A Gmail account and an Outlook account connected to one ChatGPT conversation

Connect Multiple Email Accounts to ChatGPT

ChatGPT’s own apps hold one Gmail and one Outlook at a time, and never two of either, but you can still work across every mailbox you own. Connect each account to Carly, add Carly to ChatGPT once, and a single chat can search or act in whichever inbox you name, Google or Microsoft.

What one chat can do afterwards

  • Search a personal Gmail and a work Outlook in the same question.
  • Compare a thread in one company’s mailbox against another’s.
  • Produce a morning briefing grouped by inbox.
  • Draft or send from the exact address you choose.
  • Label, move, flag or archive in the correct account.
  • Check several calendars for conflicts while writing to only one.

Why account switching does not solve this

The built-in connectors hold one account per provider. ChatGPT, Claude, and Gemini each authorize a single Google identity, and connecting a second one replaces the first rather than adding to it. Switching inboxes means disconnecting and reauthorizing, which is why "personal and work" is still two sessions rather than one.

OpenAI’s account switcher keeps two ChatGPT logins signed in at once, but chats, files, memory and connected apps stay separate along with them. Authorize Gmail on one login and the other still has nothing attached. It keeps work and personal apart. It does not let one question reach both inboxes.

The connector design is the constraint, and OpenAI’s own tracker says so. The open request support multiple named accounts per app/connector notes that “the app/connector model appears oriented around one active connection per provider.” One connector, one account, per provider.

1. Give each mailbox a role

Using fictional addresses:

AddressRole in ChatGPT
fictional.priya.raghunathan@gmail.comPersonal
fictional.priya.raghunathan@kroger.comMain Company
fictional.priya.raghunathan@zoetis.comClient

Names like Personal, Main Company and Client read better in everyday questions than “Gmail 1” and “Outlook 2.” Keep the full address for anything that changes a mailbox.

2. Connect the first mailbox to Carly

  1. Sign in at carlyassistant.com.
  2. Open carlyassistant.com/integrations.
  3. Find Gmail or Outlook and click Connect.
  4. Choose the first account.
  5. Review and approve access.
  6. Confirm the connected address in Carly.

A Google Workspace or Microsoft 365 account may need administrator review. Ask the administrator to approve, then finish authorization.

3. Add the rest of the mailboxes

  1. Return to Carly’s integrations page.
  2. Select Gmail or Outlook and click Connect again.
  3. Choose Use another account if the provider preselects your first login.
  4. Sign in to the next identity.
  5. Complete authorization.
  6. Verify the full address before adding another.

Mix providers freely here. This is the step ChatGPT’s own apps cannot do: a second Gmail sits beside the first, and Outlook sits beside both.

4. Add Carly to ChatGPT

  1. Open Plugins in the ChatGPT sidebar.
  2. Click +.
  3. Paste https://carlyassistant.com/mcp/.
  4. Continue to authorization.
  5. Sign in to the Carly account holding your mailboxes.
  6. Make Carly available to the chat.

Since July 9, 2026 apps ship inside "plugins," listed in one directory spanning ChatGPT and Codex. Existing connections kept working and nothing needed resubmitting; what changed is the packaging and the storefront, not the protocol.

If + is greyed out on a Business or Enterprise workspace, the ChatGPT administrator may need to enable the plugin first.

5. Leave approval on while testing

  1. Open your profile menu.
  2. Select Settings → Apps.
  3. Find the app approval preference.
  4. Keep approval enabled for sends and other changes.

This shows you the target account before a consequential action runs.

6. Test each address read-only

In fictional.priya.raghunathan@kroger.com, list the sender and subject of the five newest unread messages. Do not change anything.

In fictional.priya.raghunathan@zoetis.com, find the newest thread containing “invoice.” State the source account and do not draft or send.

Then a question that crosses providers:

Search the Kroger and personal Gmail example accounts for “renewal” in the last 30 days. Include the full source address on every row.

7. Reuse this routing prompt

Treat fictional.priya.raghunathan@gmail.com as Personal, fictional.priya.raghunathan@kroger.com as Main Company, and fictional.priya.raghunathan@zoetis.com as Client. Always state the target address before changing data. Wait for approval before sends, moves, deletes, labels or calendar changes.

Then name the target every time:

Draft the reply from fictional.priya.raghunathan@kroger.com. Do not send yet.

Archive the newsletter thread in fictional.priya.raghunathan@gmail.com only.

ChatGPT’s own apps versus Carly

ChatGPT’s Gmail and Outlook appsCarly

Outlook accounts at onceOneEvery one you connect
Gmail and Outlook togetherYes, one of eachYes, any number of each
Says which account it usedNot consistentlyOn every action
Sends with attachmentsNoYes
Starts when mail arrivesNoYes

Both assistants can hit send now, with a confirmation step in front of it. ChatGPT covers Gmail and Outlook alike on paid plans. Claude sends, replies and forwards through its Gmail connector, and reaches Outlook through Microsoft 365 write tools that ship off by default.

Carly’s agents also carry their own name, email address and memory, so a colleague or client can write to one directly and the work begins on arrival rather than when you next open a chat. Around the mail sit 260+ native integrations plus your own API key for anything else with an API. AI agents start at $35 a month.

Quick fixes when a mailbox does not appear

  • The provider reused your signed-in account. Choose Use another account on the provider’s screen rather than the suggested profile.
  • A work account stalls at consent. A Google Workspace or Microsoft 365 administrator has to approve before authorization completes.
  • ChatGPT does not see Carly. Reopen Plugins and confirm Carly is enabled for the current chat.
  • The wrong inbox answered. Name the full address in the prompt; roles alone are for reading, addresses are for acting.

Frequently asked questions

Can ChatGPT connect to multiple email accounts?

Its own apps hold one Gmail and one Outlook at a time. Connecting every mailbox to Carly and adding Carly to ChatGPT once lets a single chat reach all of them.

Can ChatGPT connect two Gmail accounts?

Not through its own connector, which authorizes a single Google identity and replaces it when you sign in with a second. Carly holds both at once.

Does switching ChatGPT accounts give me both inboxes?

No. Connected apps are scoped per login, so each account keeps its own connections and no single chat reaches across them.

Will it tell me which account it used?

Through Carly, yes. Every action reports the source address, which is what makes cross-account work safe to trust.

Can it send from the right address?

Yes, and with attachments, from whichever connected mailbox you name.

See what people say

"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.

Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.

On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
