Buildertrend API: What Builders Can Automate With Carly

A selection deadline passes on Thursday, nobody notices until Monday, and the cabinet order slips two weeks. With Carly on the builder’s inbox, the client gets a reminder from Michael’s own address three days before the deadline, with the selection named in the subject line. The same assistant sends the owner one evening email summarising every daily log across every job, nudges the client whose change order has sat unapproved for 48 hours, confirms Tuesday’s schedule with each sub, and follows up the invoice that QuickBooks shows as overdue.

Buildertrend does not publish an API a customer can use, and it has no Zapier app. It does send a notification for almost everything that happens in a job, by email, text or in-app, and each email carries a direct link to the item. That stream is what Carly works from.

Five things a Buildertrend builder can hand to Carly

1. One daily log digest instead of twelve notifications

Every superintendent’s daily log fires its own notification. Carly collects the day’s log emails across all active jobs and sends Emily, the owner, a single 6 p.m. summary: weather delays, crews on site, the photo counts, and any log that mentions an inspection or a problem. She reads one email instead of scanning the app.

2. Selection reminders that go out before the deadline, not after

When a selection with a deadline is published, Buildertrend notifies the client. Carly notes the deadline, and if nothing has been chosen three days out it emails the client from the project manager’s account with the selection name and the link. Late selections are the most common reason a schedule moves, and this is the cheapest fix.

3. Change order nudges at 48 hours

Buildertrend lets you set an approval deadline on a change order and can auto-generate the invoice on approval. What it will not do is chase. Carly watches for the “change order sent” notification, waits two business days, and if the approval notification has not arrived it sends the client a short reminder and drops a line in the job’s Slack channel.

4. Sub confirmations for tomorrow’s schedule

At 3 p.m., Carly reads the schedule notifications for the next day and emails each sub a one-line confirmation request. Replies land in the same thread, and anyone who has not answered by 5 p.m. is on a list for Josh to call.

5. Invoice follow-ups from the books, not the memory

Buildertrend syncs invoices to QuickBooks or Xero, both of which Carly connects to directly. A weekly workflow pulls open invoices past 15 days and sends the client a polite follow-up with the amount and a payment link, from your accounts address. Claire stopped keeping the spreadsheet.

Three ways Carly works with Buildertrend

On demand, from email or text. Forward a Buildertrend notification to Carly with “add this to Thursday’s site visit” or “what did the last three logs say about the Henderson framing” and it works from what is in your mailbox and calendar.

On a schedule. The evening log digest, the Friday selections report, the Monday overdue-invoice sweep. Each is one workflow, delivered by email or Slack.

From an event. Buildertrend’s notifications are the event feed. Turn on email for daily logs, selections, change orders, schedule items and invoices under your profile’s Settings, then Notifications, and Carly can start a workflow the moment one lands. Nothing here waits on Buildertrend granting API access.

Carly adds the assistant layer Buildertrend leaves out

Buildertrend is the system of record for the job, and its own AI now drafts client updates and captures bills. The follow-up is still on your team: the client who has not chosen tile, the sub who has not confirmed, the change order nobody signed. Carly connects to thousands of apps, so the assistant that reads your Buildertrend notifications also reads your calendar, QuickBooks, HubSpot and Slack, and acts across them in one workflow.

Three documented apps is not a stack. ChatGPT's event-triggered tasks are documented for Gmail, Slack and GitHub, plus, since September 29, 2026, whichever other plugins support events, a list OpenAI has not published. Claude's scheduled tasks still run on a clock alone. The CRM, the intake form, the billing system and the calendar are where most work actually starts, and none of them is on a published list. Carly is already watching those, and moves the moment something happens.

Carly is free for Zapier-style workflows, with AI agents from $35/month. For what Buildertrend’s own AI covers, see Buildertrend AI, for the wider field, the best AI automation tools for Buildertrend, and for the assistant side, Claude and Buildertrend.

The API question, as it stands on September 30, 2026

  • No public API. developer.buildertrend.com and developers.buildertrend.com do not resolve. api.buildertrend.com returns 401 and serves Buildertrend’s own apps and partners. There is no developer portal, no published spec, and no screen in Company Settings that issues a token.
  • No Zapier app. The Zapier listing returns a 404. Searches surface Buildern, a different product with a similar name, which does have one.
  • The Marketplace is the integration path. Buildertrend builds and approves each connection: QuickBooks, Xero, Sage Intacct, HubSpot, Salesforce, Pipedrive, Gusto and The Home Depot. Each is switched on under Company Settings, then Integrations, with a “Consent to Share Data” step. The Home Depot cost catalog pricing sync was retired on July 17, 2026, and receipts still flow.
  • Avoid scraped access. A few vendors sell a “Buildertrend API” or MCP server that works by logging in as you, MFA codes included, and replaying the web app. That hands a third party your client contracts and sub payment data, and it breaks on every UI change.
  • Ask anyway. Request API or MCP access from your Buildertrend rep. The day they provide an endpoint, paste it at carlyassistant.com/integrations and the workflows above gain direct reads. Or book a call and the Carly team maps the integration path with you.

You do not need the API to reach most of what matters, because Buildertrend pushes it out through connections you may already have on:

Frequently asked questions

Does Buildertrend have a public API?

No. There is no developer portal, no documentation site and no self-serve credential. Integrations run through the Buildertrend Marketplace under partner agreements. Ask your rep for access, and connect Carly with whatever they provide.

Can I connect Buildertrend to Zapier?

There is no official Buildertrend app on Zapier. Buildern, a different product, has one, and the two are easy to confuse in search results.

How does Carly work with Buildertrend without an API?

Through the notifications Buildertrend already sends by email, and through the accounting and CRM apps Buildertrend syncs to, which Carly connects to directly. Daily log digests, selection reminders, change order nudges and invoice follow-ups all run on that.

Will Carly connect to the Buildertrend API if I get access?

Yes. Paste the credentials Buildertrend gives you at carlyassistant.com/integrations, and the same workflows read job data directly instead of from the notification.

Ready to automate your busywork?

Carly schedules, researches, and briefs you—so you can focus on what matters.

See what people say

"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.

Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.

On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
