How to Automate Outlook Email with ChatGPT

1:30 · November 2, 2026

ChatGPT can do a lot more with Outlook than read your email. Add the Carly plugin and it can run three jobs on its own as mail arrives. It texts you when something urgent lands, so routine mail stays quiet and you stop watching your inbox. It files new email into your existing Outlook folders, based on where you've filed that sender before. And it moves promotional email out of your inbox and can unsubscribe you too. Mail from a person, receipts, bills and account or travel email are kept, anything unclear stays where it is, and Trash is recoverable. Urgent texts only ever go to your own number. Not ready to let AI move your email? Start with File by precedent Preview, which tags new email with a proposed folder and moves nothing.

Step by step

  1. 01

Add the Carly plugin to ChatGPT

Open the Plugins tab on the left, search for Carly and add it.

  2. 02

Get a text when an urgent email arrives

Use the Text me when an urgent email arrives prompt. Routine mail stays quiet, and you only hear about what can't wait.

  3. 03

Sort new email into your folders

Use the File by precedent prompt. It looks at where you've filed each sender before and moves new email into the same Outlook folder.

  4. 04

Preview it first if you want

File by precedent Preview tags new email with a proposed folder and moves nothing, so you can check its calls before you turn on the automatic version.

  5. 05

    Clear out promotional email

Use the Trash promotional email prompt. Marketing and deal blasts leave your inbox, and you can ask ChatGPT to unsubscribe you from those senders too.

  6. 06

Browse more workflows or write your own

Look up Carly AI and press the Workflows tab to see what else people run, like filing attachments in Dropbox or adding calendar events. Or just type the workflow you want into ChatGPT.

"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.

Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.

On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
