How to Create a Task in HubSpot (2026 Guide)

To create a task in HubSpot, either add it directly from a contact, company, or deal record, or use the dedicated Tasks tool under CRM. You pick a task type (call, email, or to-do), a due date and reminder, and optionally a queue to batch similar work. Tasks are available on every HubSpot plan, including the free CRM.

1. Create a task from a record

The fastest way to create a task is from the record it relates to, because HubSpot associates it automatically.

  1. Go to CRM > Contacts (or Companies / Deals) and open the record.
  2. In the activity timeline at the top, click the Task icon.
  3. Fill in:
    • Title (e.g., “Follow up on pricing question”)
    • Type: Call, Email, or To-do
    • Due date and time
    • Reminder (optional)
  4. Click Save task.

The task is now linked to that contact, company, or deal, and shows in both the record and your central task list.

2. Create a task from the Tasks tool

Use the Tasks tool when you’re planning your day rather than working inside one record.

  1. Go to CRM > Tasks.
  2. Click Create task in the top right.
  3. In the panel, set:
    • Title
    • Type (Call, Email, To-do)
    • Priority (High, Medium, Low)
    • Due date and reminder
    • Assigned to (yourself or a teammate, on paid seats)
    • Associated with: search for the contact, company, or deal to link it
  4. Click Save.

The Tasks home page is where you’ll live day to day, with filters for due date, type, and queue.

3. Choose the right task type

HubSpot has three task types, and the type changes how the task behaves when you open it:

  • Call: opens with the call interface ready, so you can dial (on calling-enabled plans) and log the outcome in one place. See how to log a call in HubSpot.
  • Email: opens the email composer pre-loaded for the associated contact.
  • To-do: a generic action with no special interface, for anything that isn’t a call or email.

Picking the right type means the task opens with the tool you need already in front of you.

4. Set due dates and reminders

  • Due date and time: tasks sort by due date on the Tasks home page, and overdue tasks are flagged in red.
  • Reminder: turn this on to get an email or in-app notification ahead of the due time. You can set the reminder to a custom interval before the due date.
  • Repeat (recurring tasks): on the task panel, set a task to repeat on a schedule so HubSpot recreates it automatically.

5. Use task queues to batch your work

Queues are the feature that makes the Tasks tool worth using. A queue groups similar tasks so you can power through them without context-switching.

  1. On the Tasks home page, click Manage queues > Create queue (e.g., “Morning calls”).
  2. When creating or editing a task, assign it to that queue.
  3. Open the queue and click Start. HubSpot walks you through each task in order, opening the right interface (dialer, composer) for each, and advancing to the next when you complete one.

Queues are available on the free CRM, which makes them one of the better free productivity features in HubSpot.

6. Associate tasks to the right object

A task can be associated with one or more contacts, companies, deals, or tickets. Always associate a task so it appears on the relevant record’s timeline and so reporting stays accurate.

  • From a record, the association is automatic.
  • From the Tasks tool, use the Associated with field to search and link the object.
  • You can associate a single task with multiple records (e.g., a deal and its primary contact).

"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.

Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.

On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
