How to Create a Flowchart in Word (2026)
Word can make a flowchart two ways: SmartArt (fast, auto-arranged) or Shapes (full manual control). SmartArt is best for simple process diagrams; Shapes wins when you need decision branches and exact placement. Here’s both.
1. The Fast Way: SmartArt
- Insert > SmartArt.
- Choose the Process category and pick a layout.
- Click [Text] in each box (or use the Text Pane) to label the steps.
- Use the SmartArt Design tab to Add Shape, change colors, or restyle.
SmartArt keeps everything aligned automatically — great for linear flows.
2. The Flexible Way: Shapes
For decision branches and precise layouts:
- Insert > Shapes and use the Flowchart section (rectangles for steps, diamonds for decisions, ovals for start/end).
- Drag to draw each shape, then click it and type to add a label.
- Copy/paste shapes to keep sizes consistent.
3. Connect Shapes with Arrows That Stay Attached
- Insert > Shapes and pick a Line or Arrow connector.
- Hover over the edge of the first shape until connection dots appear, then drag to a dot on the second shape.
Connected this way, arrows move with the shapes when you reposition them.
4. Align and Tidy Up
- Select multiple shapes (Shift-click each).
- Shape Format > Align > Align Center / Distribute Vertically for even spacing.
- Group everything: select all, right-click > Group, so the chart moves as one object.
Tip: drawing inside Insert > Shapes > New Drawing Canvas keeps the whole flowchart contained.
5. Word for the Web
The web app can insert SmartArt and basic shapes, but connector behavior and alignment tools are limited — build complex flowcharts in the desktop app.
6. Troubleshooting
My arrows detach when I move a box
They weren’t snapped to the shape’s connection points. Delete the line and redraw it edge-to-edge until the connection dots appear.
Shapes won’t line up
Select them and use Shape Format > Align. Turning on View > Gridlines also helps.
The flowchart shifts the document text
Select the shapes (or the drawing canvas) and set Wrap Text to In Front of Text or Top and Bottom.
SmartArt won’t add a decision branch
SmartArt layouts are fixed. For branching logic, switch to manual Shapes.

Carly schedules, researches, and briefs you—so you can focus on what matters.
See what people say
"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.
Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.
On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
