Envelopes flowing from one inbox into three sorting trays beside a chat bubble

Can Claude Manage My Inbox? (2026)

Claude helps with your inbox. It doesn’t run it. With the Gmail connector or the Microsoft 365 connector on, you can ask Claude to find a thread, summarize what happened, draft a reply in your voice and, on Gmail, send it after you approve. Every one of those things happens inside a chat you opened. Close the tab and Claude stops looking. Nothing sorts the overnight mail, nothing flags the one message that can’t wait, and nothing replies while you’re in a meeting.

With Carly, Claude’s work on your inbox keeps running when the chat is closed. Add the Carly connector and Claude can set up rules that fire the moment mail lands, across all of your Gmail and Outlook accounts.

What Claude does with your inbox today

Connect Gmail, or a Microsoft 365 work account, and in a chat you can ask Claude to:

  • Find things. “Pull the thread where Emily sent the revised quote.” “What did the landlord say about the lease renewal?”
  • Summarize. A 40-message thread into five lines, or a week of a client’s mail into what still needs you.
  • Draft. A reply in context, in your voice, that you read before anything happens.
  • Send, on Gmail. The Gmail connector sends, replies and forwards, with your approval on each message and no administrator involved.
  • Run a scheduled task. Claude can check your mail on a clock and leave you a summary.

That’s a capable assistant to consult about your inbox. It is not an assistant that owns it.

Where it stops

Everything above happens because you asked, or because a clock ticked. Claude has no trigger that fires when a message arrives.

Three documented apps is not a stack. ChatGPT's event-triggered tasks are documented for Gmail, Slack and GitHub, plus, since September 29, 2026, whichever other plugins support events, a list OpenAI has not published. Claude's scheduled tasks still run on a clock alone. The CRM, the intake form, the billing system and the calendar are where most work actually starts, and none of them is on a published list. Carly is already watching those, and moves the moment something happens.

In practice that rules out the jobs an inbox manager actually does:

  • Triage as mail lands. Claude won’t sort new mail into urgent, action needed and FYI unless you open a chat and ask about the pile that’s already there.
  • Label or file on its own. It can tell you which Gmail label a message belongs under. It won’t apply it as the message arrives.
  • Reply to routine mail. The standard “yes, Tuesday at 2 works” goes out only when you prompt it.
  • Cover the whole inbox. A scheduled task is a snapshot on a schedule. The hour between runs is unmanaged.

The Microsoft side is tighter still. The Microsoft 365 connector is read-only out of the box, and the write tools that let Claude send or organize Outlook mail are off until a Microsoft Entra administrator consents and your Claude organization turns them on.

The Microsoft 365 connector went from reading to acting, within limits worth knowing. Mail, drafts, calendar events, mailbox settings, OneDrive and SharePoint files and Teams messages are all in scope. Attachments are refused outright, existing organizations start with the write tools blocked until an admin turns them on, and sends are capped per user. Carly sends with attachments, from every account you connect.

What managing an inbox looks like with Carly

Carly connects to every Gmail and Outlook inbox you have, personal and work, and acts the moment something lands. These run as free Zapier-style workflows, and you can turn them on from inside Claude once the Carly connector is added:

  • Text me when an urgent email arrives. A real person waiting on you, a hard deadline or money on the line sends a text to your phone. Routine mail stays quiet. Set it up from Claude.
  • Triage and file every email. Each new message gets one of the Gmail labels or Outlook folders you already use. Anything Carly isn’t sure about is left alone, and nothing is deleted.
  • Draft replies to the emails that need you. Carly reads the whole thread and saves a reply in your voice to Drafts. Newsletters and automated mail are skipped, and nothing sends until you do. Watch the Gmail walkthrough.
  • Trash promotional email. Marketing blasts leave your inbox, and Carly can unsubscribe you too.
  • Get one brief across all your inboxes. Every hour, or every morning, one summary of what came in across every account.

The setup is three steps: connect your inboxes at carlyassistant.com/integrations, click Get the Carly connector, then tell Claude which rule you want. It builds the workflow for you.

Carly also has its own email address and phone number, so clients can email it directly, and it replies, books the meeting and updates your CRM without a chat open. Free Zapier-style workflows; AI agents from $35/month. Get started.

Frequently asked questions

Can Claude manage my Gmail inbox?

It can read, search, summarize, draft and send in one Gmail account when you ask. It can’t label, file or reply to mail as it arrives. For that, add the Carly connector and set up the rule from inside Claude.

Can Claude sort my emails automatically?

Not on its own. Claude has no trigger that fires on a new message, so sorting only happens in a chat you open or on a scheduled task. Carly’s triage workflow applies your existing labels or folders the moment mail lands and leaves anything unclear alone.

Can Claude manage my Outlook inbox?

It can read and summarize Outlook mail through the Microsoft 365 connector on a work account. Sending and organizing need write tools that a Microsoft Entra admin has to enable, and personal Outlook.com addresses can’t connect at all. Carly connects any Outlook account, personal or work, and sends with attachments. See Can Claude access Outlook?

Can Claude manage several inboxes at once?

One Gmail and one Microsoft 365 account. Through Carly, Claude works across all of them in one question. See Can Claude connect to multiple email accounts?

Does Claude reply to emails for me?

Only when you ask, and on Gmail only. Carly can reply to routine mail by your rules, or draft the reply and hold it for you, in Gmail and Outlook alike.

See what people say

"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.

Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.

On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
