How to Connect Multiple Outlook Accounts to ChatGPT Work

ChatGPT’s Outlook app supports shared and delegated mailboxes that the authenticated Microsoft identity already has permission to access. Carly is the answer when the additional mailbox has its own login or tenant.

1. Give each Outlook account a clear tenant label

For example (all addresses are fictional):

Use both the full address and a role such as Main Company or Consulting. That makes the source obvious when the same contact, subject, or project appears in two Outlook accounts.

2. Connect the first Outlook account to Carly

  1. Sign in at carlyassistant.com.
  2. Open carlyassistant.com/integrations.
  3. Find Outlook and click Connect.
  4. Sign in with the first Microsoft 365 identity.
  5. Review and approve access.
  6. Confirm the connected address in Carly.

If Microsoft displays Need admin approval, ask the Entra administrator for that tenant to approve the connection, then finish authorization.

3. Add the other Outlook accounts

Repeat the flow for every independent Microsoft identity:

  1. Return to Carly’s integrations page.
  2. Select Outlook → Connect again.
  3. Choose Use another account if Microsoft preselects the first login.
  4. Sign in to the next Microsoft 365 tenant.
  5. Complete authorization.
  6. Verify the full address before adding another.

Each mailbox keeps its own credentials and permissions. Carly simply makes those named connections available through one ChatGPT plugin.

4. Add Carly to ChatGPT Work

  1. Open Plugins in the ChatGPT sidebar.
  2. Click +.
  3. Paste https://carlyassistant.com/mcp/.
  4. Continue to authorization.
  5. Sign in to the Carly workspace containing the Outlook accounts.
  6. Make Carly available to the Work task.

OpenAI’s Apps in ChatGPT documentation explains that workspace admins can control which plugins and underlying apps are available. If + is disabled, ask the ChatGPT workspace administrator to enable the connection.

5. Keep approval on while testing the mailboxes

For a new multi-account setup, leave the default Important actions approval in place or choose Any changes:

  1. Open the ChatGPT profile menu.
  2. Select Settings → Apps.
  3. Find the app approval preference.
  4. Keep approval enabled for changes.

This lets searches run while making the target Outlook account visible before a send, move, category, or calendar edit.

6. Test each Outlook account read-only

In fictional.daniel.brooks@pepsi.com, list the subject and sender of the five newest unread emails. Do not change anything.

In fictional.daniel.brooks@ford.com, find the latest message about Project Beacon. State the source account and do not draft or send.

Then test both accounts:

Search both example Outlook accounts for meetings titled “Forecast” next week. Include the full mailbox in every row and do not change either calendar.

Once Work returns the correct source every time, start using drafts and other actions.

7. Reuse this Outlook routing prompt

Treat fictional.daniel.brooks@pepsi.com as Main Company and fictional.daniel.brooks@ford.com as Consulting. Always state the target account before changing data. Wait for approval before sends, moves, categories, or calendar changes.

Then name the account again:

Draft the reply from fictional.daniel.brooks@pepsi.com. Do not send yet.

Move the vendor message in fictional.daniel.brooks@ford.com to the Finance folder only.

Check both calendars, but create the approved event on the Main Company calendar.
