A phone resting on a marble counter beside a coffee cup, next to the headline missed a call? Text them back

Missed Call Text Back: How It Works, Templates and Tools

You’re under a sink, on a roof or with a patient when the phone rings. By the time you call back, the caller has booked someone else.

Missed call text back closes that gap with one text, sent seconds after the call ends. Whether it wins the job depends on what happens when the caller texts back.

The quick answer: Missed call text back is an automation that texts a caller from your business number seconds after their call goes unanswered, so the conversation carries on by text instead of dying in voicemail. Quo, Grasshopper, HighLevel, Podium, Jobber and Weave all sell a version, from $14 to $599 a month before add-ons. Most send one fixed message and leave the reply to your team. Carly is the pick: it texts the caller back from your number, then answers their reply, qualifies them and books them on your real calendar, and a teammate can take over the thread at any point. Or let Carly answer the call itself, so it never becomes a missed call.

The column that matters is the third one. A fixed auto-text buys you a few minutes. Then the caller texts back a question, and it lands in front of the same busy person who couldn’t pick up the phone. That’s the step Carly takes off your plate.

Why a text beats a callback

A missed call is a lead with a clock on it. When Harvard Business Review audited 2,241 US companies, firms that contacted a lead within an hour were nearly seven times as likely to qualify it as firms that waited even an hour longer, and more than 60 times as likely as firms that waited a day or more.

Calling back has its own problem: eight in ten Americans say they don’t generally answer calls from unknown numbers, per a Pew Research Center survey. A text from the number they just dialed gets read whenever they look at their phone.

How missed call text back works, step by step

  1. The call rings your team first, through your normal routing.
  2. Nobody answers. The call ends as “no answer,” or the caller leaves a voicemail.
  3. A text goes out within seconds, from the number they dialed. The caller recognizes it, and their reply comes back to your business line instead of someone’s personal cell.
  4. The caller replies, usually with the job itself: “AC is out, can someone come today?”
  5. Someone answers, fast. With a plain auto-reply, that’s whoever on your team sees the text first. With Carly, the AI answers in moments, qualifies and offers real times.
  6. It’s booked and logged. The appointment is on the calendar, the confirmation goes out by text, and the thread sits on the customer’s record.

Steps 5 and 6 work like any inbound text lead, covered in our SMS appointment booking guide.

Or let Carly pick up the call

Text-back rescues a missed call. Carly can also stop the call being missed: in Carly’s call flow, “if no one answers” hands the call to Carly’s AI voice agent instead of voicemail. It answers in your business name, knows repeat callers from your email and CRM history, qualifies and books them, and rings the right teammate when a caller wants a person. Our AI voice agent guide walks through a full call, and the after-hours answering service guide covers nights and weekends.

Plenty of owners still choose text-back: some customers would rather type than talk, a law firm may want a person on a new case’s first call, and it’s a smaller first step if you aren’t ready for AI on the phone. Both run on the same Carly inbox, CRM and calendars, so you can start with text-back and hand calls to Carly later. Get started with Carly and try both on your own line.

5 missed call text back templates to copy

A good text-back message names the business in the first words, asks one question that moves the job forward, gives an urgent path if you handle emergencies, and ends with “Reply STOP to opt out.”

Plumber, during the day (Whitaker Plumbing):

Hi, it’s Whitaker Plumbing. Sorry we missed your call, we’re on a job. What do you need help with? If water is leaking right now, reply URGENT. Reply STOP to opt out.

HVAC, after hours (Carter Heating & Air):

Thanks for calling Carter Heating & Air. We’re closed for the night, but we can book you by text right now. Is your system completely out, or just acting up? Reply STOP to opt out.

Dental office (Bennett Dental):

Hi from Bennett Dental! Sorry we missed you. Are you a new or current patient? Reply here and we’ll find you a time. For a dental emergency, reply URGENT. Reply STOP to opt out.

Law firm (Hale & Moore Law):

This is Hale & Moore Law. We missed your call and want to help. In a sentence or two, what happened and when? Our intake team will reply here. Reply STOP to opt out.

Caller left a voicemail (any business):

Got your voicemail, thanks for calling Whitaker Plumbing. Josh will call you back this afternoon. If texting is easier, just reply here. Reply STOP to opt out.

With most tools, that message is the whole automation. With Carly, it’s the opening line: the caller replies and Carly carries the conversation to a booking.

This isn’t legal advice. Check TCPA and state law with your lawyer before you switch anything on.

Register your number. US carriers block business texts from unregistered local (A2P 10DLC) numbers, and toll-free numbers must be verified before they can send. Registration means describing your use case with sample messages, so describe missed-call follow-up honestly. Vendors pass carrier fees through (Quo lists $19.50 one-time plus $1.50 to $3 a month). With Carly, carrier registration is part of setup. Our business texting guide covers registration step by step.

Keep the first text about their call. Under FCC rules, autodialed texts to a cell phone need the owner’s prior consent, and the FCC’s consumer guide notes that commercial texts require written consent, while informational ones can rest on oral consent. One reply to someone who just called you, about that call, is the common, lower-risk pattern. A phone call isn’t written consent to marketing, so keep callers off your promotions list. Some states, Florida and Oklahoma among them, have their own laws on marketing texts.

Honor opt-outs. FCC rules in effect since April 2025 let people revoke consent in any reasonable way (stop, quit, end, revoke, opt out, cancel and unsubscribe all count) and give you at most ten business days to honor it. Carly honors STOP replies.

Send one text, not five. Check how a tool handles repeat callers: HighLevel’s own help docs say its setting texts on every missed call and suggest a workflow with a wait step to avoid duplicates. In Carly, if a teammate has already replied to the caller, the automated text is refused, so nobody gets a canned message on top of a real answer.

How to set up missed call text back in Carly

Here’s a Tuesday at Whitaker Plumbing, a five-person shop. Josh owns it, Megan runs the office, and Tom and Ryan are in the field.

At 2:10pm Emily calls. Josh is in a crawlspace and Megan is on another line, so the call rings out. Seconds later Emily gets the first template above from Whitaker’s own number.

She replies: “Kitchen sink is backing up into the other side. Can someone come tomorrow morning?” Carly answers from Josh’s knowledge files (service area, trip fee), asks his two qualifying questions, checks the field calendars and books Tom at 8am Wednesday, round robin across whoever is free. Emily gets the confirmation in the same thread.

Megan sees the missed call, the texts and the booking on Emily’s timeline in the team inbox. It’s logged in Carly’s CRM and written back to HubSpot, Salesforce or Dynamics 365 if that’s where the team works. If Megan wants to take over, she replies and Carly steps back.

Five steps to switch it on

  1. Get started with Carly and set up your number. Keep the number you have or get a new one. The Carly team sets up the line with you, carrier registration included.
  2. Describe the workflow in plain English. For example: “When a call ends with no answer, text the caller from our business number: [your template]. If they left a voicemail, send this instead: [voicemail template].” Carly workflows trigger on call ended, voicemail received and text received, and a call-ended workflow sees whether the call was answered, missed or sent to voicemail.
  3. Tell Carly how to handle replies. Add your knowledge files (prices, service area, hours), write your qualifying questions and choose which calendars it can book. Prefer your team to reply? Switch AI answering off for that number and the text-back still goes out.
  4. Add the extras. Your team is already notified of missed calls and voicemails. One more sentence moves the deal stage in your CRM when a caller books, or posts the booking to Slack. Carly connects to thousands of apps.
  5. Test it. Call your business number from your own phone and don’t answer. Check that the text arrives, reply like a customer would, then read the log.

The same inbox handles web-form leads too: Carly calls a new form lead within about a minute, qualifies them and books them. Our tutorial on texting leads back and booking appointments shows the texting side on screen.

Carly’s phone line is priced on a short call with the Carly team, scoped to your number and call volume. Beyond the phone: free Zapier-style workflows; AI agents from $35/month. Start with Carly, or compare full AI answering in our AI answering service guide.

FAQ

What is missed call text back?

An automation that texts anyone whose call to your business goes unanswered, within seconds, from the number they dialed. With Carly, the reply gets answered too: Carly qualifies the caller and books them on your calendar.

Generally yes, done carefully. A single reply about the call someone just made to you is the common, lower-risk pattern, but a call isn’t written consent for marketing texts. Register your number, include opt-out language, honor STOP, and check TCPA and state rules with a lawyer.

What should a missed call text say?

Name your business, apologize briefly, ask one question that moves the job forward and add “Reply STOP to opt out.” The five templates above cover trades, dental, legal and voicemail follow-ups.

How much does missed call text back cost?

As of October 1, 2026, Grasshopper starts at $14 a month billed annually, Quo at $15 per user billed annually, HighLevel at $97 plus phone usage, Weave from $199 and Podium from $399. Carly’s phone line is priced on a short call, with free Zapier-style workflows; AI agents from $35/month. Get started with Carly.

Does missed call text back work if the caller used a landline?

Usually not. Most landlines can’t receive texts, so the message won’t arrive. If many of your callers ring from landlines, let Carly answer the call instead, so nobody has to rely on a text.

2. Walk me through connecting my accounts at https://carlyassistant.com/integrations. Under Accounts, I type each email address I use and click Add Email. On each new address, I click Connect Gmail or Connect Outlook, tick what Carly can reach (Email, Calendar, Contacts, Drive or OneDrive), then click Connect with Google or Connect with Microsoft and grant access. For an address that is already connected, I open Manage access and click Connect next to anything missing. Repeat for every address. Then ask which of my other apps I want connected too.

3. Check it worked: list my connected mailboxes and calendars and tell me every account you can see.

4. Then ask me what to hand off first, for example: "Check all my inboxes for anything that needs a reply today."

See what people say

"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.

Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.

On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
