When a practice manager searches “Tebra AI,” they’re usually not asking whether Tebra has AI. They’ve seen the banner in the product and want to know what’s real, what it costs, and whether it covers the part of the day that’s actually drowning them.

Tebra — the platform formed when Kareo and PatientPop merged — has shipped more AI than most practice management vendors its size. That’s the honest starting point, and it changes the shape of this answer compared to the smaller EHRs.

What’s actually in Tebra’s AI Smart Staff

Tebra groups its AI under AI Smart Staff, and it spans four distinct jobs rather than the single scribe most vendors stopped at:

Two things worth flagging about that list before you plan around it.

First, Tebra doesn’t publish AI pricing on its AI page. Note Assist in particular is widely discussed as a per-provider add-on rather than something bundled into a base plan, so treat it as a line item to be quoted, not as included. Get the number in writing before you budget it.

Second — and this is the part that separates Tebra from a Jane or a SimplePractice — Tebra’s AI does reach into front-desk work. The Voice Assistant answering patient calls is genuinely in the territory that other vendors leave entirely alone. Any post telling you Tebra’s AI is charting-only is describing an older version of the product.

The part that still lands on the front desk

So the useful question isn’t “does Tebra do AI.” It’s what remains after those four features, and for a two-to-six-provider practice the leftovers are specific and familiar:

  • The new-patient enquiry that arrived by email at 10:40, not by phone
  • The referring physician’s office that sent a patient over and never got acknowledged
  • The prior-auth follow-up nobody has chased since Tuesday
  • The patient who no-showed last week and hasn’t been called
  • The intake paperwork not returned before Thursday’s first appointment
  • The insurance question sitting in the shared inbox while both front-desk staff are on the phone

Notice the pattern. Tebra’s AI is strong where the work has a channel it owns — the exam room, the phone line, the claim, the review page. It’s absent where the work arrives as email, or where it requires coordinating across the calendar, the inbox, and a referral spreadsheet at once. The AI Voice Assistant picks up the phone; nothing picks up the inbox.

For a practice where one person is running the front desk for four providers, that inbox pile is most of the job.

The API question, answered plainly

This is the crux, and it’s where most advice about automating a Tebra practice gets it wrong in one of two directions.

Tebra does have a real API, and an ordinary practice can get credentials for it. That’s a meaningfully different answer from Jane App or SimplePractice, where the door is closed outright. The Tebra API is a SOAP web service covering patients, appointments, encounters, charges, payments, providers, practices, and procedure codes — read and write. Authentication is three values: username, password, and a customer key.

But the customer key is not self-service, and this is the detail that trips people up. Per Tebra’s own documentation, a System Administrator has to open a Customer Care case to request access before the key is even visible — logged under Product Support, Issue: Product API, Issue Detail: API Inquiry, with a description of what you’re building. Once Tebra grants it, the key appears under Help > Get Customer Key in the desktop application, or through My Account. It’s account-specific, identical for every user on the account, and never expires or rotates.

So: a real API, reachable by a real practice, behind a support ticket and a stated use case. Not partner-only — but not a button you click either. Budget a few days, not a few minutes.

A separate thing exists alongside it, and the two get conflated constantly. Tebra runs a partner program with an API Partner track for integrators, EHR platforms, billing companies, and device vendors, applied for through its partner portal. That’s for companies shipping a product against Tebra, and it comes with its own terms. It is not the path a six-provider clinic takes to automate its own admin.

Two consequences follow from all this:

Neither ChatGPT nor Claude has a Tebra connector. No official one, no community one. The API being SOAP rather than REST makes it an especially poor fit for the connector ecosystem, which has standardized on REST and MCP. There’s no Tebra listing on Zapier either — the HIPAA-focused middleware vendors that do offer Tebra automations are building against that same SOAP API on your behalf.

Anything you wire into that API is carrying PHI. Which brings us to the part worth being blunt about.

Tebra keeps its appointment calendar inside Tebra. There’s no toggle that mirrors your Tebra schedule into Google Calendar or Outlook the way some smaller platforms offer — practices ask about this constantly, and the answer is that it’s integration work against the API rather than a setting.

What most practices have anyway is a working Google or Microsoft 365 calendar sitting alongside Tebra: provider availability, the Wednesday afternoon a physician teaches, admin blocks, staff meetings, the surgical center day.
