How to Schedule a Meeting in Gmail
Gmail itself has no standalone “schedule a meeting” button — there’s no meeting scheduler living inside your inbox the way Outlook bundles one into its calendar. Instead, Gmail hands meeting scheduling off to Google Calendar and Google Meet, and it gives you a few shortcuts to reach them without leaving your email. Here’s each path: turning an email into a calendar event, using “Set up a time to meet,” and scheduling through the Meet panel.
Turn an email into a meeting (Create event)
The fastest route when you’re replying to someone is to spin the email straight into a calendar invite.
- Open the email from the person you want to meet.
- Click the three-dot menu (More) at the top of the message.
- Select Create event.
- Google Calendar opens a new event with the email’s subject as the title and the sender already added as a guest.
- Set the date and time, click Add Google Meet video conferencing if you want a video link, then Save and Send.
The original email gets attached to the event, so everyone has the context.
Use “Set up a time to meet”
On the right side of an open email, Gmail’s Calendar add-on can suggest times directly in the message.
- With an email open, look at the side panel on the right and open the Google Calendar icon, or use the Set up a time to meet option at the bottom of some messages.
- Click Suggest a time or Offer times you’re free — Gmail pulls open slots from your calendar.
- Pick the times you want to offer (or choose a single slot), and Gmail inserts them into your reply.
- The recipient clicks a time, and the meeting is created on both calendars.

Schedule from the Meet panel in Gmail
Gmail includes a Meet section so you can start or schedule a video call without opening Calendar yourself.
- In Gmail, find the Meet section in the left sidebar (or the Meet icon on mobile).
- Click New meeting.
- Choose Schedule in Google Calendar to set a future time — Calendar opens a new event with Google Meet already attached. Add guests, set the time, and Save.
- Or choose Create a meeting for later to generate a reusable link you can paste into an email and start whenever.
Schedule directly in Google Calendar
Every path above lands you in Google Calendar, and you can always start there:
- Open Google Calendar and click Create > Event (or click a time slot).
- Add a title, date, and time.
- Click Add Google Meet video conferencing to attach a join link.
- Under Add guests, type the email addresses you want to invite.
- Click Save, then Send.

Troubleshooting
There’s no “Create event” option in the email menu
The Create event action sits in the message’s three-dot (More) menu, not the reply bar. If it’s missing entirely, you may be on a Workspace account where an admin has limited Calendar integration — open Google Calendar directly instead.
No “Add Google Meet video conferencing” button
You may be signed in to an account where Meet is turned off, or Meet isn’t your default conferencing tool. Switch to the right Google account, or set Meet as the default in Calendar’s Event settings.
Guests say they never got the invite
Make sure you clicked Save and Send so the invitation actually went out, and that guests open the link with the account you invited. Re-share the event if needed.
The proposed times are in the wrong time zone
