Gemini Can't Access Gmail? 7 Fixes That Actually Work

If Gemini has told you that your source settings or selected tools restrict its access to Gmail, and you have already checked that the toggle is on, you are hitting one of a small number of specific causes. They are all fixable, and the most common one is not a setting at all.

Work through these in order. The first three account for most cases.

1. Name Gmail in the first prompt of the conversation

Google documents this as a requirement: you should explicitly mention “Gmail”, “email”, or the “Google Workspace app” in the first prompt of each conversation. Follow-up questions in the same thread inherit the context, but a brand new chat does not.

This is why the problem looks so random. The same question works in one window and fails in the next, because in the failing one your opening message never named the source. Start the chat with something like “Search my Gmail for the invoice from last month” rather than “find that invoice”.

2. Turn on smart features in Gmail

In Gmail, open Settings, then See all settings, and turn on Smart features in other Google products. Google’s guidance is direct about the follow-up step: turn it on, then reload the Gemini app and try to connect again. Leaving the tab open and retrying tends not to pick up the change.

3. Turn on Keep Activity

This one is in your Google Account activity controls rather than in Gmail, which is why almost nobody finds it. Google states that Gemini cannot connect to Google Workspace when Keep Activity is off. If it is off, the connection will keep failing no matter how many times you re-grant permissions.

4. Check you are signed in to the right Google account

Gemini has to be signed in to the same Google account that owns the mailbox. If you run a personal address and a work Workspace login in the same browser, it is easy to be in the wrong one. Google’s own connection instructions call out signing in to the same account you use with Workspace.

Related, and worth knowing before you try to solve it: the connection holds one identity.

None of the major assistants let one connector carry two accounts at once. ChatGPT, Claude, and Gemini all authorize a single Google identity per connection, and the documented way to reach the other one is to disconnect and sign in again. A question that spans both inboxes cannot be answered in a single conversation.

If permissions were granted once and something drifted, re-authorizing cleanly tends to fix it where toggling does not. Remove Gemini’s access to the Workspace connection, reload the connected apps page, and enable the Google Workspace connection again. The point is to trigger a brand new consent screen rather than reusing a stale grant, so review and accept each scope when it appears.

6. On a work or school account, ask your administrator

A Google Workspace administrator can restrict Gemini’s access to Workspace data. In that configuration the Gemini features themselves keep working, but they cannot use the Workspace data your account can otherwise reach, including your Gmail messages. Nothing you change on your side will override it.

Administrators control this in the Admin console, under the settings governing whether the Gemini app may connect to Workspace services. If you are on a company account and the first five fixes changed nothing, this is almost certainly it.

7. Rule out the browser

Least likely, easiest to test. Open the Gemini app in a private window to isolate the session from cached cookies and extensions, or clear cookies and cache for google.com specifically. If it works in private browsing, the problem is local state rather than permissions.

What still will not work after you fix it

Worth setting expectations, because a fair number of “it still doesn’t work” reports are actually the product behaving as designed.

Through the Gemini app’s Workspace connection, Google states that Gemini summarizes, searches and answers questions about your mail, and does not draft, send or delete email, cannot reach comments or images inside Gmail, and cannot count your messages or manage storage. Drafting lives in Gmail itself through Help me write, which is a separate feature set covered in Gemini in Gmail.

There is also nothing standing behind it. Access is granted for the conversation you are having. No message is read on arrival, and no rule fires when a particular sender writes in.

An inbox connection that stays connected

If the underlying goal was AI that handles your mail rather than answers questions about it, the shape of the tool matters more than the toggles.

Carly is an AI executive assistant that connects to your inbox and calendar and works on triggers, in the cloud:

  • It reads mail when it lands and acts: triage, reply, file, create a task, update the CRM. No chat window required.
  • It drafts and sends real email, attachments included.
  • It holds Gmail and Outlook together, so a work login and a personal one are one assistant rather than a reconnect loop.
  • You describe the outcome in plain English and it interviews you, then builds the workflow with you.

Frequently Asked Questions

What does “your source settings or selected tools restrict my access to Gmail” mean?

It means Gemini could not reach your mailbox for the request. In practice that is usually smart features being off, Keep Activity being off, the wrong Google account being signed in, an administrator policy on a work account, or a first prompt that never mentioned Gmail.

I turned the toggle on and Gemini still cannot see Gmail. What now?

Reload the Gemini app after changing the setting rather than retrying in the open tab, then check Keep Activity in your Google Account activity controls, which is a separate switch from the Gmail one.

Why does Gemini access my Gmail in one chat but not the next?

Because Google requires you to mention Gmail, email, or the Google Workspace app in the first prompt of each new conversation. A chat that never names the source will answer without looking at your mail.

Can my company block Gemini from reading my Gmail?

Yes. A Google Workspace administrator can restrict Gemini’s access to Workspace data, and when they do, the Gemini features still run but cannot use your Gmail messages.

Does re-granting permissions lose anything?

No. Removing access and reconnecting simply produces a fresh consent screen for the same scopes, which is often what clears a stale grant.

"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.

Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.

On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
