A sales prospecting workspace showing enriched contact records and outbound sequences

Apollo.io Pricing: Plans, Credits, and Mailbox Caps

Apollo.io costs $0, $49, $79, or $119 per seat per month billed annually. Billed monthly the paid tiers are $65 and $99, and the top tier is annual only. Annual billing saves 24%.

The seat price is only half the model. Apollo runs on credits, and the credit allowance changes by a factor of eighty between the free plan and the entry paid plan. That, plus the mailbox limits, is what actually decides which tier you need.

PlanAnnual (per seat/mo)MonthlyCredits per seat
Free$0$0900/year, granted monthly
Basic$49$6530,000/year, granted upfront
Professional$79$9948,000/year, granted upfront
Organization$119, min 3 seatsAnnual only72,000/year, granted upfront

Free

$0 with 900 credits per seat a year, granted 75 at a time each month. Two sequences, AI Research, the prospecting, Gmail and Salesforce extensions, basic filters, one intent topic, API access, one meeting event, and 150 minutes of call recording. Website visitor identification covers 20 companies a month and CRM enrichment is capped at 100 records a month.

Seventy-five credits a month is enough to evaluate the data quality and not much else. The free plan is a trial with no expiry date rather than a working tier.

Basic

$49 a seat per month billed annually, or $65 monthly. 30,000 credits per seat per year granted upfront, unlimited sequences, advanced filters and signals, Google Maps business search, six intent topics, CSV import and export, 250,000 AI writing words a month, and a record selection limit of 1,000.

The constraint most people hit on Basic is not credits. It is one mailbox per user and 250 daily email sends, the same limits as the free plan. If outbound volume is the reason you are buying Apollo, Basic does not raise the ceiling.

Professional

$79 a seat per month billed annually, or $99 monthly. 48,000 credits per seat per year, and this is the tier where the sending limits come off: unlimited Google and Microsoft mailboxes plus five SMTP mailboxes per user, and unlimited daily sends.

It also adds waterfall enrichment, AI filters and scores, agentic loops, unlimited projects, A/Z testing on sequences, the dialer, call recordings with AI insights, the deliverability suite, the unified inbox, the task execution center, a meeting scheduler, and 50 automated workflows per team against Basic’s five. Record selection rises to 2,500.

Professional is where Apollo becomes the product it advertises. The jump from Basic is 61% for a tier that removes the two limits that make Basic frustrating.

Organization

$119 a seat per month with a three-seat minimum, billed annually only. The monthly view shows $149 and marks the plan Annual Only, so the commitment is not optional.

72,000 credits per seat per year, 15 SMTP mailboxes per user, a 10,000 record selection limit, 500 team workflows, 12 intent topics, customizable reports and dashboards, advanced security configuration, single sign-on, and the option to use your own LLM API key.

Three seats at $119 is a $4,284 annual floor, which is the real entry price for this tier.

What the pricing page glosses over

Credits are granted upfront on paid annual plans, and monthly on everything else. Annual Basic hands you 30,000 credits per seat on day one. Monthly Basic gives you 2,500 a month. The yearly total is identical, but a big enrichment project is only possible on the annual plan.

Credits buy data, not usage generally. They cover email addresses, phone numbers and enriched records, and the fair use policy sets a hard ceiling on Unlimited-style allowances: 10,000 credits per account per month for non-paying accounts, and for paying accounts the lesser of the amount paid divided by $0.025 or one million credits a year.

Email campaigns are not a paid feature. Sending campaigns does not require payment. What requires payment is sending at volume, because the mailbox count and daily send cap are what gate it.

Organization has a seat minimum and no monthly option. Both facts sit in small type next to the price.

Is Apollo.io free?

Yes, genuinely, with a permanent free plan at 900 credits per seat per year, two sequences, one mailbox and 250 daily sends. It is usable for research and unusable for outbound at scale, which is the intended shape.

When Apollo isn’t worth it

Apollo is a database with an outbound engine attached, and the database is the part you are paying for. If prospecting into cold accounts is the job, the credit model is the right model and the Professional tier is fairly priced against what a contact database costs elsewhere.

The tier gets bought for the wrong reason when a small team wants the sequencing and the follow-up rather than the data. That team ends up at $79 a seat, mostly for mailboxes and reminders, with the enrichment credits going unused month after month.

If the work is following up on conversations you already have rather than starting new ones, Carly is priced for that instead. Every Gmail and Outlook account connects as its own authorized connection, so replies go out from the address that owns the thread with no per-mailbox limit and no daily send tier. The follow-up sequences are Zapier-style workflow steps that are free rather than counted against a workflow allowance, and the assistant that drafts, sends, and books the meeting starts at $35 a month rather than per seat. Carly connects to thousands of apps, so the CRM stays the CRM.

"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.

Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.

On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
