How to Sync Outlook with Android (2026)
The cleanest way to get Outlook mail, calendar, and contacts on Android is the Outlook app, which syncs all three automatically. If you’d rather use Android’s built-in apps, you can add the account there too. Both routes are covered below.
1. Sync With the Outlook App (Recommended)
- Install Microsoft Outlook from the Google Play Store.
- Open it and tap Add account.
- Enter your Outlook.com / Microsoft 365 / Exchange email and sign in.
- Grant permission for Calendar and Contacts when prompted.
Mail, calendar, and contacts now sync in one app. To save Outlook contacts into your phone’s address book, go to Settings > your account > Sync Contacts.
2. Sync With Android’s Built-In Apps
You can add your Outlook account to Android system settings so the stock Gmail, Calendar, and Contacts apps show it.
- Open Settings > Passwords & accounts (or Accounts).
- Tap Add account.
- Choose Exchange / Microsoft Exchange for Microsoft 365/work accounts, or Outlook, Hotmail, and Live for personal accounts.
- Sign in and toggle on Mail, Calendar, and Contacts.
Your Outlook calendar then appears in the Google Calendar app, and mail in Gmail.
3. Confirm Calendar and Contacts Are Syncing
- Calendar: Open the Outlook app’s Calendar tab, or the Google Calendar app and check that your Outlook calendar is enabled under Settings.
- Contacts: In the Outlook app, Settings > account > Sync Contacts must be on for them to appear in the phone dialer.
4. Troubleshooting
Email syncs but calendar or contacts don’t
In the Outlook app, open Settings > your account and turn on Sync Contacts (and confirm calendar permission). For the built-in route, recheck the Calendar/Contacts toggles under Accounts.
Sync stopped or is delayed
Open Settings > Apps > Outlook and confirm Background data and battery optimization aren’t blocking it. Set battery usage to Unrestricted.
”Can’t connect to server”
Confirm your password (or app password if 2FA is on), check internet, and remove/re-add the account if it persists.
Duplicate calendar events
You added the account in both the Outlook app and Android system settings. Remove it from one to stop the duplication.

"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.
Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.
On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
