Calendar & Scheduling
Set Up a Team Booking Page With Round Robin
A booking page tied to one person's calendar can quietly turn a busy week into lost meetings: once that calendar fills, the next lead has nowhere to go. Carly's team booking pages spread availability across the people who can take the call, giving the page more coverage without making the visitor choose a rep. This walkthrough shows the three supported team setups: round robin for distributing meetings, collective booking when several people need to attend and managed booking for centrally controlled pages. It also covers the operational layer around the calendar. You can see recent meetings and mark no-shows, sync meetings and notes into the CRM you already use, and open the insights page to follow the funnel from page view to time selection to completed booking. Team visibility shows who is taking meetings and how the group is performing, so the booking link becomes something you can improve rather than a black box you only share.
Step by step
- 01
Open Carly booking pages
Go to Booking Pages in Carly. This is where you create the link, choose its hosts and review the meetings people book through it.
- 02
Choose the team booking model
Use round robin to distribute meetings across available teammates, collective booking when multiple hosts need to join or managed booking when an admin should control the setup.
- 03
Add the calendars that provide coverage
Connect the calendars for everyone who can take the meeting. The page can offer a time whenever an eligible teammate is available instead of stopping when one person's calendar fills.
- 04
Review meetings and mark no-shows
Use the bookings view to see everyone the team met with recently and record who did not attend without searching through individual calendars.
- 05
Send meetings and notes to your CRM
Sync each booking and its meeting notes to the CRM your team already uses so the activity is recorded without a separate round of data entry.
- 06
Follow the booking funnel
Open Insights to see the path from viewing the page to selecting a time to completing the booking, then use that data to find where prospective meetings drop off.
- 07
Check how the team is performing
Use the team-level view to see who is taking meetings and where coverage or follow-through needs attention.

"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.
Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.
On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
