Meeting Invite Template: 8 Copy-Paste Examples (2026)

“Sync” at 2pm is not a meeting invite. It’s a question everyone has to answer by email: what is this, which link, is that my time zone, do I need to be there?

A good invite answers all of it before anyone asks. Copy one of the eight templates below and fill in the brackets.

The quick answer: A meeting invite needs a specific title, the date and time with a time zone, one video link or room, a one-line purpose, a short agenda, any prep, and who’s optional. Put all of it in the calendar event description, not just the email, because the event is what people open five minutes before the meeting. Or skip the typing: CC Carly on the thread, and it finds a time on your calendars, sends the invite with the video link and agenda filled in, and moves it when someone can’t make it.

Two of these matter more than they look. Time zone: Google Calendar and Outlook both show the event in each guest’s local time automatically, but the text you type in the description or email doesn’t convert. “Tuesday at 2” means something different in Denver and Boston, so write the zone. Each template is plain text. Paste it into the event description (or the email, for templates 6 and 8), replace the brackets, and delete any line you don’t need.

Label each item as a decision, discussion or FYI. People prepare differently for “we’re deciding this” than for “here’s an update.”

Write their time zone first if they’re the client. For prospects who’d rather pick a time themselves, send a booking page instead of a fixed slot.

If we can't make a week, we move it rather than cancel it.

Edit the original event rather than deleting it and sending a new one. Guests get an update instead of a cancellation, and the link, notes and attachments carry over. Wording for late cancellations and no-shows is in how to cancel or reschedule a meeting professionally.

Use this for someone senior or new, where dropping an unannounced event on their calendar feels presumptuous. Three options in their time zone close it in one reply.

How to write the event title and description

The title is the only part most people read. It shows up in a crowded week view and a lock-screen notification, both of which cut long titles off, so put the important words first.

For the description, keep this order, top to bottom: the join link (if it isn’t already in the location field), the one-line purpose, the agenda, the prep, then who’s optional. Anyone opening the event on a phone sees the link and the point of the meeting without scrolling.

Two things to check before you send:

  • Use the built-in video button. In Google Calendar, click Add Google Meet video conferencing (on work and school accounts, a Meet link is added automatically once you add guests and save). In Outlook, slide the Teams meeting toggle on. The link then sits in its own field instead of getting lost in the text.
  • Share the attachment, not just the file name. In Google Calendar you attach files from the description box with Add a Google Drive attachment. If guests don’t already have access, Calendar asks how to share it when you save. Pick Save without sharing and guests see the file’s title but can’t open it.

How to send a meeting invite in Google Calendar and Outlook

Google Calendar (computer): click Create, add the title and time, then add guests under Guests. Hover a name and click Mark optional for anyone who doesn’t have to attend. Click Time zone next to the time to set the event in a different zone. Add the video link, the description and any attachments, set Guest permissions, then click Save and send the invitation emails. One catch with external guests: if they’re outside your organization and haven’t interacted with you before, the event may not land on their calendar until they click Yes or Maybe in the invitation email. Ask new contacts to RSVP from the email.

Outlook (new Outlook and Outlook on the web): in Calendar, select New event, add a title, then Invite attendees. On a work or school account, the Scheduling Assistant tab shows everyone’s free and busy time and lets you add required or optional attendees. How far in advance should I send a meeting invite? At least a day ahead for internal meetings, and longer for external meetings or anything with a pre-read. Recurring meetings should go out before the first occurrence so people can protect the slot.

How do I invite people without showing the guest list? In Google Calendar, uncheck “See guest list” under Guest permissions before saving; guests then won’t see each other. In new Outlook and Outlook on the web, choose Response options, then Hide attendee list. Classic Outlook doesn’t have that option, so send separate invites instead.

Should the agenda go in the invite or a separate doc? In the invite for anything short. For a long agenda or running notes, put a three-line summary in the invite and link the doc, shared with all guests.
