Practice Better AI in 2026: What the Built-In Tools Do, and Where They Stop
Practice Better is the practice management and EHR platform used by nutritionists, dietitians, health coaches, and functional medicine practitioners — a Toronto company founded in 2016, now serving more than 50,000 practitioners across 100+ countries. The name reads like advice. It isn’t. It’s the software, and when people search “Practice Better AI” they are asking about the AI features inside that platform.
There are two versions of that question. Either what does the AI actually do inside my account, or can I get something to handle the rest of the admin that AI charting doesn’t touch. The answers are different, and the second one is where solo practitioners tend to get sold a connection that doesn’t exist yet.
What Practice Better’s own AI does today
Practice Better announced itself as the first AI-powered practice management platform for health and wellness professionals, and Fierce Healthcare covered the launch on the premise that post-session documentation eats around six hours a week. That’s the problem the whole suite is pointed at.
The AI Charting Assistant is the headline and the reason most people are searching. It splits into two pieces. AI Summary records and transcribes a session — telehealth, a Zoom 1:1, or in-person on your phone — and returns a structured draft in Bullet, Narrative, or SOAP format. AI Dictation is straight speech-to-text for when you’d rather talk a note than type it. Both sit on Starter plans and up.
AI Session Prep pulls the previous session’s summary into the new note before you start, so you’re not scrolling backwards to remember what protocol you set six weeks ago.
AI Writing Assistant offers five passes over anything you’ve written — grammar and spelling, professionalism, friendliness, length, detail — and works across session notes, forms, protocols, and programs.
AI Form Builder generates intake forms, assessments, and questionnaires from a description rather than from a blank builder screen.
AI Program Content Generator drafts educational content for programs, on Plus and up for evergreen and self-paced, Pro and up for fixed-date. AI Session Insights surfaces patterns across your practice data. AI Fax Classification, on Plus and up, auto-tags incoming faxes and routes them to the right client — a small feature that matters enormously if you take referrals from physician offices still running a fax line.
The billing model is worth knowing before you turn it on. AI Summary runs on credits: two credits per minute, the first 600 minutes free, then $0.005 per credit — a cent a minute. A practitioner doing twenty hours of recorded sessions a month lands around $12 after the free block runs out. Practice Better states the AI features are HIPAA, PHIPA, PIPEDA, and GDPR compliant, and that client data is never used to train models.
One gap that comes up constantly in nutrition practices: Practice Better still doesn’t build structured meal plans, so RDs who want those keep paying separately for a dedicated tool. Our broader roundup for dietitians covers where that fits.
Where Practice Better’s AI stops
Every feature above is something you invoke while you’re sitting in the app with a note, a form, or a program open. None of it is watching your practice.
That’s not a criticism — it’s a scoping decision, and it’s the right one for clinical documentation. But “AI-powered practice management” does a lot of implying, and a solo health coach reasonably hears “it handles the admin.” It doesn’t. Here’s what that looks like on a Tuesday for someone running a nutrition practice alone:
- A client’s 12-week package has two sessions left and expires in three weeks. Nothing tells you. The renewal conversation happens if you remember to have it.
- A prospective client emails through your website at 11am asking whether you take their insurance and whether you do virtual. You’re in back-to-back sessions until 4. It sits.
- Someone books a discovery call, never fills in the intake form, and shows up cold. Practice Better sends the form; it doesn’t notice the form came back empty.
- A client you saw twice in March hasn’t rebooked since. No feature has an opinion about that.
The AI charts. The platform’s own automations, where you’ve built them, fire on rules you set in advance. There is no layer in between that looks at what happened this week and decides what to do about it.
Whether ChatGPT or Claude can drive Practice Better
Not natively. Practice Better isn’t in Anthropic’s connector directory, isn’t a ChatGPT connector, and ships no MCP server of its own. It does publish an LLM information page aimed at AI assistants, which tells you the company is thinking about this — but a page written for models to read is not a connector.
There’s also a limit that catches people out after they get some connection working:
Scheduled work is available in ChatGPT and Claude Cowork, but their ordinary schedulers are clock-driven rather than generic listeners for changes in connected business apps. ChatGPT Workspace Agents add API-triggered runs, with another system responsible for detecting the event and making the call.
For a practice, that’s the whole difference between “AI helps me write” and “AI runs my front desk.” The clock can prompt an assistant at 8am. A confirmed booking can’t.
Practice Better’s Open API: real, but gated
Here’s the part that separates Practice Better from most software in this category, and it’s genuinely good news.
Practice Better runs an Open API, shipped in late 2023 and still labelled public beta. Unlike Jane, which is partner-approval only, or SimplePractice, which exposes nothing at all to the practices using it, an ordinary Practice Better customer can get credentials for their own account.
The path has a gate in it. You request the API Access add-on, and Practice Better’s support team reviews the request before it’s added to your subscription — the stated reason being that they want you to have implementation guidance rather than a key and a shrug. Approval comes by email. Once the add-on is on your account, you create an API Key in-app, and you exchange a Client ID and Client Secret at the auth token endpoint for a bearer token. The add-on is free during beta, and Practice Better has said pricing will be introduced once beta ends.
What it reaches has expanded past read-only. The beta now supports writing to your account — booking sessions, sending forms, creating and inviting clients — alongside retrieving data. That’s a meaningful surface for a solo practice.
And separately, Practice Better has a Zapier app with actual event triggers: confirmed booking, updated booking, cancelled booking, confirmed package, program enrollment, and new client. Those fire when the thing happens. For anyone who has read the paragraph above about the clock being the only trigger available to chat assistants, this is the exception that matters — Practice Better does emit events, they just aren’t reachable from inside ChatGPT or Claude.
Running Carly alongside Practice Better
Carly is an AI assistant you email or text. She’s not a native Practice Better connector; she reaches it the way she reaches most vertical software, by BYO key — you paste your own Practice Better API credentials at carlyassistant.com/integrations once you’ve been approved for the add-on. And because Practice Better fires real Zapier-style events, those are wireable too, which is not true of most practice platforms.
Carly deliberately stays out of clinical territory. No session content, no charting, no client health records. Practice Better’s AI owns that, it’s built for it, and it’s compliant for it. Carly handles the front-desk layer: schedule, enquiries, follow-ups, renewals.
Enquiries that arrive while you’re in session. A prospective client emails at 11am. Carly triages it, drafts the reply that asks the three things you always end up asking — what they’re working on, whether they’ve worked with a practitioner before, virtual or in-person — and flags anything that needs your actual judgment before end of day.
Package and renewal follow-up. The client with two sessions left on a 12-week package. Carly tracks the ones drifting toward expiry and drafts the check-in, so the renewal conversation happens on purpose rather than three weeks late.
Intake that never came back. The discovery call is Thursday, the form went out Monday, nothing returned. Carly chases it by email on Wednesday.
The schedule, by text. Practice Better syncs to Google Calendar from Settings → Integrations, pushing confirmed sessions, personal events, and task reminders across, with your availability windows landing as “Free” placeholder blocks. Carly connects to Google Calendar natively, so once that sync is on you can text her between clients and get your afternoon read back without opening anything.
Keeping client names off a calendar other people see
This one is specific to practitioners and it’s the reason a lot of them go looking in the first place.
The moment Practice Better pushes your sessions into Google Calendar, whatever those events carry — client name, session type — is visible anywhere that calendar is visible. A shared practice calendar. A partner’s linked account. A screen you’re presenting from at a workshop. A phone notification lighting up face-up on a café table.
Carly’s Calendar Sync mirrors events from one calendar to another and rewrites every title to “Busy” on the way across. The destination shows exactly when you’re occupied and nothing whatsoever about who with. Your source calendar is never modified, so your own view keeps real names. You choose per rule what carries and what gets stripped.
Practically, that leaves you with two layers: the private calendar Practice Better syncs into, with real detail, and a mirrored calendar of solid “Busy” blocks that’s safe to share with a colleague, a booking link, or a virtual assistant. Calendar Sync is free and needs no signup to try, which makes it a reasonable thing to set up before you’ve decided anything else.
Carly’s pricing: free Zapier-style workflows; AI agents from $35/month.
FAQ
Does Practice Better have AI?
Yes, and more than one feature. The AI Charting Assistant records, transcribes, and summarizes sessions into Bullet, Narrative, or SOAP notes, with AI Dictation for speech-to-text. Alongside it are AI Session Prep, an AI Writing Assistant, an AI Form Builder, an AI Program Content Generator, AI Session Insights, and AI Fax Classification. Practice Better states these are HIPAA, PHIPA, PIPEDA, and GDPR compliant and that client data isn’t used to train models.
How much does Practice Better’s AI cost?
The AI Charting Assistant is on Starter plans and up, billed on credits: two credits per minute of AI Summary, with the first 600 minutes free, then $0.005 per credit — one cent per minute of recorded session. The AI Writing Assistant, Form Builder, Session Prep, and Session Insights are on all paid plans. The Program Content Generator and Fax Classification sit on Plus and Pro tiers.
Does Practice Better have a public API?
Yes — an Open API, launched in late 2023 and still in public beta, available to ordinary customers rather than partners only. You request the API Access add-on, Practice Better’s support team reviews the request, and once approved you create an API Key in your account and exchange a Client ID and Client Secret for a token. It’s free during beta, with pricing planned after beta concludes. That gate is real but it isn’t a partner program, which puts Practice Better well ahead of SimplePractice and Jane on openness.
Can the Practice Better API write data, or only read it?
Both. It started read-only and the beta now supports writing — booking sessions, sending forms, and creating or inviting clients — as well as retrieving account data.
Is Practice Better a ChatGPT or Claude connector?
No. Practice Better isn’t in Anthropic’s connector directory, isn’t a ChatGPT connector, and doesn’t publish an MCP server. It does maintain a public LLM information page describing itself to AI assistants, but that’s documentation, not a connection. Anything advertising a one-click Claude or ChatGPT Practice Better integration is describing an aggregator or a community project.
Does anything trigger automatically when a client books?
Not from inside ChatGPT or Claude — those reach connected apps on a schedule, never on an event. But Practice Better itself does emit events through its Zapier app: confirmed booking, updated booking, cancelled booking, confirmed package, program enrollment, and new client. So event-driven automation is possible for Practice Better; it just has to run outside the chat assistant.
Does Carly touch clinical notes or client health records?
No. Carly handles scheduling, new client enquiries, intake chasing, and package follow-up. Session content, charting, and clinical records stay in Practice Better, which is built and compliant for exactly that. The split is deliberate rather than a limitation being worked around.
How does Carly connect to Practice Better?
By your own API key. Carly isn’t a native Practice Better connector — once you’ve been approved for the API Access add-on and generated credentials, you paste them at carlyassistant.com/integrations. Practice Better’s Zapier-style events are wireable the same way. If you’d rather not go through the add-on approval at all, Carly still works usefully through your synced Google Calendar and your inbox, which covers scheduling, enquiries, and follow-up without touching Practice Better directly.
Ready to automate your busywork?
Carly schedules, researches, and briefs you—so you can focus on what matters.
See what people say
"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.
Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.
On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
