AI for Hotels: Calls, Texts, Reviews and Upsells (2026)
It’s 10:40pm at a 40-room inn. The night auditor is checking in a family of five when the phone rings: a guest landing at midnight wants to know where to park and how to get in. Nobody picks up.
That call is where AI for hotels pays for itself. Not a robot behind the desk, but something that answers the phone, the texts and the inbox so the person at the desk can look up at the guest in front of them.
The quick answer: AI for hotels takes the repetitive guest contact off the front desk. It answers calls when staff can’t (availability, directions, parking, late check-in), replies to guest texts, works the booking and group-inquiry emails, drafts review responses and offers upgrades before arrival. Hotel platforms like Canary, HelloShift and Conduit bundle that with check-in and housekeeping software. For an independent hotel, inn or B&B that wants its phone, texts and email covered first, the pick is Carly: it answers when the desk can’t, texts guests back from your own number and puts every call, text and email in one team inbox.
Where AI helps a hotel, job by job
| Hotel job | What AI does | Example tools |
|---|---|---|

| Guest texts | Answers pre-arrival and in-stay texts from your own policies, hands the thread to staff when needed | Carly, HelloShift Guest Messaging, Canary Guest Messaging, Conduit |
| Booking and group-inquiry emails | Sorts the reservations inbox, drafts replies, follows up, logs the planner as a lead | Carly, Canary Agentic Sales Coordinator |
| Review responses | Drafts a reply to each new review in your voice for a manager to approve | Carly (from the review alert email), Conduit |
| Upsells | Offers early check-in, upgrades, parking and packages before arrival | Canary Dynamic Upsells, Conduit Guest package, a Carly pre-arrival workflow |
| Staff scheduling and housekeeping | Assigns room cleanings, sends the week’s shifts, tracks open tasks | HelloShift Housekeeping, Conduit Full Suite, Carly shared to-dos and scheduled workflows |
Most hotels already use AI somewhere. Mews, the hotel software company, surveyed more than 500 properties between December 2025 and March 2026: 98% of hoteliers had used AI in their operations in the past six months, and 59% said the front-desk welcome and check-in should stay human-led. That’s the right split. AI takes the phone and the inbox; people take the guest at the counter.
The desk is also thin. In the American Hotel & Lodging Association’s Front Desk Feedback survey of 246 hoteliers (March 2026), more than half said their properties were somewhat or severely understaffed, and 65% named labor costs as a financial pressure.
Hotel AI phone answering: what guests actually call about
Most calls to a small hotel are the same handful of questions. A good AI phone agent answers them from your written policies and knows where to stop.
| Call | What the AI does | Hand to a person when |
|---|---|---|
| ”Do you have a room Friday?” | Quotes live availability if your PMS is connected, or texts your direct booking link | The caller wants a rate exception or a long-stay deal |
| ”Where do I park?” / directions | Answers from your policy and texts the details from the hotel’s number | Never needed |
| ”I land at midnight. How do I get in?” | Explains late check-in and texts the instructions | The night process needs a staff member to meet them |
| Pets, breakfast, early check-in | Answers from your policies | The answer depends on today’s occupancy |
| ”We need 15 rooms for a wedding in June” | Takes dates, headcount and budget, books a call with your sales lead | Always, once the details are captured |
| Something’s broken in the room | Logs it and rings the on-duty teammate | Immediately |
Two rules hold for every row. The agent answers from your policies, not from what a language model guesses a hotel usually does. And it never takes a card number by voice: it texts a secure booking or payment link, or hands off.

Canary, HelloShift and Conduit are hotel software first, with AI layered on check-in, upsells and housekeeping. HelloShift’s AI Voice lets staff answer first and checks live availability from your PMS mid-call (voice booking is built PMS by PMS). Canary’s books and modifies reservations. Carly starts from the conversations: your team’s calls, texts and email in one place, beside the PMS you already use.
How Carly runs the front desk at a 40-room inn
Michael owns the Kestrel Lake Inn, 40 rooms in the Adirondacks, with two front-desk staff on days and one night auditor. Here’s a Friday evening with Carly on the line.
- The desk rings first. Calls ring Josh and Emily at the front desk. When nobody picks up, Carly answers in the inn’s name. After 11pm, Michael has Carly take every call.
- Carly knows who’s calling. Claire’s number matches the CRM record built from her booking confirmation email, so Carly greets her by name and knows she arrives tonight.
- It answers from the inn’s own policies. Claire lands at midnight. Carly explains the late-arrival process and texts the instructions and parking map from the inn’s number.
- It hands off when it should. A guest in room 12 calls about a dead heater. Carly logs it and rings the night auditor straight away.
- It catches the group lead. A planner calls about 15 rooms for a June wedding. Carly takes the dates, headcount and budget and books a call on Michael’s real calendar for Monday at 10am.
- Everything lands in one place. Transcripts and summaries go to the team inbox and each guest’s CRM record, next to their emails and texts. Voicemails are transcribed, and the team is notified of missed calls.
You pick the voice, edit the instructions yourself and test it with a call from your own phone. The Carly team sets up the number with you, either the one guests already call or a new one.
Guest texts from the same number
Texts go out from the hotel’s number. Carly answers inbound texts from your knowledge files, a teammate can take over any thread, and AI answering can be switched off per number. “STOP” is honored, and carrier registration is part of setup. A missed caller can get a text back within seconds, as in our missed call text back guide.
The reservations inbox and group inquiries
Booking questions, group requests and travel-agent emails land in the same team inbox as calls and texts. Assign a thread to a teammate, and a teammate replying by hand pauses the AI on that conversation. Your reservations@ address can run as an email agent with its own address, and every wedding planner and tour operator lands in the CRM with the full history.
Workflows for reviews, pre-arrival and housekeeping
Workflows fire on call ended, call summarized, voicemail received, text received, new email and a schedule. Michael described three once, in plain English:
- Review replies: when a review alert email arrives, draft a response in the inn’s voice and send it to Michael to approve.
- Pre-arrival: when a booking confirmation lands, schedule an email for two days before arrival with parking, check-in times and an early check-in offer. Replies come back to the inbox.
- Housekeeping: every Sunday at 5pm, email the week’s shifts from the schedule sheet to the housekeeping team.
Your PMS
Carly connects to thousands of apps. A PMS that gives a property its own API key (Cloudbeds documents property-level keys, for example) connects by pasting that key into Carly. Mews runs its Connector API through a certification, even for a property building its own integration, so the Carly team scopes that kind of connection with you. Want Carly quoting live room availability mid-call, or covering a group of properties? Book a call with the Carly team. The phone line is priced on that call. Beyond the line, Carly has free Zapier-style workflows; AI agents from $35/month.
Reviews: let AI draft, keep a person on send
Reviews move your rate. Cornell’s Center for Hospitality Research found that a hotel raising its review score by one point on a five-point scale can charge 11.2% more and keep the same occupancy. And replying helps: in a study of hotel review responses published in Marketing Science (2017), hotels that started responding to reviews saw ratings rise 0.12 stars and review volume grow 12%.
So answer every review, and let AI do the first draft. Keep three rules:
- A manager approves every reply to a review of three stars or less before it posts.
- Name the fix, not a generic apology: “We’ve replaced the heater in room 12.”
- Never offer refunds or comped nights in a public reply. Take that to email.
What to check before you buy hotel AI
- Who answers first. Staff first with AI on overflow, or AI on every call? Overflow and after hours is the usual start.
- Live availability. Does the agent read your PMS for real rates, or text a booking link? Ask which PMS the vendor has actually connected.
- The handoff. Ask for a person mid-call and time how long it takes to reach the night auditor.
- Payments. Card numbers should never be taken by voice. Look for a texted payment link.
- Disclosure and recording. Since August 2, 2026, the EU AI Act requires AI systems that talk to people to say so unless it’s obvious, and several US states require everyone on a call to consent to recording. One opening line covers both: “You’re speaking with the Kestrel Lake Inn’s AI assistant, and this call is recorded.” This isn’t legal advice.
- Where the record lands. One inbox with calls, texts and email beats a separate dashboard nobody opens.
- The pricing unit. Per room (HelloShift), per unit (Conduit), custom quote (Canary) or priced on a call (Carly). Price your own room count before comparing.

FAQ
How is AI used in hotels?
Mostly on guest contact: answering calls and texts, drafting replies to booking and group emails, writing review responses and offering upgrades. Hotel platforms also use it for check-in and housekeeping. Carly covers the calls, texts and email side for independent hotels.
Can AI answer hotel phone calls?
Yes. It answers when the desk is busy or after hours, handles parking, directions, pets and late check-in, texts details from the hotel’s number and transfers to a person. Quoting live availability needs a connection to your PMS.
Will AI replace front-desk staff?
At a small hotel, no. In Mews’s 2026 survey, 59% of hoteliers said the welcome and check-in should stay human-led. The useful setup is AI on the phone and inbox so your staff can focus on guests at the desk.
How much does AI cost for a small hotel?
It depends on the pricing unit. On HelloShift, AI Voice for a 40-room property starts at $100 a month billed annually. Conduit’s messaging package starts at $18 per unit a month, and Canary quotes custom pricing. Carly’s phone line is priced on a short call, so book a call with the Carly team to scope it.
Does Carly work with my PMS?
Carly connects to thousands of apps. A PMS that issues property-level API keys connects by API key. For PMSs that gate API access behind a partner certification, the Carly team scopes the connection with you on a call.
Can AI respond to hotel reviews?
It can draft them. Let a Carly workflow turn each review alert into a draft in your voice, then approve and post it yourself, especially for anything under four stars. Get started with Carly and set up the review workflow first.
Ready to automate your busywork?
Carly schedules, researches, and briefs you—so you can focus on what matters.
See what people say
"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.
Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.
On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
