How to Sync Work and Personal Google Calendars

Work Google Calendar and personal Google Calendar do not talk to each other. They are different accounts. Overlaying one onto the other is free. Making the work calendar actually busy when you have a personal appointment takes a copy, and the copy is where people leak private titles into a company tenant.

The setup that works for almost everyone: one-way, personal → work, title rewritten to “Busy.” Coworkers stop booking you. The employer does not get the dentist, the recruiter, or the school pickup.

The important row is the one-way copy. The busy blocks are real events on the work calendar. Booking links, Find a time, and coworkers looking at your main calendar all see them.

  1. Connect the personal Google account and the work Google account.
  2. Source = personal primary calendar. Destination = work primary calendar.
  3. Title = Busy (or a template if you want a marker only you recognize).
  4. Strip attendees. Blank description and location.
  5. Show as Busy.
  6. Optional condition: if visibility is private, copy; if it is already a public personal event, you can let the real title through.
  7. Turn it on. Edits and deletes on the personal calendar follow.

Do not add a reverse rule that copies work events onto the personal calendar unless you want work meeting titles in the personal account. One-way is enough.

Overlay, if you only need a view

On the personal calendar: Settings and sharing → Share with specific people → add the work address → See only free/busy.

On the work account the personal calendar appears under Other calendars. Toggle it when you want the picture. Do not use See all event details into a work tenant.

This does not write events onto the work primary calendar. A coworker using Find a time on your work calendar may still see you as free.

Two-way, if you really want it

Two-way is how work titles end up on the personal calendar and personal titles end up at work. Only do it if both sides rewrite to Busy, which is two one-way rules — at which point you are back to Method 1, twice.

What breaks

  • Recurring events. A proper mirror updates the series. Export/import and a Zap that only fires on “new event” do not.
  • Deletes and moves. Same problem. If the tool does not watch for them, the work calendar keeps a ghost busy block.
  • Declined meetings. Decide whether a declined personal invite should still block work. Usually no.
  • Private events. Google’s private flag is not a security boundary once the event has been copied or shared with details. Rewrite the title yourself.
  • Working hours and focus time. Those live on one account. They do not cross. Set them on work. Let the Busy copy handle personal time.

What not to do

Do not merge the accounts. Google will not, and forwarding invites makes you a guest of your own life.

Do not import a full personal ICS into the work calendar. That is a one-time dump of real titles into the company account.

Do not put the personal calendar on a company-managed phone profile if that is how the company backups calendars.
