How to Automate Gmail with Claude

1:34 · November 2, 2026

Most people use Claude with Gmail to read, draft and send email. Add the Carly connector and Claude can also work on your email as it arrives. It texts you when something genuinely urgent lands: a real person waiting on you, a hard deadline, money, or a problem in progress. It sorts every new email with the Gmail labels you already use, leaves anything it's unsure about alone, and never creates a label or deletes anything. And if you have several accounts, it looks across all of your Gmail and Outlook inboxes every hour and sends you one summary of what you need to see, so you stop switching between tabs.

Step by step

  1. 01

Add the Carly connector to Claude

Press the plus sign, then Connectors, then Manage connectors, and search for Carly.

  2. 02

Get a text when an urgent email arrives

Use the Text me when an urgent email arrives prompt. Routine mail stays quiet and waits in your inbox, and texts only ever go to your own number.

  3. 03

    Sort every new email

Use the Triage & file every email prompt. New email gets one of the Gmail labels you already use, and anything unclear is left alone.

  4. 04

Get one summary of all your inboxes

Tell Claude: "Email me every hour about what emails I received that look important." Every hour it checks each Gmail and Outlook account you've connected and sends you what you need to see.

  5. 05

Find more prompts or write your own

Look up Carly AI and press Workflows to browse prompts for everything from filing attachments to updating Excel sheets. Or describe your own workflow to Claude.

"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.

Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.

On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
