AI for Shared Mailboxes: What Actually Works in 2026

A shared mailbox is not a mailbox you read. It is a queue somebody has to work. support@, ap@, orders@, claims@, info@: mail lands in them all day, and the cost is never comprehension, it is response time.

In 2026 every major chat assistant added shared-mailbox access. None of them added the thing that clears a queue.

Copilot, ChatGPT and Claude on a shared mailbox

Microsoft 365 Copilot Chat reached general availability in shared and delegate mailboxes between early May and early June 2026, covering full-access shared mailboxes and shared folder permissions. Summarize and Draft work with no special prompt syntax, and conversation history saves to your own account so two people using the same shared mailbox never see each other’s chats. It is not yet in classic Outlook for Windows. It drafts, and you press send.

ChatGPT went furthest on permissions. Its Outlook Email app carries Mail.Read.Shared, Mail.ReadWrite.Shared, and Mail.Send.Shared, so it searches a shared mailbox, moves and marks messages, and genuinely sends from that address. Two catches. You must supply the mailbox owner’s exact email on every request, and attachments in shared or delegated mailboxes cannot be retrieved at all, because those actions work only on the signed-in user’s own mailbox.

Claude reads and stops. The Microsoft 365 connector reaches shared and delegated mailboxes on Mail.Read.Shared, including folder-level delegation, and requests no matching shared write or send permission. A reply it drafts leaves from your address rather than the shared one.

Where every shared mailbox AI stops

Scheduled runs are the whole story in ChatGPT Scheduled Tasks and Claude Cowork. Set a time, get a result at that time. Frequently asked questions

Can AI reply from a shared mailbox rather than my own address?

ChatGPT can, through Mail.Send.Shared, once an admin approves the scopes and enables the action. Claude cannot. Copilot drafts and you send. Carly replies from the address that received the thread.

Why can’t ChatGPT open attachments in a shared mailbox?

Its attachment actions work only on messages in the signed-in user’s own mailbox. It is a limit on the actions themselves rather than a permission an admin can grant.

Can any of these work the mailbox while nobody is watching?

Only an assistant built to run on triggers. Chat assistants act inside a conversation you start, so overnight and weekend mail waits.

Does connecting a shared mailbox need an administrator?

For the chat assistants, usually yes, and sometimes two people: a Microsoft Entra administrator for the scopes and a workspace admin for the actions. Carly runs on the delegate rights you already hold.

What about a shared Gmail inbox?
