Several Microsoft and Google accounts reaching one assistant through a single connector

Microsoft Copilot With Multiple Accounts (2026)

Microsoft ships a feature literally called multiple account access, and it does not do what the name suggests. It is a licensing bridge that lets a Copilot licence from one account work on the document currently open from another. Mailbox reach is a separate question, and the answer there is one account per seat. Carly is where the second account lives.

What multiple account access actually covers

Microsoft’s own capability table is the clearest source on this. The bridge lets a licensed account power Copilot inside a file opened from an unlicensed account. In the same table:

  • Reaching the organization’s Microsoft Graph: no.
  • Answering questions about any document other than the one open in front of you: no.
  • Working across two mailboxes: not something the feature addresses at all.

So the cross-mailbox gap is untouched. A Copilot seat sees the tenant that licensed it, which is why a personal Outlook.com address and a second client tenant both sit outside it.

Two Copilots, and they are not the same product

ProductMail reachSecond account
Copilot at copilot.com, consumerA Gmail connector that searches mail, calendar, and contactsNot documented
Microsoft 365 Copilot, the paid work productThe mailbox of the licensed tenantNot documented
Two Microsoft 365 tenantsThe one that licensed the seatBuy a second seat, get a second Copilot
Work tenant + personal Outlook.comThe work tenantNo

The consumer product has a Gmail connector and the work product does not, which surprises people who assume the paid one is a superset. Neither documents holding two accounts of the same kind at once.

What one instruction should be able to do

The test that separates assistants here is a question that has to touch more than one account at once. “What still needs a reply today?” should return one list covering all of them, not three lists you merge yourself. “Find an hour with Michael next week” should respect the meetings in all of them.

With Carly holding every account, that instruction has somewhere to go:

  • Search work Outlook, the client tenant, and personal Gmail in one pass.
  • Draft or send from the exact address you name.
  • File, label, or archive in the correct account.
  • Book on any connected calendar after clearing every one of them.
  • Keep doing it overnight, so the triage is done when you open the laptop.

Nothing is merged or forwarded. Each account stays its own connection, which is what makes routing by address possible.

1. Connect every account to Carly

  1. Sign in at carlyassistant.com.
  2. Open carlyassistant.com/integrations.
  3. Find Outlook or Gmail, click Connect, and approve access.
  4. Click Connect again for the next account, choosing Use another account if the first login is preselected, and keep going for as many as you want.
  5. Repeat for Calendar on each account that has one.

A Microsoft 365 or Google Workspace account may need administrator review. Ask that administrator to approve the connection, then finish authorization. Each organization approves independently, so one company declining does not block the others.

Carly connects to thousands of apps, so while you are on that page you can add your CRM, files, and anything else you want reachable in the same instruction.

2. Choose how Copilot reaches Carly

Copilot has no box where an ordinary user pastes a connector URL, on either product. Three routes exist, and which applies depends on who you are in your tenant.

Work with Carly directly. The accounts you connected in step 1 are immediately usable, and Carly does the multi-account mail and calendar work on its own. Most readers stop here.

A maker adds Carly in Copilot Studio. This is the Microsoft-side route that carries write actions. Tools → Add a tool → New tool → Model Context Protocol, then supply a server name, a description, and https://carlyassistant.com/mcp/ as the server URL. Only Streamable transport is supported. It needs a work or school account and a paid licence, the trial cannot publish the agent, and what you get is a separate agent rather than Copilot Chat.

An admin adds a federated connector in the Microsoft 365 admin center. Those are read-only, so they answer questions and do not act.

MCP servers wait to be asked. The protocol has no scheduler and no event mechanism, and its maintainers acknowledge that change detection today means polling. An MCP connection can answer a question. It cannot notice something on its own. Carly's workflows are what do that part.

3. Ask for the account you want

Name the address and the work happens there.

Draft the reply from michael.reyes@northwind.com to the newest Varonex thread. Do not send it yet.

Search every connected mailbox for “renewal” in the last 30 days. Include the source address on every row.

Check every connected calendar for conflicts Thursday 1:00 to 4:00 PM Eastern, then book the review at 2:00 on the Northwind calendar only.

Frequently asked questions

Does Copilot’s multiple account access let it read two mailboxes?

No. It lets a Copilot licence from one account work on a document opened from another. Microsoft’s own capability table says it does not reach the organization’s Graph and does not answer questions about anything other than the file open in front of you. Mailbox reach stays one account per seat.

Can one Copilot seat cover two Microsoft 365 tenants?

No. The seat belongs to the tenant that licensed it. Two tenants means two Copilots that share nothing. Carly holds both on one seat: multiple Outlook accounts in Copilot.

Can Copilot read my personal Gmail alongside work Outlook?

The consumer Copilot has a Gmail connector; the licensed Microsoft 365 product does not, and neither holds Gmail and Outlook together as one workload. Carly does: Gmail and Outlook together in Copilot.

Is there a way to add Carly without an admin?

Yes. Work with Carly directly and the accounts are usable straight away. The Copilot Studio route is only needed when the instruction has to originate inside a Microsoft agent.

See what people say

"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.

Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.

On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
