10 Best AI Automation Tools for Zoho Mail in 2026
Zoho Mail ships three kinds of automation: filters that sort, Zia that drafts, and Zoho Flow that runs paths you build. None of them reads a new email and finishes the job in your calendar, CRM and billing tool unless you build every step first.
Short answer: Carly is the best AI automation tool for Zoho Mail. You describe the automation in plain English, it starts when a new Zoho Mail message lands, and it replies, files, books and follows up across Zoho Mail, Gmail, Outlook and your calendar. For help inside the inbox, Zia. For wiring Zoho Mail to a long list of apps, Zapier or Make.
We checked ten tools against Zoho Mail on October 3, 2026, reading prices off vendor pages in USD. Zoho prices by region, so yours may differ.

1. Carly
Carly is an AI agent with its own email address that you run from the web or by text. Connect Zoho Mail on the integrations page, tell it what should happen to your mail, and it builds the automation and runs it. Things Zoho Mail users hand it in the first week:
- “When a client asks to move a meeting, offer two open times from my calendar and book the one they pick.”
- “File every vendor invoice into Bills, log it in QuickBooks, and tell me if one is over $2,000.”
- “If a prospect hasn’t replied in three days, send a short follow-up in the same thread.”
- “Every morning at 8, text me the Zoho Mail threads that need me today, plus anything urgent in Gmail.”
A normal Tuesday: Josh Whitaker runs a six-person bookkeeping practice on Zoho Mail. Emily Parker, a client, writes at 7am asking to move Thursday’s review and for the September invoice again. A filter can move that email. Zia can draft a reply. Carly checks Josh’s calendar, offers two times, books the one Emily picks, pulls the invoice from QuickBooks, and answers in the thread before Josh opens his laptop.
What makes it different:
- It starts on its own. A new Zoho Mail message can fire a Carly workflow, and so can a calendar event, a schedule or a form. No Zoho Mail message starts ChatGPT or Claude; they wait for you to open a chat.
- It reads the message. Filters match words. Carly reads the email, so “we’re still waiting on this” gets handled as the complaint it is.
- It works across all your inboxes. Zoho Mail sits next to every Gmail and Outlook account you connect, plus your Google and Outlook calendars, and one request covers all of them.
- It reaches the rest of your stack. Carly connects to thousands of apps, so the reply, the Zoho CRM update and the invoice happen in one pass.
- It hands judgment calls to agents. Give a shared inbox to one of Carly’s AI agents with written instructions, and it triages, drafts and sends while you work.
CC Carly’s address on a thread and it picks up from there. Out of the office, text it.
Set it up:
- Sign in at carlyassistant.com and open carlyassistant.com/integrations.
- Find Zoho Mail, click Connect, and sign in with your Zoho account. Connect Gmail, Outlook and your calendars the same way.
- Open Workflows and type what should happen when a new email arrives, or start from a template.
- Working in Claude? Click Get the Carly connector, then Connect, and sign in. In ChatGPT, click Get the Carly plugin and sign in. Your Zoho Mail comes with it.
Clients who keep emailing to find a time can book themselves on a booking page that checks all your calendars at once.
Best for: Zoho Mail users whose email turns into work in a calendar, a CRM and a billing tool.
Pricing: Free Zapier-style workflows; AI agents from $35/month

2. Zia for Mail
Zia is Zoho’s built-in AI. It writes an email from a short prompt, suggests text as you type, summarizes a message or a long shared-mailbox thread, and saves a summary as a note. Zoho has also announced Zia agents for Mail, including a cleanup agent that learns which senders you archive, a writing agent that flags calendar conflicts as you type, and a lead qualifier that writes to Zoho CRM, rolling out in stages through early access.
Best for: Writing and catching up faster inside Zoho Mail.
Pricing: Included on paid plans: Mail Lite from $1/user/month and Mail Premium $4/user/month, both billed annually only.
Limitations: Not on the Forever Free plan. An admin has to switch it on for the whole organization, and Zoho caps generations and summaries by plan. It helps you write the reply; booking, filing and the follow-up stay with you. See AI assistants for Zoho Mail.
3. Zoho Flow
Zoho’s own integration platform. The Zoho Mail connector fires when an email is received or sent, and can send, reply, draft, tag, and create tasks or notes. Paid plans add Zia: describe a flow in plain English and it drafts one, plus AI steps and “agentic actions.”
Best for: Teams already running on Zoho One who want Mail wired to other Zoho apps.
Pricing: Free for 100 tasks/month; Standard $25/month billed annually ($29 monthly) for 5,000 tasks; Professional $41 billed annually ($49 monthly).
Limitations: The free plan has no AI features and checks for new data every 15 minutes, as does Standard; Professional checks every 5. On Zoho’s community forum, one user’s flow triggered by tagging a Zoho Mail message passed Test and Debug mode and then never fired on real emails, and support traced it to a polling issue. For the wider suite, see AI automation tools for Zoho.
4. Zoho Mail filters
Filters run on every plan. Set conditions on sender, subject or content, then move to a folder, flag, tag, mark as read, save as a task or note, forward conditionally, or delete after a set number of days. Since August 2026 they can also run over existing mail in a shared mailbox.
Best for: Free, predictable sorting.
Pricing: Included, free plan too.
Limitations: They match words, not meaning, and they never reply. Zoho’s own guide to its Zoho Mail MCP server gives the example: a customer writing “we’re still waiting for it to be resolved” slips past a filter looking for “complaint,” “urgent” or “outage.”
5. Zapier
Zapier’s Zoho Mail app triggers on a new email, a new tagged email, or a new email matching a search, and can send an email, create a draft, a task or a folder. AI steps can draft or parse in between.
Best for: Sending Zoho Mail events into a long tail of niche apps.
Pricing: Free for 100 tasks/month with two-step Zaps; Professional $19.99/month billed annually ($29.99 monthly).
Limitations: Every Zoho Mail trigger polls: every 15 minutes on Free, every 2 on Professional. Each Zap is a fixed path you build and maintain. See Zapier alternatives.
6. Make
Make’s Zoho Mail app watches for new emails and can send, draft, create tasks and read attachments. Its Maia assistant builds scenarios from a conversation.
Best for: Technical users who want branching and data transforms on Zoho Mail.
Pricing: Free plan; paid plans are priced by monthly credits, and AI steps draw on them.
Limitations: The free plan runs scheduled scenarios at most every 15 minutes (paid plans go to 1). You still debug the canvas when a sender or a field changes. See Make alternatives.
7. Lindy
Lindy is an AI assistant that lives in Slack. Its Zoho Mail integration lists two actions, create a task and send an email, and you ask for work in plain language in a Slack thread.
Best for: Slack-first teams who want an assistant in their channels.
Pricing: $50 in free credits for 7 days, then Team at $29.99/user/month for 3,000 credits, with top-ups at $10 per 1,000.
Limitations: Work is priced in credits, from 2 to 250 for an everyday ask and more for larger jobs, and plans connect 2 to 5 inboxes. If your day happens in email rather than Slack, you are working through a second app.
8. ChatGPT and Claude
Zoho launched a Zoho Mail MCP server in May 2026. You create a server in Zoho’s MCP console, pick the Zoho Mail tools, copy the endpoint, add it to ChatGPT (as a custom app in developer mode) or Claude (as a custom connector), and sign in. Claude’s directory lists Zoho’s CRM, Books, Desk and Projects connectors, but not Zoho Mail. The Zoho MCP guide covers the setup.
Best for: Asking hard questions about your mail inside a chat.
Pricing: ChatGPT Plus or higher; a paid Claude plan.
Limitations: Both act when you ask. Nothing starts when a new Zoho Mail message lands, and Zoho requires you to re-authorize every time you add tools.
9. n8n
n8n is open-source and self-hostable, with AI and agent nodes. It has no Zoho Mail node (its Zoho node covers CRM), so you wire Zoho Mail through the IMAP trigger and SMTP, or HTTP calls to Zoho’s API.
Best for: Developers who want Zoho Mail automations on their own servers.
Pricing: Free self-hosted; cloud Starter from $20/month billed annually (shown as €20 outside the US).
Limitations: IMAP is not included on Zoho Mail’s Forever Free plan, so the usual route needs a paid mailbox. You build and host every piece. See n8n alternatives.
10. Integrately
Integrately sells ready-made one-click automations, Zoho Mail included. Pabbly Connect also supports Zoho Mail and competes on price with one-time lifetime plans.
Best for: Simple Zoho Mail-to-app hand-offs on a small budget.
Pricing: Free plan (single-step, 15-minute updates); Starter $19.99/month billed annually for 2,000 tasks.
Limitations: Templates move data from A to B. Nothing reads the email to decide what it needs.
How to pick
If you only need writing help, turn on Zia. It is already in your paid Zoho Mail plan.
If mail just needs sorting, filters are free and dependable.
If your business runs on Zoho One, Zoho Flow keeps Mail, CRM and Desk in one builder.
If you need a long tail of apps and don’t mind building, Zapier or Make. For a smaller budget, Integrately. To self-host, n8n.
If you live in ChatGPT or Claude, set up Zoho’s Zoho Mail MCP server, or add Carly and get Zoho Mail, Gmail and Outlook through one connector.
If you want Zoho Mail handled rather than sorted, go with Carly. It starts on new mail, reads it, and finishes the reply, the booking and the follow-up across every inbox and calendar you connect. Also on Outlook? See AI automation tools for Outlook.
FAQ
What is the best AI automation tool for Zoho Mail?
Carly. It runs on new Zoho Mail messages, reads them, and replies, books and follows up across your calendar and other apps. For in-window drafting, Zia. For building paths yourself, Zoho Flow or Zapier.
Can Zoho Mail reply to emails automatically?
Not by content. Filters sort, tag and forward but never reply, and Zia drafts a reply you send yourself. A Carly workflow can read the message, write the answer, and send it.
Does Zoho Mail work with ChatGPT or Claude?
Yes, through Zoho’s Zoho Mail MCP server, which you build in Zoho’s MCP console and then add to ChatGPT or Claude. Claude’s directory does not list a Zoho Mail connector. Either way the assistant acts only when you start a chat.
Is Zia included on the free Zoho Mail plan?
No. Zia for Mail is for paid plans, starting with Mail Lite, and an admin has to enable it. Zoho limits generations and summaries by plan.
How do I connect Zoho Mail to Carly?
Open carlyassistant.com/integrations, find Zoho Mail, click Connect, and sign in. Connect Gmail and Outlook the same way, and Carly works across all of them.

See what people say
"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.
Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.
On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
