Outlook mailboxes from several Microsoft 365 tenants reaching Microsoft Copilot through Carly

Can Copilot Connect to Multiple Outlook Accounts?

No, Copilot cannot answer a question that spans two Outlook mailboxes. Microsoft does ship a feature called multiple account access, and it is real, but it is a licensing bridge for documents rather than mailbox reach: it lets a Copilot license on one account work on the file open in front of you from another. Its own capability table still answers no to reaching the organization’s Microsoft Graph and no to any document that is not the open one.

But with Carly, it can. Add the Carly connector in Copilot and you can use all of your Outlook accounts at once.

Do this instead

  1. Connect each Outlook address at carlyassistant.com/integrations. Every tenant, personal Outlook.com addresses, plus Gmail if you have it.
  2. In Copilot Studio, open Tools → Add a tool → New tool → Model Context Protocol and add https://carlyassistant.com/mcp/ as the server URL. It needs a work or school account and a paid licence, and it is the Microsoft-side route that carries write actions rather than a read-only slice.
  3. Ask across all of them at once:

Check all my Outlook mailboxes for anything about the Q4 renewal and tell me which threads still need a reply today.

The accounts are usable in Carly the moment you connect them, so the mail work starts before anyone touches Copilot Studio. Start free at carlyassistant.com.

Why the account switch does not close the gap

Signing out of one tenant and into another gives you the mailboxes one at a time. It never gives you a single request that holds all of them, so the questions worth asking stay out of reach: one client across every address you own, a morning brief grouped by company, a contract thread in one tenant checked against your records in another.

The switch is also quiet about what it left behind. Ask for every invoice from last month and the answer arrives confidently from the one identity currently signed in, with no hint that the other tenants were never searched. For a consultant sitting inside three client tenants, that is a wrong answer delivered with total confidence.

What you can automate across all of them

Carly does more than widen what Copilot can see. It works the mailboxes while you are elsewhere. Carly watches every account you connect, and work starts the moment mail lands, with nobody watching. A few of the automations you can turn on:

  • Text me when an urgent email arrives. Carly watches all your inboxes and messages your phone the moment something genuinely urgent lands, a real person waiting on you, a hard deadline, or money. Everything routine stays silent.
  • Route by tenant automatically. As mail arrives, Carly decides which client or company a message belongs to, who owns it and how urgent it is, then labels or moves it in the right mailbox.
  • Draft replies to the ones that need a personal answer. Carly reads the full thread and saves a reply in your voice to Drafts for review. Newsletters, alerts and automated mail are skipped.
  • File attachments where they belong. A statement of work arrives, Carly works out which client it is, drops it into the matching SharePoint, OneDrive or Drive folder, and logs it in a sheet.
  • Turn invoices and receipts into accounting entries. Carly parses the PDF, pulls the fields and creates the entry in QuickBooks.
  • Push follow-ups into the tracker you already use. Mail from a sender you choose becomes an Asana, ClickUp, Todoist or Google task with an AI-written title and summary instead of a raw subject line.
  • Acknowledge new conversations automatically. When a real person emails you for the first time on a thread, Carly replies from that account’s own address to say it landed.
  • Log every inbound email to a sheet with sender, subject, category and a one-line summary, across every tenant at once.

Those keep running in every tenant you connect while you are in a meeting or asleep. Carly connects to thousands of apps, so the far end of any of them can be the tools you already pay for.

One limit worth knowing on the Microsoft side: federated connectors added by an administrator in the Microsoft 365 admin center are required to expose read-only tools, which is why the Copilot Studio route above is the one that sends, drafts and files.

What Copilot reaches once Carly is connected

  • All your Outlook mailboxes at once, in a single question, with no reauthorizing between them.
  • Gmail sits right beside Outlook. One connection covers both providers, plus every calendar on both sides.
  • Shared mailboxes are real mailboxes. billing@ or support@ connects as its own mailbox, and Carly replies from it.
  • Personal and work together. Outlook.com addresses and Microsoft 365 tenants connect the same way and sit side by side.
  • It acts on a schedule and on an event, not only when someone opens Copilot.

Frequently asked questions

Can Copilot read two mailboxes at once?

No. Multiple account access is scoped to documents and licensing rather than cross-mailbox questions, and its capability table rules out the organization’s Graph and any document that is not currently open. Connecting each mailbox to Carly is what makes a question spanning several accounts answerable.

What does multiple account access actually do?

It lets you use Copilot access from one account on documents belonging to a different account, in Word, Excel, PowerPoint, Outlook and OneNote. It is always disabled for GCC, GCC High, DoD and 21Vianet customers, and it does not add mailbox reach.

Can I paste a connector URL into Copilot myself?

Copilot exposes no paste-a-URL box to ordinary users on either SKU. A maker adds an MCP server in Copilot Studio, which is the route that carries write actions, and an administrator can add a federated connector in the Microsoft 365 admin center, which is read-only by design.

Can I mix a personal Outlook.com address with work accounts?

Yes, through Carly. Personal addresses and Microsoft 365 tenants authorize the same way and can be connected at the same time.

Can Copilot do something automatically when an email arrives?

Copilot acts when someone asks it to. Carly runs on the arrival of the message itself, which is how the labelling, filing, texting and drafting above happen without anyone watching.

How many Outlook accounts can Carly hold?

As many as you connect. Add a client tenant when the engagement starts and remove it when the work ends, without touching the others.

See what people say

"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.

Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.

On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
