/month billed annually ($34 monthly); Engagement Copilot $49 ($65); Mixmax Suite $89 ($105), the only self-serve plan with Meeting Copilot.

Limitations: The AI drafts and you send; Mixmax’s own pages say “You decide what sends.” Rules are fixed paths you set up, and workspace-level and advanced rules are only on custom-priced Mixmax for Teams. Post-meeting summaries stop at 200 a month, and the Free plan has no Rules, API or Zapier access. Outlook users get an add-in for tracking, templates and availability.

3. Zapier

Zapier’s own directory says Mixmax hasn’t built a public integration, so you connect through an invite in Mixmax’s integration settings and sign in with your API token. The app has nine triggers (email opened, link clicked, recipient added to or exited from a sequence, meeting invite confirmed or cancelled, and more) and three actions: add, remove or unsubscribe a sequence recipient.

Best for: Pushing Mixmax engagement into a niche app nothing else reaches.

Pricing: Free for 100 tasks/month with two-step Zaps; Professional $19.99/month billed annually ($29.99 monthly).

Limitations: None of the nine triggers is “prospect replied.” To start a Zap on a reply, you build a Mixmax rule that posts to a webhook, and Mixmax Free can’t run either piece. Every Zap is a fixed path you build and maintain. See Zapier alternatives.

4. Make

Make’s Mixmax app connects with your API token and has action modules: add a recipient to a sequence, create contacts and notes, create and send messages, list meeting invites, or make a raw API call. Its Maia assistant builds scenarios from a conversation.

Best for: Ops-minded users who want branching and data transforms on Mixmax data.

Pricing: Free plan; paid plans are priced by monthly credits, and AI steps draw on them.

Limitations: There is no Mixmax trigger module, so a scenario polls on a schedule or waits on a webhook that a Mixmax rule sends. You debug the canvas when a field changes. See Make alternatives.

5. HubSpot Sales Hub

If you’d rather drop Mixmax, HubSpot runs sequences inside the CRM: up to 500 email sends per user per day on Professional and 1,000 on Enterprise. Its agents, including a prospecting agent, run on HubSpot Credits, starting with the Starter plan.

Best for: Teams that want sequences, deals and reporting in one system.

Pricing: Free CRM for up to 2 users; Sequences start on Sales Hub Professional at $90/seat/month billed annually, plus a required one-time $1,500 onboarding fee.

Limitations: It is a migration, not an add-on, and Mixmax already syncs to HubSpot. Agent work draws on a monthly credit allowance (3,000 on Professional). More in AI automation tools for HubSpot.

6. Apollo

Apollo pairs a database of 240 million contacts and 30 million companies with sequences, a dialer and an AI assistant, and pitches agents that work in the background.

Best for: Teams that want prospect data and sequences in the same tool.

Pricing: Free plan; paid plans from $49/user/month billed annually.

Limitations: Credits are pooled across the team, reset every billing cycle and don’t roll over. Every seat has to be on the same plan, AI features sit on Professional, and the Free plan sends only through Gmail. See AI automation tools for Apollo.

7. Lindy

Lindy is an AI assistant that lives in Slack. Its Mixmax integration lists six actions, all about contacts: create, update, search and get contacts, plus create or get contact groups.

Best for: Slack-first teams who want an assistant in their channels.

Pricing: $50 in free credits for 7 days, then Team at $29.99/user/month for 3,000 credits, with top-ups at $10 per 1,000.

Limitations: Nothing in that list touches sequences, tracked emails or meetings, so enrollment and follow-up stay in Mixmax. Work is priced in credits, and everything runs through Slack. See Lindy alternatives.

8. ChatGPT and Claude

Mixmax runs its own MCP server, in beta through Mixmax Labs. ChatGPT lists an official Mixmax app that reads your meetings and sequences. For the full toolset, which since late August can write a sequence, add your list and send tracked emails, add Mixmax as a custom connector in ChatGPT’s developer mode or in Claude, then switch each write permission on in Mixmax. Setup is in Claude + Mixmax and ChatGPT + Mixmax.

Best for: Asking “who replied this week and who’s gone cold?” inside a chat.

Pricing: Your ChatGPT or Claude plan, plus a paid Mixmax plan.

Limitations: Claude works when you ask or on a schedule you set. ChatGPT automations can now start from events in some connected apps, such as a new Gmail message, but Mixmax’s docs list no event support, and the official ChatGPT app stays read-only even with writes switched on. Your workspace admin controls access to the Labs experiment, and Mixmax says some capabilities may move into specific plans.

How to pick

If you want Mixmax itself to do more, the Suite’s Copilots and Rules are already in the product.

If you need Mixmax events in a long tail of apps, Zapier or Make.

If you’re replacing Mixmax, HubSpot puts sequences in the CRM; Apollo adds the contact data.

If your team lives in Slack, Lindy.

If you want pipeline answers in a chat, Mixmax’s MCP server in ChatGPT or Claude, or the Carly plugin or connector for Mixmax plus every inbox and calendar.

If you want every reply answered, every meeting booked and the CRM updated without opening Gmail, go with Carly. It picks up each reply as it lands and finishes the work across every inbox and calendar you connect. Also on Gmail without Mixmax? See AI automation tools for Gmail.

FAQ

What is the best AI automation tool for Mixmax?

Carly. It reads each reply to your Mixmax emails, then answers, books the meeting and updates your CRM across your inboxes and calendars. For more inside Mixmax, its Copilots and Rules. For building paths yourself, Zapier or Make.

Can Mixmax reply to emails automatically?

Not with an answer written from what the prospect said. Rules can start a sequence when your criteria are met, and Inbox Copilot drafts a follow-up when a thread goes quiet, for you to review and send. A reply that reads the prospect’s answer, offers real open times and goes out from your inbox takes a Carly workflow.

Does Mixmax work with Zapier?

Yes, on paid plans, through an invite in Mixmax’s integration settings: nine triggers, such as email opened, and three sequence-recipient actions. There is no reply trigger, so reply-based Zaps run through a Mixmax rule and a webhook.

Does Mixmax work with ChatGPT or Claude?

Yes, through Mixmax’s MCP server, a beta in Mixmax Labs. ChatGPT’s official Mixmax app reads meetings and sequences; a custom connector adds writes like sending email. Mixmax’s docs list no event support, so a Mixmax event doesn’t start either one. For Mixmax plus all your inboxes and calendars on triggers, add Carly.

How do I connect Mixmax to Carly?

In Mixmax, open Settings → Integrations and click Create Mixmax API Token. Paste the token into Carly on the integrations page, then connect Gmail, Outlook and your calendars on the same page, and Carly works across all of them.

See what people say

"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.

Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.

On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
