Several Gmail and Google Workspace inboxes reaching one ChatGPT Work task

Can ChatGPT Work Connect to Multiple Gmail Accounts?

No, ChatGPT Work cannot connect to multiple Gmail accounts. Gmail is authorized per user against a single Google identity, so signing in with a second Workspace account replaces the first and takes that account’s Calendar and Drive with it.

But with Carly, it can. Add the Carly plugin in ChatGPT Work and you can use all of your Gmail accounts at once.

Do this instead

  1. Connect each Gmail address at carlyassistant.com/integrations. Every Workspace domain, plus Outlook and personal addresses if you have them.
  2. Open the Carly plugin in ChatGPT and add it. On a Business or Enterprise workspace the administrator enables it once for everyone.
  3. Ask across all of them at once:

Check all my inboxes for anything about the Q4 renewal and tell me which threads still need a reply today.

Two signed-in accounts is not one task

ChatGPT’s account switcher keeps two logins available, and each can authorize a different Google identity. Their chats, files, memory, billing and connected apps stay separate, so you end up with two workspaces rather than one Work task that reads both inboxes. It is capped at two, which is already short for anyone running a personal address alongside two Workspace domains.

The reauthorize route is quieter about what it costs. Ask for every invoice from last month and the answer comes back confidently from whichever account is currently connected, with no hint that the others were never searched. In a Work task feeding a client deliverable, that is a wrong answer with a clean audit trail behind it.

The built-in connectors hold one account per provider. ChatGPT, Claude, and Gemini each authorize a single Google identity, and connecting a second one replaces the first rather than adding to it. Switching inboxes means disconnecting and reauthorizing, which is why personal and work is still two sessions rather than one. Carly holds both at once.

What you can automate across all of them

Carly does more than widen what a Work task can see. It works the inboxes while nobody has a task open. Carly watches every account you connect, and work starts the moment mail lands. A few of the automations you can turn on:

  • Text me when an urgent email arrives. Carly watches all your inboxes and messages your phone the moment something genuinely urgent lands, a real person waiting on you, a hard deadline, or money. Everything routine stays silent.
  • Triage, tag and file every email. As mail arrives, Carly decides which label it belongs under, who owns it and how urgent it is, then applies the label in Gmail. It uses labels you already have rather than inventing new ones, and nothing is deleted.
  • Draft replies to the ones that need a personal answer. Carly reads the full thread and saves a reply in your voice to Drafts for review. Newsletters, alerts and automated mail are skipped.
  • Chase a quiet prospect and stop the moment they reply. Three touches at three, seven and fourteen days, called off automatically by any answer.
  • File attachments where they belong. A signed contract arrives, Carly works out which client or project it is, drops it into the matching Drive, Box or Dropbox folder, and logs it in a sheet.
  • Turn invoices and receipts into accounting entries. Carly parses the PDF, pulls the fields and creates the entry in QuickBooks.
  • Push follow-ups into the tracker you already use. Mail from a sender you choose becomes an Asana, ClickUp, Todoist or Notion task with an AI-written title and summary instead of a raw subject line.
  • Open the CRM record from the first enquiry. A new enquiry becomes a person, a company and an open deal in Pipedrive, Attio or HubSpot, and a later pass email moves that deal to Lost with the reason written into the real field.
  • Log every inbound email to a sheet with sender, subject, category and a one-line summary, across every account at once.

Those keep running in every account you connect while the team is in a meeting or asleep. Carly connects to thousands of apps, so the far end of any of them can be the tools the business already pays for.

One thing worth knowing before you set this up: a Google Workspace domain may put the connection through administrator review, and each domain approves independently, so one company’s administrator declining does not block the others.

What ChatGPT Work reaches once Carly is connected

  • All your Gmail accounts at once, in a single Work task, with no reauthorizing between them.
  • Outlook sits right beside Gmail. One connection covers both providers, plus every calendar on both sides.
  • Shared and group inboxes are real mailboxes. billing@ connects as its own mailbox, and Carly replies from it.
  • It sends with attachments. The contract, the invoice, the deck.
  • The routing outlives the task. The same connections keep working when no one has ChatGPT open.

Frequently asked questions

Can one ChatGPT Work task search two Google Workspace domains?

Not natively. Gmail authorizes one Google identity per user, so the second domain replaces the first. Connect them to Carly and a single task reaches all of them.

Does account switching solve this?

No. It keeps two ChatGPT logins signed in, each with its own history, memory and connected apps, and it does not produce one task that reads both inboxes.

Can I mix a personal Gmail address with Workspace accounts?

Yes, through Carly. A company-managed workspace may restrict which domains you can connect natively, and that restriction does not apply to what Carly already holds.

Can ChatGPT Work act on an email the moment it arrives?

Its scheduled tasks run on a clock, so the message that lands at 9:05 waits. Carly runs on the arrival of the mail itself, which is how the labelling, filing, texting and drafting above happen without anyone watching.

Will it tell me which account an answer came from?

Through Carly, yes. Every action reports its source address, which is what makes a cross-account answer worth trusting in a deliverable.

How many Gmail accounts can Carly hold?

As many as you connect. Add a client domain when the engagement starts and remove it when the work ends, without touching the others.

See what people say

"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.

Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.

On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
