Step by step

  1. 01

    Start from a template

    In the Workflows tab, create a new workflow from the auto-reply template instead of a blank page. It already has the trigger-on-incoming-email wiring in place, so you're editing the parts that make it yours rather than building from scratch.

    Trigger only on the first email in a thread

    Set the workflow to fire only on the first message of a thread. That's what stops it from auto-replying again to every follow-up in an ongoing conversation — the customer gets one acknowledgment, not a reply to each of their messages.

    Filter it to your support inbox

    Add a filter so the workflow only runs for mail that hits your support address or folder. The rest of your inbox is untouched — the auto-reply fires exactly where customers expect a response and nowhere else.

    Write the acknowledgment reply

    Compose the message customers receive: a short, warm note confirming you got their email and a human is on it. This is the line that turns silence into reassurance, so keep it human and set expectations for when they'll hear back.

    Turn on reply-all and save it to a workflow group

    Enable reply-all so the acknowledgment lands back in the same thread, then save the workflow into a group with your other support automations. From here it runs on its own — every support email gets an instant, on-brand reply.
