How to Mark an Email as Unread in Outlook (2026 Guide)

Unread status is one of the simplest inbox-triage tools you have — flagging a message unread brings it back to the top of your attention and signals “I still need to deal with this.” The actual steps are straightforward, but the exact clicks and shortcuts shift between the new Outlook, classic Outlook for Windows, Outlook for Mac, and the mobile apps.

Here’s how to mark messages unread (and bulk unread) in every version.


1. New Outlook Desktop & Outlook on the Web

The new Outlook for Windows and Outlook on the web share the same interface, so the steps are identical in both.

Right-click method

  1. In the message list, right-click the email you want to flag.
  2. Select Mark as unread.

Keyboard shortcut

  1. Click the message to select it (or use the arrow keys to highlight it).
  2. Press Ctrl+U.

Press Ctrl+Q on the same message to mark it read again.

Envelope icon in the message list

When you hover over a message row, a small envelope icon appears near the sender’s name. Click it to toggle read/unread without opening the right-click menu. This is the fastest option when you’re sweeping through a list.


2. Classic Outlook for Windows

Classic Outlook uses the same core shortcuts as the new version, with one extra location in the ribbon.

Right-click method

  1. Right-click the message in the inbox.
  2. Choose Mark as Unread.

Keyboard shortcut

  1. Select the message.
  2. Press Ctrl+U to mark unread, or Ctrl+Q to mark read.

Ribbon

  1. Select the message.
  2. On the Home tab, find the Tags group.
  3. Click Unread/Read to toggle the status.

3. Outlook for Mac

The Mac shortcut is different from Windows — it’s one of the few places Microsoft kept the older Entourage-era keystroke.

  1. Select the message in the list.
  2. Press Cmd+Shift+T to toggle read/unread.

You can also:

  • Right-click (or Control-click) the message and choose Mark as Unread.
  • Open the Message menu in the menu bar and click Mark as Unread.

4. Outlook Mobile (iOS and Android)

The Outlook mobile app has two quick gestures for read/unread.

Swipe gesture

  1. Swipe left or right on a message in the inbox list. By default, one of the swipe directions is set to Mark Read/Unread.
  2. If your swipe is set to something else, go to Settings > Swipe Options and assign Mark Read/Unread to the direction you prefer.

Long-press (bulk selection)

  1. Long-press a message to enter selection mode.
  2. Tap each additional message you want to include.
  3. Tap the envelope icon (or the three-dot menu > Mark as Unread) at the top of the screen.

Mark Multiple Emails as Unread

Bulk unread is how you reset a folder after a skim, or surface a batch of messages you want to revisit.

  1. Click the first message in the range.
  2. Shift-click the last message to select everything in between — or Ctrl-click (Cmd-click on Mac) individual messages to pick a non-contiguous set.
  3. Right-click the selection and choose Mark as Unread (or press Ctrl+U / Cmd+Shift+T).

Mark every message in a folder unread

  1. Click any message in the folder.
  2. Press Ctrl+A (Cmd+A on Mac) to select all.
  3. Right-click and choose Mark as Unread.

In classic Outlook, you can also right-click the folder in the folder list and choose Mark All as Read — but there’s no equivalent “Mark All as Unread” option at the folder level, so selecting the messages themselves is the way.


Change When Emails Auto-Mark as Read

Outlook’s default behavior is to mark a message read the moment you click it in the reading pane — which is why messages you meant to come back to sometimes vanish from your unread count. You can change this.

New Outlook & Outlook on the web

  1. Click the Settings gear icon in the top-right.
  2. Go to Mail > Layout.
  3. Scroll to the Mark as read section.
  4. Choose one of:
    • Don’t automatically mark items as read — you have to mark them manually.
    • Mark items as read when viewed in the reading pane — set the delay in seconds.
    • Mark item as read when selection changes — the message stays unread until you click a different one.

Classic Outlook for Windows

  1. Click File > Options.
  2. Open the Mail tab.
  3. Click Reading Pane (near the bottom).
  4. Set the same three options, plus a Wait _ seconds before marking item as read delay.
  5. Click OK.

Outlook for Mac

  1. Open Outlook > Settings from the menu bar.
  2. Click Reading.
  3. Under Mark as read, choose when messages get flagged read.

Setting the delay to 30 seconds (or switching to “when selection changes”) is the easiest way to stop skimmed messages from silently disappearing from your unread count.


Filter by Unread Only

Once you’re using unread as a triage flag, you want to see only the unread messages.

  • New Outlook & web: Click the Filter dropdown above the message list and choose Unread.
  • Classic Outlook for Windows: Click Filter Email > Unread on the Home tab. You can also pin the Unread Mail search folder under Folders > Search Folders > right-click > New Search Folder > Unread mail for one-click access.
  • Outlook for Mac: Click the Filter icon above the message list and select Unread.
  • Mobile: Tap the Filter icon at the top of the inbox and choose Unread.
