How to Connect Multiple Gmail Accounts to Copilot

Microsoft Copilot reads Gmail but documents no multi-account setup. Consumer Copilot at copilot.com has a Gmail connector that searches mail, calendar, and contacts. Microsoft 365 Copilot, the paid work product, has no Gmail connector at all. Neither one documents a way to hold two Gmail accounts at the same time. Carly connects each Gmail account separately and keeps them all reachable, so a question that spans two inboxes has somewhere to go.

Which Copilot you have decides everything

The two products share a name and almost nothing else here.

Microsoft lists the consumer connectors plainly: OneDrive, Outlook.com, Google Drive, and Google Gmail, Calendar, Contacts, available “on Copilot.com and on Copilot Mobile (iOS and Android).” On the work side, the Microsoft-built connector gallery carries Google Drive, Google Calendar, and Google Contacts. Gmail is not in it. The only Gmail route into Microsoft 365 Copilot is a partner connector from RheinInsights, which indexes mail for search and is licensed separately.

Why a second Gmail account has nowhere to go

Microsoft’s connector documentation describes one Connect action per service, and the authorization step covers “selecting which account you want to use.” The one place it says “as many as you want” is about different services, not several accounts of one service. Nothing in Microsoft’s documentation either permits or forbids a second Gmail connection, so treat it as undocumented rather than blocked.

The sharper constraint is the sign-in itself. Microsoft states that if you use a personal Microsoft Account to sign in to Copilot, “it must match the account you use for OneDrive or Outlook. If they do not match, Copilot will not be able to retrieve your content.” And on mixing work with personal: “you cannot use Copilot with your personal and work account at the same time.” A second identity is not a second connection, it is a second session.

The Microsoft feature that sounds like the fix

Microsoft ships something called multiple account access, and it is real. If your employer turns it on, you can use a personal Copilot subscription at work. What it bridges is licensing: it lets a Copilot license attached to one account work on the document currently open in front of you from another account. The same documentation still answers No to reaching your organization’s Microsoft Graph and No to questions about any document other than the open one. The cross-mailbox gap is unchanged, so do not read the feature name as multi-inbox support.

1. Give each Gmail account a role

Write the addresses down and assign stable names. For example, all fictional:

Use Personal, Main Company, and Client rather than Gmail 1 and Gmail 2. The roles become shortcuts in prompts while the full address stays the safe choice for anything that writes.

2. Connect every Gmail account to Carly

  1. Sign in at carlyassistant.com.
  2. Open carlyassistant.com/integrations.
  3. Find Gmail and click Connect.
  4. Choose the first Google account and approve the permissions.
  5. Return to the integrations page and select Gmail → Connect again.
  6. Choose Use another account if Google preselects the previous login, then sign in to the next address.
  7. Confirm the full address after each authorization before adding another.

There is no forwarding, no POP import, and no mailbox merge. Each account stays its own connection, which is what makes routing possible.

If Google Workspace shows an administrator review message, ask the Workspace administrator to approve the connection and repeat the authorization.

3. Choose how Copilot reaches Carly

Copilot has no box where an ordinary user pastes a connector URL. There are three honest routes, and which one applies depends on who you are in your tenant.

An administrator adds Carly as a federated connector. In the Microsoft 365 admin center, go to Copilot → Connectors → Gallery → Create a new connector, then under Connect to MCP server select Add and fill in the display name and Base URL. This needs the Global Administrator or AI Administrator role plus a registered Entra SSO or OAuth 2.0 application, and Microsoft documents the connector’s tools as read-only. Federated connectors reached general availability in June 2026 and admin center management shipped in July 2026.

A maker adds Carly in Copilot Studio. Tools → Add a tool → New tool → Model Context Protocol, then fill in server name, description, and server URL, choosing None, API key, or OAuth 2.0 for auth. Only Streamable transport is supported; SSE was dropped in August 2025. Self-installing your own agent needs no approval, but publishing it to the whole organization does.

You work with Carly directly. Carly runs the multi-account mail and calendar work on its own, and the accounts you connected in step 2 are immediately usable there. One trap worth knowing before you try to build this yourself with Power Platform. The Gmail connector there is restricted precisely for free accounts: customers using consumer Gmail addresses ending in @gmail.com or @googlemail.com “can only connect to a limited set of services,” while “customers using Google Workspace accounts are not impacted by this change.” A flow built against a non-compliant service saves in a disabled state.

4. Test each inbox before anything writes

Run one harmless request per account:

In fictional.dana.reyes@pepsi.com, list the subject and sender of the five newest unread messages. Do not change anything.

In fictional.dana.reyes@cisco.com, find the newest thread containing “renewal.” State the source account and do not draft.

Then a combined search:

Search the Pepsi and Cisco example accounts for “invoice” from the last 30 days. Include the full source address in every row.

5. Reuse this routing prompt

Treat fictional.dana.reyes@gmail.com as Personal, fictional.dana.reyes@pepsi.com as Main Company, and fictional.dana.reyes@cisco.com as Client. Always state the target address before changing data. For sends, moves, deletes, labels, or calendar changes, wait for my approval.

Then name the account in each action:

Frequently asked questions

Can Microsoft Copilot connect two Gmail accounts?

Microsoft does not document a way to do it. The consumer connector authorizes one Google account, and the work product has no Gmail connector at all. Connecting each account to Carly keeps several Gmail identities reachable from one place.

Does Microsoft 365 Copilot read Gmail?

Not through any Microsoft-built connector. Google Drive, Calendar, and Contacts are in the gallery; Gmail is not. A partner connector indexes Gmail for search and is licensed separately from Microsoft.

Can I paste a connector URL into Copilot myself?

Copilot exposes no paste-a-URL box to ordinary users. An administrator can add an MCP Base URL in the Microsoft 365 admin center, and a maker can add one in Copilot Studio.

Does Copilot send email from Gmail?

Microsoft documents the consumer Gmail connector as search and read. No send action is documented, and federated connectors on the work side are read-only by design.
