How to Schedule a Zoom Meeting (2026)
Scheduling a Zoom meeting in advance gives everyone a fixed link, time, and dial-in details before the call. You can do it from the desktop app, the web portal, or straight from your calendar. Here’s each route.
Schedule From the Desktop App
- Open the Zoom app and sign in.
- On the Home tab, click the Schedule icon (a calendar).
- Fill in:
- Topic — the meeting name
- Date, start time, and duration
- Time zone and Recurring meeting if it repeats
- Under Security, set a Passcode and toggle Waiting Room.
- Under Calendar, pick Google Calendar, Outlook, or Other Calendars.
- Click Save. Zoom opens your chosen calendar with the invite pre-filled — add guests and send.
Schedule From the Web Portal
- Go to zoom.us and sign in.
- Click Meetings > Schedule a Meeting.
- Set the topic, date, time, and options (registration, passcode, waiting room, alternative hosts).
- Click Save.
- On the next screen, click Copy Invitation to grab the full invite text, or click Add to Google Calendar / Outlook Calendar / Yahoo Calendar.
Schedule Directly From Your Calendar
If you’ve connected Zoom to your calendar, you can skip the Zoom app entirely:

The Zoom link, ID, and passcode are inserted automatically.
Set Up a Recurring Meeting
- While scheduling, tick Recurring meeting.
- Choose the recurrence (daily, weekly, monthly) and an end date.
- The same meeting ID and link are reused for every occurrence — perfect for a weekly standup.
Select No Fixed Time if you want one permanent link people can reuse anytime.
Troubleshooting
My calendar didn’t open after saving
The calendar integration isn’t connected. In the desktop app, Settings > General, or re-run the calendar setup. As a fallback, click Copy Invitation and paste it into a new event manually.
Guests say the passcode doesn’t work
Send the invite link rather than just the meeting ID — the link has the passcode embedded. If you only shared the ID, share the numeric passcode separately.
I need someone to start the meeting without me
Add them as an Alternative host while scheduling (Business plans), or enable Allow join before host in the meeting options.
The time is wrong for attendees in other regions
Double-check the Time zone dropdown when scheduling. The calendar invite converts it automatically for each guest’s local zone.
