How to Manage Multiple Email Accounts With AI
Carly is the simplest way to manage multiple email accounts with one AI assistant. Connect every Gmail and Outlook identity once, give each account a clear name, and Carly can search, summarize, draft, send, organize, and schedule from the right inbox—directly or inside Claude Cowork and ChatGPT Work.
The multi-account problem Carly solves
Most AI email connections work well until you have more than one identity:
- personal Gmail plus company Gmail;
- two Google Workspace accounts;
- work Outlook plus a consulting Microsoft 365 tenant;
- Gmail for personal life and Outlook for work;
- several client inboxes that must stay separate.
Account switching keeps those identities isolated, but it also breaks the task into separate chats and browser sessions. Forwarding everything into one inbox creates copies and loses clean account-level actions.
Carly takes a better approach: the inboxes stay separate, while one account-aware assistant sits above them. You ask for the account you want—or ask across several—and Carly routes the work correctly.
What one AI can do across several inboxes
| Task | Example result |
|---|---|
| Morning briefing | Unread priorities grouped by Personal, Company, and Client |
| Cross-account search | Every renewal thread with a source-account column |
| Drafting | A reply saved in the exact inbox that received the message |
| Sending | An approved email sent from the correct connected address |
| Inbox organization | Labels in Gmail and folders or categories in Outlook |
| Calendar coordination | Availability checked across accounts, event created on one calendar |
| Follow-up tracking | Unanswered threads listed by account and age |
| Recurring workflows | Daily or weekly tasks that keep running through Carly |
1. List the accounts that have separate logins
Connect identities, not every visible address. An alias or shared mailbox may already belong to a primary account; a second Google or Microsoft login is a separate connection.
For example (all addresses are fictional):
| Address | Account role |
|---|---|
[personal Gmail address] | Personal |
fictional.emily.parker@pepsi.com | Main Company |
fictional.claire.thompson@ford.com | Client |
fictional.michael.bennett@cisco.com | Board |
Choose roles that will stay clear later. Main Company, Client, and Board are better than “Email 1,” “Email 2,” and “Email 3.”
2. Connect every Gmail and Outlook identity to Carly
For the first account:
- Sign in at carlyassistant.com.
- Open carlyassistant.com/integrations.
- Find Gmail or Outlook.
- Click Connect.
- Sign in to the account and approve access.
- Verify the full connected address.
Then return to the integrations page and repeat the same flow for each independent account. If Google or Microsoft selects the previous identity automatically, choose Use another account.
The mailboxes remain in Google and Microsoft. Carly stores separate authorized connections and uses the one named in the request.
3. Use the accounts directly or from your favorite AI workspace
Once the accounts are connected, you have three useful options.
Use Carly directly
Email or message Carly for inbox summaries, drafts, follow-ups, scheduling, and ongoing workflows. This is the fastest route when you simply want the work handled.
Use all the accounts in Claude Cowork
In Claude, open Customize → Connectors → + → Add custom connector, paste https://carlyassistant.com/mcp/, and authorize Carly. Enable it in the Cowork task through + → Connectors.
Use these exact guides for provider-specific setup:
Use all the accounts in ChatGPT Work
Open Plugins in ChatGPT’s sidebar, click +, paste https://carlyassistant.com/mcp/, and authorize the Carly workspace.
The detailed guides are:
4. Test one inbox at a time
Begin with read-only prompts:
In
fictional.emily.parker@pepsi.com, list the five newest unread messages. State the source account and do not change anything.
In
fictional.claire.thompson@ford.com, find the latest message about Project Beacon. Do not draft or send.
Then test a combined search:
Search the PepsiCo and Ford example accounts for “renewal” from the last 30 days. Include the full source address in every row.
If every result comes back with the correct account, move on to drafts and organization actions.
5. Reuse one account-routing prompt
Personal, Main Company, Client, and Board are separate email accounts. Always show the full source and target address. Wait for approval before sending, deleting, moving, labeling, categorizing, or changing a calendar.
Then attach an account to the action:
Draft from
fictional.emily.parker@pepsi.com. Do not send yet.
Mark the Project Beacon message in
fictional.claire.thompson@ford.comfor follow-up.
Check every calendar for conflicts, but create the event only on the Main Company calendar.
The role makes everyday prompting quick; the full address makes write actions precise.
6. Turn the best multi-account tasks into workflows
Once routing works, Carly can keep useful tasks running without reopening Claude or ChatGPT:
- send a morning summary grouped by inbox;
- list unanswered messages every Friday;
- prepare drafts in the account that received each thread;
- flag overdue client conversations;
- check several calendars before suggesting meeting times;
- create a weekly cross-account follow-up report.
Carly offers free Zapier-style workflows; AI agents start at $35/month.
Why Carly beats the common workarounds
| Approach | What happens | Carly advantage |
|---|---|---|
| Sign in and out | One account at a time | All connected accounts remain available |
| Use browser profiles | Separate tabs, chats, and context | One task can use several inboxes |
| Forward email | Creates copies in another mailbox | Original accounts stay separate |
| Use a unified inbox app | Central reading interface | AI can also act, schedule, and automate |
| Use one native AI connector | One authenticated identity | Carly supplies the multi-account layer |
Quick fixes for multi-account setup
| Problem | Fix |
|---|---|
| The same account was connected twice | Remove the duplicate and reconnect with Use another account |
| A company login requires approval | Ask the Google Workspace or Microsoft Entra administrator to approve Carly |
| Claude or ChatGPT cannot see Carly | Confirm the connector is installed and enabled for the current task |
| Search returns the wrong inbox | Use the full address and request a source-account column |
| A write action stops for approval | Verify the displayed account, then approve the action if correct |
Frequently asked questions
Can one AI assistant manage Gmail and Outlook together?
Yes. Connect the Gmail and Outlook accounts separately to Carly. Carly can then search or act across both providers directly, from Claude Cowork, or from ChatGPT Work.
Can AI manage work and personal email at the same time?
Yes. Give the accounts distinct Personal and Work roles, keep the inboxes separate, and name the target account on every action.
Do I have to merge or forward the inboxes?
No. Direct connections preserve the original mailbox, folders, labels, calendars, and sending identity. Carly provides one AI layer without moving the email.
What should I automate first?
Start with a read-only daily briefing grouped by account. Once the source routing is correct, add drafts, follow-up tracking, scheduling, and sends.

"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.
Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.
On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
