Calendar & Scheduling
A When2meet Alternative That Connects Your Calendar
When2meet is a free group scheduling tool: everyone marks the days and times they're free, and you find a time that works for everyone. It has two problems. Because it's free, ads sit at the bottom of the page, which is distracting and limits what you can see to about half the screen. And you and your guests type in your availability by hand, with no way to connect a Google or Outlook calendar as a starting point. Carly's free group scheduling tool fixes both. It has no ads. You connect one calendar or several and choose exactly which sub-calendars count against your availability, and your first pass is filled in for you, with every busy time blocked out. You can override anything: mark a busy time as available, or block times you don't want to meet. Participants don't need a login. Then it does what When2meet can't: it creates the calendar event automatically, sent just to you or to every attendee. The organizer also gets everyone's email addresses, split by who is available and who isn't, to paste into an invite if you'd rather send it yourself.
Step by step
- 01
Start a group scheduling poll
Open Carly's free group scheduling tool at carlyassistant.com/group-scheduling and set the days and times you want to poll.
- 02
Connect your Google or Outlook calendar
Connect one calendar or several, then pick exactly which sub-calendars count against your availability.
- 03
Let your busy times fill in
Your first pass is filled in for you from the calendars you picked, with every busy time blocked out. Override anything you like: mark a busy slot as available, or block a time you don't want to meet.
- 04
Share the poll
Send the link to your group. Participants don't need a login, and there are no ads on the page.
- 05
Create the event automatically
Once you pick the time, the calendar event is created for you, sent just to you or to every attendee. You also get everyone's email addresses, split by who is and isn't available, if you'd rather send the invite yourself.

"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.
Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.
On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
