Knowify AI: What the AI Connector Actually Does for Contractors
If you run an electrical, plumbing, or drywall shop doing commercial work, “Knowify AI” is no longer a hypothetical. Knowify ships an AI Connector that uses the Model Context Protocol to plug your job data into Claude, ChatGPT, and other MCP-compatible tools. In Knowify’s own words, it “uses the MCP (Model Context Protocol) to connect to AI tools like Claude, ChatGPT, and other compatible AI tools” so you can ask “what’s my WIP?” or “what jobs are underbilled?” and get an answer off your actual projects instead of a report you have to build.
That’s a real feature, not a roadmap item. It’s also narrower than the marketing implies, and the narrow part is exactly where a specialty trade contractor loses hours. This is a look at what the connector covers, what it doesn’t, and where the QuickBooks side of your stack picks up the slack.
What Knowify’s AI Connector covers
Setup is three steps and no developer: add the Knowify connector to your AI account, log in with your Knowify credentials to authorize it, then enable the connector in the chat. It’s OAuth against your own login, not an API key you have to go find.
Once it’s live, the questions it’s built for are the ones a project manager asks on Monday morning:
- WIP position. Cost-to-date against contract value across active jobs, without exporting to a spreadsheet.
- Underbilling. Which jobs have costs booked that never made it onto a pay application.
- Job margin. Estimated versus actual on labor and materials, per job or per phase.
- Collections. What’s outstanding, and how long it’s been sitting.
For a shop running eight to fifteen concurrent commercial jobs, that’s genuinely useful. The WIP question in particular is the one most trade contractors answer once a month because pulling it is a chore, and answering it once a month is how you find out in April that a job went sideways in February.
Two constraints matter before you plan around it. The AI Connector is Advanced and Enterprise only — Knowify’s pricing puts Advanced at $329/month billed yearly ($399 monthly) for 10 users, with Core at $99/month yearly excluded from both the AI Connector and Zapier. And Knowify positions the connector as an analysis layer: the marketing is entirely about asking questions and getting answers, not about creating change orders or issuing invoices from a chat window. If you intend to write back to Knowify from an AI tool, confirm that with Knowify support before you build a process on it.
The limit isn’t “you have to open a chat”
The old objection to connectors like this was that they only work when you’re sitting there typing. That objection is dead. ChatGPT’s Scheduled Tasks reach connected apps on a timer, and Claude Cowork runs scheduled tasks against connectors remotely, with your laptop closed. You can absolutely have “pull my WIP and underbilling summary every Monday at 6am” land in your inbox before you’re on site.
These assistants can run on a schedule now — ChatGPT Scheduled Tasks and Claude Cowork both do unattended work on a timer. What none of them do is fire on an event: nothing starts because a record changed, a message landed, or a deadline passed. The schedule is the trigger, and the gap between "every hour" and "the moment it happens" is where the work falls through.
That’s the gap that matters for a trade contractor, because almost everything painful in your week is event-shaped, not calendar-shaped:
- A change order goes active and nobody tells the field super, so the crew keeps building to the old drawing.
- A submittal gets approved and the material order that was waiting on it sits for four days.
- A contract goes out for signature and no one follows up until the GC asks.
- A time entry gets approved on a job that’s already over its labor budget, and you find out at month-end.
None of those start a clock. They happen when they happen, and a scheduled AI check-in either catches them late or burns a run finding nothing.
Knowify does have real event triggers — just not through the AI connector
This is the part most write-ups miss. Knowify’s Zapier app is public and unusually deep for construction software: roughly 30 triggers including Change Order Made Active, Submittal Approved, New AIA Invoice, Contract Out for Signature, Job Closed, Time Entry Approved, Phase Status Changed, and New Invoice Payment — plus a dozen write actions (Create Contract Job, Create Bill, Create Task, Create Client, Update Phase) and search actions for looking up jobs, clients, and phases by ID.
So the events you care about are exposed. They’re just exposed to workflow tooling, not to the AI connector. Which means the practical architecture for a contractor is two layers: something that watches for the event, and something intelligent that decides what to do about it.
The catch is the credential. Knowify’s Zapier connection authenticates with an API key, and per Knowify’s own support documentation that key requires a Growth or Enterprise level subscription — the tiers now sold as Advanced and Enterprise. It’s generated inside your Knowify account, so it’s self-serve in the sense that you don’t need a partner agreement or a sales call. But Knowify publishes no public REST API reference. There’s no developer portal, no endpoint documentation, no rate-limit page. The key exists to authorize named integration partners, not to invite you to build against the API directly. If you want to point a custom tool at Knowify, ask Knowify support what that key will and won’t authorize before you assume it behaves like a general-purpose API key.
That’s a more honest answer than most vertical construction software gives. Compare it to ServiceTitan or the field-service tools where API access is a partner-program conversation. Knowify at least puts a key in your hands on a plan you can buy with a credit card.
The QuickBooks path is the one that’s actually open
Knowify’s whole identity is the QuickBooks sync — the site calls it “the strongest QuickBooks sync in construction,” covering QuickBooks Online, Desktop, Intuit Enterprise Suite, QBO Payroll, and QuickBooks Payments. Invoices, bills, payments, and payroll costs move between the two systems continuously.
That’s the opening. Because whatever the state of Knowify’s own API, the money lands in QuickBooks, and QuickBooks is a first-class connector — Carly connects natively to QuickBooks, no API key, no partner program, no waiting on a vendor roadmap.
For a specialty trade contractor, a surprising amount of the admin pain is visible from the QuickBooks side:
- Collections. An AIA pay application that’s 45 days out gets a drafted follow-up to the GC’s AP contact, with the invoice number and the retainage amount already in it, sitting in your drafts before you’re out of the truck.
- Underbilling as a money signal. Costs hitting a job in QuickBooks with no corresponding progress invoice is the same underbilling question the AI Connector answers — except now something can act on it instead of waiting for you to ask.
- Vendor bills against budget. A material bill posts that pushes a phase past its committed cost, and you get told the day it happens rather than at close-out.
- Payroll cost by job. Labor hours flowing through QBO Payroll against a job that’s tracking hot, flagged while there’s still schedule left to fix it.
Then there’s everything that never lived in Knowify to begin with. The change order approval that arrived as an email reply from the GC’s PM. The RFI response buried in a thread. The three site visits on your calendar that need to become time entries. Don’t route around Knowify’s connector for the things it does well. If you’re on Advanced or Enterprise, asking Claude “which of my active jobs are underbilled and by how much” is faster than any workflow you’d build, and it reads the job-costing structure — phases, committed costs, change orders — that QuickBooks flattens into GL accounts. Knowify knows a change order is a change order. QuickBooks knows it as an invoice line.
The practical division: Knowify’s AI Connector for questions about job structure and cost position. A workflow layer for anything that has to happen without being asked. Contractors who try to make one tool do both end up disappointed with whichever one they picked.
