Motion AI Review (2026): Is Auto-Scheduling Worth It?

Motion takes your task list, reads each task’s duration, deadline and priority, and places the work into the open gaps on your calendar. When a meeting lands or a deadline moves, it rebuilds the plan.

That one idea has a loyal following. The rest of the product (projects, docs, AI chat, a meeting notetaker, and the “AI Employees” it raised money on) gets a much rougher reception, and so does the billing.

The short verdict: Motion suits one person, or a small team, whose problem is when to do their own work: lots of tasks, hard deadlines, not enough hours. The catch is price (a solo seat is $49 month to month), a plan that keeps reshuffling itself, and a long trail of refund and support complaints. If your calendar pain is coordinating meetings with other people and keeping up with email, Carly is built for that job instead.

What Motion actually does

Auto-scheduling. This is the product. Each task needs a duration plus a deadline or priority; Motion’s help center says tasks without a duration “Cannot be scheduled” and tasks with no deadline or priority “Won’t be scheduled.” It splits long tasks into chunks, works around events marked Busy, and flags anything that can’t fit before its deadline. The same page is candid about the side effect: new meetings or higher-priority work “can make some tasks shift multiple times.”

Projects. Tasks roll up into projects with stages, assignees and dependencies. Business AI adds Gantt timelines, dashboards, time tracking and team capacity planning.

Calendar and booking links. Motion merges your Google, Outlook and iCloud calendars into one view and offers booking pages for other people to pick a time. Work Microsoft 365 accounts commonly hit a “Need admin approval” screen until an IT admin consents for the organization.

AI Chat. Chat can create and update tasks and projects, search docs, and draft or send email. It can only look up calendar events: the help center lists “Calendar Event Search” as “read-only.”

AI Notetaker. A bot joins Zoom, Google Meet or Teams as a visible participant, must be admitted from the waiting room, and produces a transcript, summary and action items. It understands 102 languages but transcribes only in English.

Docs and integrations. Built-in docs and wikis, email forwarding from Gmail or Outlook to turn a message into a scheduled task, Zapier, and a public API.

AI Employees. Motion’s own use-case pages still pitch a roster of named agents such as “Alfred (AI Executive Assistant)” and “Chip (AI Sales Rep)”. But the pricing page no longer lists an AI Employee plan, Motion’s old AI Employees page now redirects to its homepage, and an r/UseMotion user reported in December 2025 that new subscribers couldn’t find the feature. Confirm your plan includes AI Employees before buying for them.

Our read: this is the most consistent theme across platforms. Motion’s terms and cancellation page say purchases are non-refundable, with refunds “at its sole discretion,” so a missed trial deadline on an annual plan is expensive.

Where the product is heading

  • “Motion is launching “AI Employees” and other flashy features that literally nobody asked for, while we still can’t do basic things like: Add reminders to events” (r/UseMotion, November 2025)

Motion pricing in brief

Motion’s pricing page has two tabs, Individuals and Teams, and a billing toggle that defaults to annual (“Save 33%”). The page loads on Teams + annual, which is where the widely quoted $19 figure comes from. Prices as listed on September 28, 2026, per seat per month:

Problems and limits

  • The plan moves under you. One App Store reviewer wrote it “Doesn’t keep any tasks where I move them and moved everything around constantly.” (February 2026)
  • Workplace Outlook can block you. Microsoft 365 needs admin consent. One App Store reviewer said that “Before the 7 days was up I was charged full price subscription and cannot use motion with my workplace email.” (January 2026)
  • Chat can’t add events. Calendar access in Chat is read-only; one reviewer wrote “I wish the AI chat can create events as well instead of just creating tasks.” (App Store, July 2026)
  • Price changes hit existing users. A longtime user called a renewal quote “a stunning 30% increase for me” (r/UseMotion, January 2026).

On security, Motion says it has a SOC 2 audit.

Motion is a planner: it decides when you should write the proposal. It is not built to sit in the email thread where a client and two colleagues are trying to agree on a Thursday. That back-and-forth is where Carly works. You CC it, it checks your Google or Outlook calendars (several accounts at once), proposes times, sends the invite and handles the reschedule when someone drops out.

FAQ

Is Motion worth it? For a single person with a heavy task list who likes an app deciding their day, many users say yes; the auto-scheduler is the reason to pay. At $49 a month for a solo seat billed monthly, it is poor value if you mainly need meetings booked with other people. For that, an email-based assistant like Carly starts at $35/month.

Does Motion have a free plan? No. It has a free trial that asks for billing details at signup, and the paid plan starts automatically unless you cancel first. Motion’s terms say purchases are non-refundable.

Does Motion work with Outlook? Yes. It syncs Outlook calendars on Microsoft 365 and Exchange Online, though work accounts commonly need an IT admin to approve Motion first. Carly also works with Outlook and Microsoft 365 as well as Gmail and Google Workspace.

Can Motion schedule meetings with other people for me? Motion offers booking links that others use to pick a slot. If you want an assistant that joins the email thread, negotiates a time with several people and sends the invite, CC Carly instead, or book a call with the Carly team to see it on your own calendar.

Is Motion safe to use? Motion says it has passed a SOC 2 audit. The bigger risk in user reviews is financial: unexpected annual charges and refused refunds. If you are only testing, cancel in Settings before the trial ends.
