Tradify AI: What SmartTools Does, and What You Can't Extend

If you searched “Tradify AI,” you want to know two things: whether it exists, and whether it does the work that actually costs you money. The answers are yes and partly.

Tradify ships AI under the name SmartTools. It is real, it is in the product today, and it is narrower than the label suggests. The bigger finding is the one nobody writes up: Tradify is a closed box. There is no public API and no Zapier app, so whatever SmartTools doesn’t do, you cannot bolt on. That changes the whole answer for a sparky on his own or a three-van outfit.

SmartTools is two features, both on the Plus plan

Tradify’s SmartTools page lists exactly two things.

SmartRead does bills. “Simply snap a photo of any invoice, and Tradify will automatically extract the details” — no “lost invoices, double entry, or delays.” This is receipt and supplier-bill capture, and it is the better of the two. If you’re the one emptying a glovebox of merchant docket paper into a shoebox every quarter, SmartRead pays for itself on materials coding alone.

SmartWrite does words. Tradify calls it “the fastest way to craft professional, customer-ready messages,” covering three jobs: fix spelling and grammar, improve formatting, and “generate automatic descriptions from your quote & invoice line items,” with a friendly or professional tone toggle.

Both are Plus plan only — Tradify’s pricing puts Plus at $61 USD per user per month, against $47 for Lite and $51 for Pro, and states the AI features are “available on our Plus plan only.” For a solo trader that’s a $14/month step up from Lite for two features. For three users it’s roughly $500 a year.

Read what SmartWrite actually is before you decide. It writes the description once you have already built the line items. It does not price the job, it does not pick the items, and it does not turn an enquiry into a quote. It is a tone-and-grammar layer on work you have already done. That’s the same thing you’d get pasting the line items into ChatGPT, sold inside the tool where the line items already live — which is a genuine convenience, and not an assistant.

The non-AI feature that does more for cashflow than either

Before you evaluate SmartTools at all, check whether you have turned on automated payment reminders. Tradify sends email or SMS chasers on unpaid invoices at pre-set intervals — before due, on due, and overdue — and tells you whether the customer has actually opened the invoice. Connect Stripe and the reminder carries a pay-now link.

This is not AI and it does not need to be. Chasing money is a scheduling problem, and Tradify already solved it. Most tradespeople who complain that Tradify “doesn’t help me get paid” have never switched it on. Do that first; it’s free on every plan and it is worth more than SmartWrite.

Same goes for appointment reminders to customers. Older, duller, and the thing that stops you driving to an empty house.

Where the money work still isn’t covered

Two jobs make or break a small trades business: quoting fast enough to win the work, and getting paid without becoming a debt collector. Line up what Tradify does against those.

Quoting. The enquiry arrives as a text at 4pm, a missed call and voicemail, an email through your website, or a Facebook message. It sits there. You get home at seven, eat, and build three quotes at nine o’clock — if you don’t fall asleep first. The customer who called four sparkies has already booked the one who answered by six. Nothing in Tradify touches that stretch, because the enquiry isn’t in Tradify yet. SmartWrite only starts helping after you’ve built the line items, which is the last five minutes of a two-hour problem.

Chasing. The automated reminders handle the first 80%. The remaining 20% is the part that stings: the customer who replies to the reminder with a question or a query on the variation, the $4,000 invoice sitting at 62 days that needs a phone call rather than a fourth polite email, and the fact that nothing ranks your debtors by how much is owed and how long it’s been. A reminder sequence fires the same way at a $180 callout and a $9,000 rewire.

Both of those gaps live in your inbox and your phone, not in Tradify. That matters, because of what comes next.

No API, no Zapier app, no connector

Here’s the finding that separates Tradify from its competitors, and it isn’t in the marketing.

Tradify does not publish a public API. There is no developer portal, no documentation site, no endpoint reference, no self-serve credential. api.tradifyhq.com resolves — it’s the backend the web and mobile apps talk to — but it serves nothing to the public, exposes no schema, and is not offered to customers. No webhooks either.

There is no Tradify app on Zapier. The Zapier listing simply doesn’t exist; the URL 404s. So the usual escape hatch for closed software is also shut.

No MCP server, and no ChatGPT or Claude connector. Neither OpenAI nor Anthropic lists Tradify, and Tradify hasn’t published one. (If you search this yourself you’ll hit Tradier, a stock brokerage with an MCP server — different company, easy to misread.)

Tradify’s entire integration list is Xero, QuickBooks Online, MYOB, Sage, Stripe, and Google Calendar. That’s it.

This is a real gap against the field. Simpro publishes a full REST API with self-serve webhooks that an ordinary customer can provision, and ServiceM8 built its own MCP server. Tradify has chosen tight and simple over open. Fine for what it is, but it means the answer to “can I automate around Tradify” is no, not directly.

One warning while you’re looking. Searching “Tradify API” surfaces vendors selling an “unofficial API” that works by logging into your account and scraping it, and they ask for your Tradify username, password, and MFA. Don’t. You’re handing over full control of your business system, in breach of the terms you agreed to, to a service that breaks whenever Tradify ships a UI change.

ChatGPT Scheduled Tasks and Claude Cowork both run unattended on timers. Their ordinary task schedulers do not subscribe directly to arbitrary events in connected business apps. ChatGPT Workspace Agents can be invoked through an API, but an upstream system must still detect the event and call it.

For Tradify that limit is academic anyway — with no connector to schedule against, neither ChatGPT nor Claude can reach your jobs on any timer at all.

The three doors that are open

You can’t get into Tradify. You can work either side of it, and for a small outfit that covers most of the pain.

Your inbox, where quoting actually starts. Enquiries land in Gmail or Outlook before they’re anything else. An assistant reading that inbox can flag the ones that are real work, pull out the address, the scope and any photos the customer attached, and have a reply drafted and sent while the job is still winnable — so the nine-o’clock session is copying a summary into Tradify, not reconstructing a voicemail. Your accounting, where the money lands. Invoices, payments, and bills sync from Tradify into Xero or QuickBooks Online continuously. Both are native Carly connectors — no key, no waiting. That’s enough to rank your debtors by amount and age, spot the invoice that’s quietly gone past 60 days, and get a firmer follow-up drafted to the right contact with the invoice number and the amount already in it. Chasing invoices with an AI agent covers the setup. It’s the escalation layer Tradify’s reminder sequence doesn’t have.

Your Google Calendar — and note the direction. Tradify’s Google Calendar sync is one-way, Google into Tradify: it pulls your personal appointments across so you don’t get double-booked. Your Tradify jobs do not push out to Google. That’s usually written up as a limitation, and for reading your schedule it is. But it also means anything that reaches your Google Calendar shows up in the Tradify scheduler — a site visit agreed over email, a merchant pickup, a compliance inspection. Whatever writes to Google Calendar writes into your Tradify availability by the back door. That’s the one genuine integration point Tradify leaves open, and almost nobody uses it.

On cost, since you may already be weighing $61/user for Plus: Carly is free with Zapier-style workflows, and AI agents start at $35/month. The watching-and-filing half isn’t what you pay for.

Whether Plus is worth it

If you carry a lot of supplier bills, SmartRead alone probably justifies the step up from Lite — bill capture is real hours. If you’re a solo sparky doing mostly domestic work with a handful of merchant accounts, SmartWrite is a grammar checker on your quote descriptions, and you can decide whether that’s worth $14 a month.

What you should not do is upgrade to Plus expecting the quoting and chasing problem to go away. SmartTools is a typing aid. The reminders — which are on every plan — are the feature that actually collects money, and the enquiry-to-quote gap is upstream of anything Tradify sells.
