Vagaro AI: What Vera and Connect AI Actually Do

If you searched “Vagaro AI,” you probably saw a banner in your own dashboard and want to know whether it earns its place. Vagaro has shipped real AI, branded Vera, and it is aimed squarely at the thing that costs you money: gaps in the book.

What follows is what each piece actually does, where it stops, and what you can wire up around it — written for the person who is doing this between a color process and a blowout, on a phone, standing up.

Vera is four separate things, not one assistant

Vagaro markets Vera as “your AI assistant that keeps your calendar full,” but it’s a brand covering distinct features. Worth knowing which one you’re being sold.

Vera Fill My Books is the headline. Vagaro’s own description: empty slots “don’t have to stay empty,” and Fill My Books “uses AI to automatically promote your business to Vagaro’s vast network of customers through email, push notifications, and a featured daily deal” on the Vagaro marketplace. Read that carefully — it fills gaps by advertising you to Vagaro’s consumer audience. It is demand generation aimed at strangers, not reactivation aimed at the client who used to come every six weeks and hasn’t rebooked since March.

Connect AI is the receptionist. Vagaro pitches it as “your AI receptionist for bookings, messages, and more,” handling customer chats “instantly — even after hours, so you never miss a booking.” For a solo barber who can’t answer the phone mid-fade, that’s the most defensible thing on this list. It is a front-door product: it answers inbound.

AI marketing copy writes your promos. “Not sure what to say in your next promo or reminder? Our AI powered marketing tool helps you craft effective emails and texts in seconds.” Useful, unremarkable, and roughly what you’d get pasting a prompt into ChatGPT.

The AI Form Builder converts uploaded PDFs, Word files, or images into working digital forms — “no prompt needed.” If you’re a med spa carrying paper intake and consent forms, this quietly saves more hours than the rest of Vera combined.

Alongside these sit Vagaro’s non-AI mechanics that do the same job: automated waitlists, Minimize Gaps (which clusters open slots around existing bookings so you’re not sitting idle at 11am and again at 3pm), deposits and no-show fees, and automated text and email reminders. Those are older and more reliable than the AI features, and if you haven’t turned them on, do that before you evaluate Vera at all.

Where Vera leaves your money on the table

The gap is outbound to people who already know you.

Fill My Books promotes you to the marketplace. Connect AI answers people who reach out. Reminders fire on a schedule tied to an existing appointment. None of that is: this client came every five weeks for eleven months and hasn’t booked in nine weeks — text her. None of it is: three cancellations landed for Saturday, here are the six regulars whose cadence is overdue, message them in order of lifetime spend.

That is the highest-value hour of work in a salon or studio, it is unpleasant, and it is exactly the thing that never gets done when you’re the practitioner and the owner at once. Vagaro gives you the data to do it and does not do it for you.

No, ChatGPT and Claude do not connect to Vagaro

There is no native ChatGPT or Claude connector for Vagaro. Neither vendor lists it, and vertical booking software of this size almost never gets one. If you want an AI assistant touching Vagaro data, it goes through the API — which brings us to the part most articles get wrong.

The unattended-work gap closed in 2026: ChatGPT Scheduled Tasks and Claude Cowork both run on their own. The remaining gap is what starts them. These run on a timer, not in response to an event in your apps, so "when this happens, do that" is still outside what they do.

For a booking business that limit is sharper than it sounds. “Every morning at 7, review yesterday’s no-shows” is achievable. “The moment someone cancels, start filling the slot” is not — unless you’re on the webhook path below.

Vagaro’s API is real, but you have to apply and wait

This is the question worth answering precisely, because a lot of vertical software promises an API and delivers a partner program. Vagaro sits in between, and the distinction matters for whether you can act.

Vagaro publishes genuine developer documentation at docs.vagaro.com covering public APIs and webhook subscriptions. Access is not self-serve, but it is also not partner-only. The route, per Vagaro’s own getting-started guide, runs through your account: Settings → Developers → APIs & Webhooks, where you submit a request form. Vagaro’s team reviews it, and the documentation gives an expected turnaround of about five business days. On approval, the APIs & Webhooks screen unlocks inside your account with your credentials.

Authentication is a client-credentials flow. You’ll be issued a region, a clientId, and a clientSecretKey, described in the docs as “the client credentials found within your Vagaro Developer Settings.” That’s a real, ordinary-owner-reachable credential — not an enterprise sales conversation, and not the dead end you hit with some practice-management platforms where individual practices are structurally locked out.

So the honest verdict: you can get Vagaro API access as a normal salon or studio owner, but plan for a request and roughly a week of waiting, not an instant key. Don’t start a project assuming you’ll be connected this afternoon.

Once you have those credentials, you paste them into Carly at carlyassistant.com/integrations as a bring-your-own-key connection. Carly doesn’t ship Vagaro as a prebuilt connector, and BYO-key is the supported path for exactly this situation.

The webhooks matter more than Vera does

Buried in the same documentation is the thing that should actually interest you. Vagaro exposes webhook subscriptions, including appointments (“get notified when appointments are booked or modified”), customers, employees, transactions, form responses, and business locations.

That is an event trigger. It is the capability ChatGPT’s scheduled tasks and Claude’s Cowork tasks both lack. A booking changes, Vagaro fires, and something can happen in the same minute rather than at tomorrow’s 7am sweep.

Concretely, once approved: a cancellation webhook fires, and a workflow pulls your waitlist plus clients whose rebooking cadence has lapsed, ranks them, and sends the offer — while the slot is still fillable. A transaction webhook fires on a color service, and a follow-up text goes out at the right interval for that specific service, not a generic blast. In Carly, that trigger-and-branch scaffolding is the free, unlimited Zapier-style workflow layer; the AI agents that write and judge the outreach start at $35/month. The salon and spa AI agent patterns post covers the setups themselves in more depth.

Your Google Calendar sync is publishing client names

Vagaro does sync to Google Calendar — the product page is explicit: “Sync your Google Calendar with Vagaro to keep your personal and work schedules in one place, so you stay organized and stress-free.”

Convenient, and a privacy problem most owners never think through. Once your Vagaro appointments land on a Google Calendar, they carry client names and service names. If that calendar is shared with a partner, a booth renter, an assistant, a bookkeeper, or your own family, then everyone with view access can read that a named client came in for a lash lift, a scalp treatment, or a med spa consult on Tuesday. Google’s free/busy permission exists but is notoriously leaky at the edges, and it applies to the whole calendar rather than the sensitive entries.

Carly’s Calendar Sync sits between calendars and rewrites entries as they cross: titles become “Busy” and attendees are stripped, so the shared view shows accurate blocked time and nothing else. Your own calendar keeps the real detail. For a med spa or a mental-health-adjacent practice sharing a calendar with anyone, that isn’t a nicety — it’s the difference between a shared schedule and a disclosed client list.

What to set up while the API request is pending

None of the following needs Vagaro credentials, and all of it is reachable the day you start:

  • Morning brief from Google Calendar of today’s book — gaps, back-to-backs, and who’s new — pushed to your phone before you unlock the door.
  • Inbox triage on the address your booking confirmations and cancellation notices land in, so the ones that need a human reply surface and the receipts don’t.
  • Rebooking follow-ups drafted from your own client list in a sheet, ready to send rather than written from scratch between clients.
  • Supplier and product reorder reminders driven off dates rather than off running out mid-service.

That covers calendar, email, and tasks — the three surfaces that work regardless of what Vagaro exposes. When the API approval lands, the webhook layer goes on top.

FAQ

What is Vera AI in Vagaro? Vera is Vagaro’s AI brand, covering Vera Fill My Books (promotes your business to Vagaro’s consumer marketplace via email, push notifications, and a featured daily deal), Connect AI (an AI receptionist that answers customer chats around the clock), AI-written marketing emails and texts, and an AI Form Builder that converts PDFs, Word files, and images into digital forms.

Does Vagaro have a public API? Yes. Vagaro documents public APIs and webhooks at docs.vagaro.com. Access is request-gated: you apply from Settings → Developers → APIs & Webhooks and Vagaro reviews the submission in roughly five business days. On approval you get a region, clientId, and clientSecretKey in your Developer Settings.

Can ChatGPT or Claude connect to Vagaro directly? No. Neither ships a native Vagaro connector. Any AI access runs through Vagaro’s approved API credentials and a tool that accepts them.

Does Vagaro sync with Google Calendar? Yes, Vagaro supports Google Calendar sync so personal and work schedules sit in one place. Be aware that synced entries carry client and service names onto that Google Calendar, which matters if the calendar is shared.

Will Vera Fill My Books win back my lapsed clients? Not directly. Fill My Books advertises your open slots to Vagaro’s marketplace audience. Reactivating clients who already know you — the ones with a lapsed rebooking cadence — is outbound work Vagaro leaves to you.

"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.

Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.

On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
