How to Fix OneDrive Sync Issues (2026)
OneDrive sync problems almost always come from one of a handful of causes: a paused connection, a file that’s too big or wrongly named, a full account, or a corrupted sync database. Work through these fixes in order — the early ones solve most cases in under a minute.
Step 1: Read the Status Icon
Click the OneDrive cloud icon in the taskbar (Windows) or menu bar (Mac). The badge tells you a lot:

Click the icon to see the exact message under the status line — it usually names the problem file.
Step 2: Resume Syncing
OneDrive auto-pauses on metered networks and in battery-saver mode.
- Click the icon > Resume syncing if you see a pause symbol.
- Windows: Settings > Network & internet, and check the connection isn’t set as Metered.
- Laptop: turn off Battery saver, which can suspend background sync.
Step 3: Restart OneDrive
A clean restart clears most transient “sync pending” hangs.
- Click the icon > gear > Quit OneDrive > Close OneDrive.
- Reopen it: Windows Start menu > OneDrive; Mac Applications > OneDrive.
Give it a minute to recheck every file.
Step 4: Check Your Storage
If your OneDrive is full, new files sit at “sync pending” forever.
- Open OneDrive.com and check the storage bar at the bottom-left.
- If it’s full, delete files, empty the Recycle bin (deleted files still count for 30 days), or free up space.
Step 5: Fix the Problem File
OneDrive can’t sync files that break its rules:
- Name too long — the full path must be under 400 characters. Shorten folder or file names.
- Invalid characters — remove
" * : < > ? / \ |from file names. - Reserved names — files named
CON,PRN,AUX,NUL, etc. won’t sync. - File in use — close the app that has the file open (common with Excel/Word).
- Too big — single files must be under 250 GB.
Open the icon’s error message to see which file is stuck, fix it, and sync resumes.
Step 6: Reset OneDrive (the heavy fix)
A reset rebuilds the sync connection without deleting your files. It re-checks everything from scratch — the cure for stubborn “pending” states.
Windows — press Win + R and paste, then Enter:
%localappdata%\Microsoft\OneDrive\onedrive.exe /reset
If you get “Windows cannot find…”, try:
C:\Program Files\Microsoft OneDrive\onedrive.exe /reset
or
C:\Program Files (x86)\Microsoft OneDrive\onedrive.exe /reset
Wait a few minutes. If OneDrive doesn’t reopen on its own, launch it from the Start menu.
Mac — quit OneDrive, then in Terminal:
/Applications/OneDrive.app/Contents/Resources/ResetOneDriveApp.command
(For the standalone Mac App Store version, use ResetOneDriveAppStandalone.command.)
After a reset, OneDrive re-indexes — large accounts can take a while to show “Synced” again.
Step 7: Unlink and Relink
If a reset doesn’t fix it:
- Icon > gear > Settings > Account > Unlink this PC.
- Reopen OneDrive and sign in again.
- Re-select your folders.
Your cloud files are untouched — this just rebuilds the local link.
Troubleshooting
Stuck on “Processing changes” forever
Usually one huge folder or a file that’s open elsewhere. Close any app using OneDrive files, then restart OneDrive. If it persists, reset (Step 6).
”You’re already syncing this account”
A leftover sync registration. Unlink the PC and relink (Step 7).
Red X but no file named
Open Settings > Account and look for a folder flagged with an error, or check OneDrive.com for a storage-full or account-locked notice.
Sync works on the web but not the desktop app
The desktop client is the problem, not your files. Restart, then reset the app. The web always reflects the true cloud state.
