Gemini With Multiple Accounts (2026)
Gemini works with one Google account at a time, and no setting changes that. Its account switcher changes which account Gemini sees, never how many, and the Gemini app has no Microsoft app at all, so Outlook is out of reach on every account type.
Gemini cannot run your work and personal accounts together. Connect all of them to Carly and one assistant handles every inbox and calendar at once.
What Gemini sees natively
| Your setup | What one Gemini chat reaches |
|---|---|
| Two personal Gmail accounts | The one Gemini is signed in to |
| Personal Gmail + work Google Workspace | One of the two |
| Several calendars inside one Google account | All of them, including shared ones |
| Calendars in two Google accounts | One account’s calendars |
| Any Outlook, OneDrive, Teams or SharePoint account | None, on any account type |
| Slack or Notion | None |
Inside the one account it reaches, Gemini does real work: it searches and summarizes Gmail, and books on your primary, secondary and shared calendars. Even there, Google lists inviting people to an event and editing an existing event’s location or description as things it cannot do in your calendar.
Why switching accounts does not fix it
- The switcher swaps, it does not add. Pick another account from your profile picture and Gemini moves to that account’s chats, connected apps and mail. The first account leaves the conversation. Google’s instruction for the Workspace connection is to sign in to the same account you use with Google Workspace, one account at a time.
- Gemini in Gmail sees the mailbox you have open. The side panel inside Gmail drafts, searches and organizes that one inbox. Your other account gets its own panel, which knows nothing about the first.
- Work accounts get a smaller Gemini. On a Workspace account an administrator decides whether Gemini can reach Gmail at all, and Gemini Spark is personal-account only: Google says it “isn’t available if you sign in with a work or school Google Account.”
Two more limits apply on the account Gemini does reach. In a regular chat the Gmail connection finds and summarizes mail, and on a work account Google lists creating an email draft among the things it cannot do. Spark adds replies (with your confirmation) and Gmail monitors that start a task when matching mail arrives, but only on a personal account with Google AI Pro or Ultra, outside the EEA, UK, Switzerland and Nigeria, on that one inbox. Google itself says monitors are “not ideal” for time-critical tasks.
The fix: connect every account to Carly
Carly holds every account you connect, Google and Microsoft side by side.
- Sign in at carlyassistant.com and open carlyassistant.com/integrations.
- Under Accounts, type each email address you use and click Add Email.
- On each address, click Connect Gmail or Connect Outlook, tick what Carly can reach (Email, Calendar, Drive or OneDrive), then click Connect with Google or Connect with Microsoft and grant access. For an address that is already connected, open Manage access and click Connect next to anything missing.
A Workspace or Microsoft 365 account may need its administrator to approve once. Each company approves on its own, so one decline does not block the rest.
Then ask across everything at once:
Check all my inboxes and calendars and tell me what I need to handle before my 2pm.
Check all my calendars for next Tuesday and find a 45-minute slot that’s open on every one of them.
Carly connects to thousands of apps, so Slack, Notion, your CRM and your files can sit on the same list.

Where Carly goes past Gemini
Carly is built for the person with a work account, a personal account and a client or two. It watches every connected mailbox and calendar on its own. When a client emails your business address, a Carly workflow can draft the reply from that account, book the call around every calendar you have, and log it in your CRM before you open a chat window. Booking pages and group scheduling come with it, across unlimited connected calendars.
Carly offers free Zapier-style workflows; AI agents start at $35/month.
Frequently asked questions
Can Gemini use two Google accounts at once?
No. Gemini signs in with one Google account, and the account switcher swaps it for another rather than adding a second. Connect both to Carly and one assistant works across them together. Step-by-step: multiple Gmail accounts in Gemini.
Can I use Gemini for work and personal email at the same time?
Not in one chat. Each account has its own Gemini, with its own chats and connected apps, and on the work side an administrator may have Gmail access switched off. Carly works across both at once.
Does Gemini work with Outlook?
Not in the Gemini app. Its Connected Apps list has no Microsoft app for personal, work or school accounts. Gemini Enterprise, Google’s separate business product, connects Microsoft 365 through an administrator. Carly connects Outlook directly. See multiple Outlook accounts in Gemini.
Can Gemini Spark handle several accounts?
No. Spark runs on the personal Google account you are signed in to, needs Google AI Pro or Ultra, and is not offered on work or school accounts. Its Gmail monitors watch that one inbox.
Can I plug another tool into Gemini to reach my other accounts?
Google lets personal accounts in the US add custom apps, but the feature is unavailable on work and school accounts. If one of your accounts is a work account, Carly runs every account on its own, with no Gemini setup at all.

Set up Carly for me. Carly connects to thousands of apps, from Gmail, Outlook and my calendars to Slack, HubSpot and QuickBooks, and keeps working after this chat is closed: answering email, booking meetings, following up and running workflows the moment something happens.
1. Add the Carly MCP server (https://carlyassistant.com/mcp/) and sign me in. Use the one that matches you:
- Claude Code: claude mcp add --transport http --scope user carly https://carlyassistant.com/mcp/ (then I run /mcp, pick carly, and authenticate)
- Codex: codex mcp add carly --url https://carlyassistant.com/mcp/ then codex mcp login carly
- Claude (claude.ai, Claude Desktop, or Cowork): Customize > Connectors > Add custom connector, paste the URL, and sign in. Carly is also in Claude's connector directory at claude.ai/directory/carly.
- ChatGPT: open Plugins, search for "Carly", add it, and sign in.
- Cursor: add {"mcpServers": {"carly": {"url": "https://carlyassistant.com/mcp/"}}} to ~/.cursor/mcp.json, then sign in to carly from Customize.
- Muse: I will create a Carly API key at carlyassistant.com/integrations (Advanced > API Keys > Create a new key, with Select all scopes). Build a custom connector to https://carlyassistant.com/mcp/ using an API key as a bearer token, and ask me for the key in your secure credential prompt.
- Grok: go to grok.com/connectors, choose New Connector, then Custom, paste the URL, and sign in.
- Grok Bot: open Plugins, add a custom remote MCP server named carly with the URL, then I approve it and sign in.
- Perplexity: Settings > Connectors > Custom connector > Remote, paste the URL, and sign in.
- Anything else: add a remote MCP server (streamable HTTP) named carly with the URL. It signs in with OAuth.
I sign in with my Carly account, or create one at carlyassistant.com.
2. Walk me through connecting my accounts at https://carlyassistant.com/integrations. Under Accounts, I type each email address I use and click Add Email. On each new address, I click Connect Gmail or Connect Outlook, tick what Carly can reach (Email, Calendar, Contacts, Drive or OneDrive), then click Connect with Google or Connect with Microsoft and grant access. For an address that is already connected, I open Manage access and click Connect next to anything missing. Repeat for every address. Then ask which of my other apps I want connected too.
3. Check it worked: list my connected mailboxes and calendars and tell me every account you can see.
4. Then ask me what to hand off first, for example: "Check all my inboxes for anything that needs a reply today."See what people say
"Before Carly, I relied on a Calendly link, but the whole process felt impersonal and not very professional. Carly changed that by handling all the back-and-forth, so I'm no longer stuck in endless email threads trying to line up schedules.
Now Carly reaches out to candidates, shares my real-time availability, lets them pick a slot, then sends a Zoom link and drops it straight into my calendar. She sends reminders to both of us before each call, which has significantly reduced no-shows and last-minute confusion.
On top of scheduling, Carly acts like a full executive assistant, sending me my schedule the night before so I can prepare for each call. It reminds me of the old x.ai assistant, but Carly is noticeably smarter, faster, and better suited to my healthcare recruitment business."
