How to Log a Call in HubSpot (2026 Guide)
To log a call in HubSpot, open the contact, company, or deal, click the Call icon in the activity timeline, and either place the call from HubSpot or log one that already happened. You set the call outcome, add notes, and confirm the associations so the call appears on every related record. Call logging is available on the free CRM; in-app calling minutes and recording depend on your plan.
1. Open the record and start a call entry
- Go to CRM > Contacts (or Companies / Deals) and open the record.
- In the activity timeline near the top, click the Call icon (alongside Note, Email, and Task).
The call panel opens. From here you can either dial through HubSpot or log a call that already took place.
2. Call from HubSpot vs. log a call manually
There are two scenarios:
You want to place the call now (calling from HubSpot):
- With the call panel open, confirm the phone number.
- Click Call to dial through HubSpot’s built-in calling (where available on your plan and region).
- When the call ends, the duration is captured automatically and you fill in the outcome and notes.
The call already happened (logging manually):
- In the call panel, switch to Log call.
- Set the date and time the call actually occurred (so the timeline is accurate).
- Choose the direction: inbound or outbound.
Free and Starter accounts include a limited number of calling minutes per user per month; higher Sales Hub tiers add more minutes and call recording and transcription.
3. Set the call outcome
The outcome dropdown is what makes logged calls useful for reporting. Standard options include:
- Connected
- Left voicemail
- No answer
- Busy
- Wrong number
Pick the one that matches reality. Admins can customize the available outcomes under Settings > Objects > Activities > Call and meeting types. Accurate outcomes feed activity dashboards, so don’t skip this.
4. Add notes and call details
In the call panel body:
- Type call notes summarizing what was discussed and any next steps.
- Set a call type (e.g., discovery, follow-up) if your team uses them.
- Some plans let you log the direction and attach the recording/transcript automatically when you call from HubSpot.
Good notes are what turn a logged call into something a teammate can actually act on later.
5. Associate the call to the right records
A logged call should appear on every record it relates to.
- Logging from a record associates the call to it automatically.
- Use the Associated with field to add or confirm other records, for example, link the call to both the contact and the open deal.
- The logged call then shows on each associated record’s activity timeline.
6. Create a follow-up task before you leave the call
While the details are fresh, set the next step:
- In the call panel (or right after saving), click Create a task.
- Set a due date and reminder so the follow-up doesn’t slip.

"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.
Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.
On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
