Connect Multiple Email Accounts to ChatGPT Work
ChatGPT Work’s apps hold one Gmail and one Outlook at a time, and never two of either, but a Work run can still reach every mailbox you own. Connect each account to Carly, add Carly to Work once, and a single run can search or act in whichever inbox you name, Google or Microsoft.
What one session can do afterwards
- Search a personal Gmail and a work Outlook in the same question.
- Compare a thread in one company’s mailbox against another’s.
- Produce a morning briefing grouped by inbox.
- Draft or send from the exact address you choose.
- Label, move, flag or archive in the correct account.
- Check several calendars for conflicts while writing to only one.
Why one connector cannot hold both
The built-in connectors hold one account per provider. ChatGPT, Claude, and Gemini each authorize a single Google identity, and connecting a second one replaces the first rather than adding to it. Switching inboxes means disconnecting and reauthorizing, which is why "personal and work" is still two sessions rather than one.
OpenAI’s account switcher keeps two logins signed in at once, but chats, files, memory and connected apps stay separate along with them. Authorize Gmail on one login and the other still has nothing attached.
There is one genuine extra mailbox on the Microsoft side: a shared or delegated Outlook mailbox your connected identity can already open is reachable by passing the owner’s address. That is not a second login, which is exactly why it works, and it does not extend to a second tenant. Independent logins at separate companies are the case the native apps do not cover.
1. Give each mailbox a role
Using fictional addresses:
| Address | Role in ChatGPT Work |
|---|---|
fictional.priya.raghunathan@gmail.com | Personal |
fictional.priya.raghunathan@kroger.com | Main Company |
fictional.priya.raghunathan@zoetis.com | Client |
Names like Personal, Main Company and Client read better in everyday questions than “Gmail 1” and “Outlook 2.” Keep the full address for anything that changes a mailbox.
2. Connect the first mailbox to Carly
- Sign in at carlyassistant.com.
- Open carlyassistant.com/integrations.
- Find Gmail or Outlook and click Connect.
- Choose the first account.
- Review and approve access.
- Confirm the connected address in Carly.
A Google Workspace or Microsoft 365 account may need administrator review. Ask the administrator to approve, then finish authorization.
3. Add the rest of the mailboxes
- Return to Carly’s integrations page.
- Select Gmail or Outlook and click Connect again.
- Choose Use another account if the provider preselects your first login.
- Sign in to the next identity.
- Complete authorization.
- Verify the full address before adding another.
Mix providers freely here. This is the step ChatGPT Work’s own connectors cannot do: a second Gmail sits beside the first, and Outlook sits beside both.
4. Add Carly to ChatGPT Work
- Open Plugins in the sidebar.
- Click +.
- Paste
https://carlyassistant.com/mcp/. - Continue to authorization.
- Sign in to the Carly account holding your mailboxes.
- Make Carly available to the session.
OpenAI's app directory became a plugin directory on July 9, 2026, shared between ChatGPT and Codex. Plugins are packages that can carry apps, skills, or app templates — a repackaging of how things are listed and discovered, not a change to the MCP plumbing underneath.
If + is greyed out on a Business or Enterprise workspace, the administrator may need to enable the plugin first.
5. Leave approval on while testing
- Open your profile menu.
- Select Settings → Apps.
- Find the app approval preference.
- Keep approval enabled for sends and other changes.
This shows you the target account before a consequential action runs.
6. Test each address read-only
In
fictional.priya.raghunathan@kroger.com, list the sender and subject of the five newest unread messages. Do not change anything.
In
fictional.priya.raghunathan@zoetis.com, find the newest thread containing “invoice.” State the source account and do not draft or send.
Then a question that crosses providers:
Search the Kroger and personal Gmail example accounts for “renewal” in the last 30 days. Include the full source address on every row.
7. Reuse this routing prompt
Treat
fictional.priya.raghunathan@gmail.comas Personal,fictional.priya.raghunathan@kroger.comas Main Company, andfictional.priya.raghunathan@zoetis.comas Client. Always state the target address before changing data. Wait for approval before sends, moves, deletes, labels or calendar changes.
Then name the target every time:
Draft the reply from
fictional.priya.raghunathan@kroger.com. Do not send yet.
Archive the newsletter thread in
fictional.priya.raghunathan@gmail.comonly.
ChatGPT Work’s own connectors versus Carly
| ChatGPT Work’s Gmail and Outlook | Carly | |
|---|---|---|
| Gmail accounts at once | One | Every one you connect |
| Outlook accounts at once | One | Every one you connect |
| Gmail and Outlook together | Yes, one of each | Yes, any number of each |
| Says which account it used | Not consistently | On every action |
| Sends with attachments | No | Yes |
| Starts when mail arrives | No | Yes |
Sending is no longer the dividing line it was. ChatGPT sends from either Gmail or Outlook once connected, showing you the draft before it goes. Claude sends from Gmail with no admin involved, and from Microsoft 365 once someone switches the write tools on.
Carly’s agents also carry their own name, email address and memory, so a colleague or client can write to one directly and the work begins on arrival rather than when you next open a session. Around the mail sit 260+ native integrations plus your own API key for anything else with an API. AI agents start at $35 a month.

Quick fixes when a mailbox does not appear
- The provider reused your signed-in account. Choose Use another account on the provider’s screen rather than the suggested profile.
- A work account stalls at consent. A Google Workspace or Microsoft 365 administrator has to approve before authorization completes.
- ChatGPT Work does not see Carly. Reopen Plugins and confirm Carly is enabled for the current run.
- The wrong inbox answered. Name the full address in the prompt; roles alone are for reading, addresses are for acting.
Frequently asked questions
Can ChatGPT Work connect to multiple email accounts?
Its own apps hold one Gmail and one Outlook at a time. Connecting every mailbox to Carly and adding Carly to Work once lets a single run reach all of them.
Can ChatGPT Work connect two Gmail accounts?
Not through its own apps, which authorize a single Google identity and replace it when you sign in with a second. Carly holds both at once.
Can ChatGPT Work read a shared Outlook mailbox?
Yes. Pass the mailbox owner’s address and Work can read, file and send plain-text mail from a shared or delegated mailbox your identity can already open.
Does switching accounts give me both inboxes?
No. Connected apps are scoped per login, so no single run reaches across them.
Will it tell me which account it used?
Through Carly, yes. Every action reports the source address.

See what people say
"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.
Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.
On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
