Fresha API: What Salons Can Automate Without a Key

The moment a Fresha cancellation email lands, Carly drafts the text to the three clients on your waitlist who wanted that slot, and you send it from the chair. The same setup writes the rebooking note to everyone who has not been in for eight weeks, sends you yesterday’s takings and today’s gaps before you unlock the door, and asks last night’s clients for a review while the colour is still fresh.

Fresha does not publish an API, so none of this arrives through a developer key. It runs on the signals Fresha already sends you: the booking, change and cancellation emails, the calendar it mirrors to Google, Apple or Outlook, and the read-only Data Connector under Reports. This post covers what that lets a salon automate, how Carly connects to it, and the exact shape of the wall for anyone who was hoping to build against a Fresha endpoint.

What a Fresha salon can automate today

No-show and cancellation follow-ups

Fresha emails you when an appointment is booked, changed or cancelled. Carly watches that inbox. A cancellation inside 24 hours triggers a draft to the clients who asked to be told about earlier openings, and a no-show triggers a warmer message than the automated one: Emily gets “we missed you Saturday, want the same slot next week?” with the booking link, drafted for you to approve and send.

Rebooking lapsed clients

Fresha’s Data Connector exports your client and appointment history to the reporting tool of your choice. Carly reads that export, or the sheet you keep, and every Monday produces the list of clients whose usual gap has passed with no future booking. Claire, who came every six weeks for a year and has not rebooked since April, gets a personal note rather than a marketing blast. Carly drafts each one from her service history.

Daily takings and today’s gaps

Before opening, the owner gets one message: yesterday’s takings from the export, today’s column from the synced calendar, the gaps that could still be filled, and how full Saturday is. On the Fresha side nothing changes. The calendar sync carries only start and end times, so the brief names the slot and Carly fills in the client from your own records.

Review requests that land the same evening

Michael’s barbershop asks for reviews the evening of the visit, not three days later. Carly takes the day’s completed appointments from the calendar, waits until close, and drafts the review request with the right link for each client. Fresha’s own Online Reputation tools cover the marketplace listing; this covers Google and everywhere else.

Staff schedule digests

Each stylist gets their own column for tomorrow the night before, pulled from the synced calendar and sent by text, with the notes you keep on regulars. For a team using Fresha’s Team Connect, Carly can post the same digest into the team thread instead.

How Carly connects to Fresha

Three paths, and the closed one is the one people search for.

  1. Email and calendar. Fresha’s notification emails and its one-way calendar sync to Google, Apple or Outlook are the real-time feed. Carly reads both, and that is enough for every workflow above. Free Zapier-style workflows do the watching and matching; AI agents that write the outreach start at $35/month.
  2. The Data Connector. Under Reports, Fresha hands you read-only Snowflake credentials that sync to 40-plus reporting tools. Point one of those tools at it and Carly works from the same data for the lapsed-client and takings workflows. It cannot write back, which is why the sending happens in path one.
  3. A direct integration. For a group with several locations, book a call and we will scope the integration path with you.

Carly connects to thousands of apps, so the Google Business review link, the Xero or QuickBooks side of your books, and the WhatsApp or SMS you send from all sit in the same workflow.

Where the wall actually is

Fresha does not offer a public API, a developer portal, or a partner programme a salon can apply to. The developer subdomain that some directories cite does not resolve, and Fresha’s community forum carries years-old requests for API access that have not become a product. There is no Fresha app in Zapier’s directory either. Anyone who tells you to “just Zap it” has not checked.

That is a sharper wall than Vagaro’s, where API and webhook access can be requested from your own settings. On Fresha there is no queue to join, and no webhooks to fire an automation the moment something changes. The notification email is the event stream, and it arrives within a minute.

The calendar sync has two rules that shape what you build. It is one-way: a change made in Google does not flow back to Fresha, so nothing outside Fresha can move an appointment. And it carries only start and end times, with client and service details stripped for privacy and a link back to the real appointment. That is why the workflows above draft and you send, rather than rebooking on your behalf.

Fresha reports that bookings referred by AI tools such as Gemini, ChatGPT and Claude are growing fast through its marketplace listing. That demand reaches you through Fresha’s own channels and shows up in your reports; it is not an API you call.

Frequently asked questions

Does Fresha have an API?

No public one. There is no developer portal and no self-serve key. The only credentialed surface is the read-only Data Connector for reporting tools.

Does Fresha integrate with Zapier?

There is no Fresha app on Zapier. Email-triggered workflows are the practical route, and they are the free tier of Carly.

Can Carly rebook a client in Fresha?

Carly drafts the message and the booking link, and you send it. Fresha’s calendar sync is one-way, so the booking itself happens in Fresha, by you or by the client.

Does Fresha have webhooks?

No. The notification email for each booking, change or cancellation is the real-time signal, and it is what Carly’s workflows watch.

See what people say

"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.

Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.

On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
