How to Send Your Availability Without Leaving Gmail

Every time someone asks when you're free, you end up bouncing between two tabs, reading times off your calendar and typing them into your inbox. The Carly Chrome extension puts the calendar inside Gmail instead. A calendar icon appears on the right side of your inbox; click it and your events are there. Hit Show Availability and your open times come back as text, ready to paste into the reply you already have open. It reads across every calendar you connect, so if work and personal live in separate accounts you can see both at once and toggle either one off when you don't want it counted toward what you send. The whole point is removing the tab switch: the answer to "when are you free" gets composed in the same window as the reply.

Step by step

  1. 01

    Install the Chrome extension

Add the Carly extension from the Chrome Web Store. Once it's installed, a calendar icon appears on the right side of Gmail.

  2. 02

Open your calendar inside the inbox

Click the calendar icon and your events show up next to your mail. You're looking at the same calendar you always do, without leaving the message you're reading.

  3. 03

    Connect more than one calendar

The panel reads across every calendar you connect, so a work account and a personal account can be visible at the same time. Toggle either one off when you don't want it counted.

  4. 04

    Hit Show Availability

Your open times come back as plain text built from the calendars currently switched on. It's the list you would have written by hand, assembled from what's actually free.

  5. 05

Paste it into the reply you're writing

Drop the times straight into the draft. The question gets answered in the same window it arrived in, which is the part that saves the minute every single time.

"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.

Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.

On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
