How to Archive Emails in Gmail (Desktop, Mobile & Bulk)

Archiving in Gmail removes an email from your inbox without deleting it. The message moves to All Mail, where it stays indefinitely and remains fully searchable. It’s Gmail’s primary tool for keeping your inbox clean while preserving everything you might need later.


1. Archive an Email on Desktop

Single email from the inbox list:

  1. Open Gmail.
  2. Hover over the email and click the Archive icon (a box with a downward arrow) that appears on the right side of the row.

Single email from inside the message:

  1. Open the email.
  2. Click the Archive button in the toolbar above the message.

Keyboard shortcut:

  • Select an email (click its checkbox or navigate to it with j/k keys) and press e to archive instantly.

After archiving, Gmail shows a brief notification at the bottom left with an Undo link. Click it if you archived the wrong message.


2. Archive Emails on Mobile

iOS

  1. Open the Gmail app.
  2. From your inbox, swipe right on a message to archive it. You’ll see a green Archive icon as you swipe.
  3. Alternatively, open the email and tap the Archive icon in the top toolbar.

Android

  1. Open the Gmail app.
  2. Swipe left or right on a message in your inbox (the default swipe action is Archive on both directions).
  3. Or open the email and tap the Archive icon in the top toolbar.

On both platforms, a brief Undo toast notification appears at the bottom of the screen after archiving.


3. Where Archived Emails Go

Archived emails are not in a dedicated “Archive” folder. They live in All Mail — Gmail’s master container that holds every email in your account (except Trash and Spam).

When you archive a message, Gmail simply removes the Inbox label from it. The email still retains all other labels you’ve applied, and it still appears in search results.

To browse All Mail:

  • Desktop: Click More in the left sidebar to expand the full label list, then click All Mail.
  • Mobile: Tap the hamburger menu (three lines) and scroll down to All Mail.

4. How to Find Archived Emails

Search (fastest method):

Use Gmail’s search bar at the top. Search by sender, subject, keywords, or date range. Archived emails appear in search results just like inbox emails — there’s no distinction.

Useful search operators for finding archived messages:

  • from:sarah@example.com — emails from a specific person
  • subject:invoice — emails with a specific subject
  • has:attachment older_than:6m — older emails with attachments
  • -in:inbox -in:trash -in:spam — shows only archived emails (not in inbox, trash, or spam)

Browse All Mail:

If you don’t remember enough details to search, open All Mail and scroll. This is less efficient but works when you’re not sure what you’re looking for.


5. How to Unarchive (Move Back to Inbox)

Unarchiving an email means moving it back to your inbox.

Desktop:

  1. Find the archived email via search or All Mail.
  2. Open the email.
  3. Click the Move to Inbox button in the toolbar (an inbox icon with a right arrow).

You can also select multiple emails from All Mail using checkboxes, then click Move to Inbox from the toolbar.

Mobile:

  1. Find the archived email in All Mail or via search.
  2. Open the email.
  3. Tap the three-dot menu (…) in the top right.
  4. Tap Move to Inbox.

The email reappears in your inbox at its original position (sorted by the date it was received, not the date you unarchived it).


6. Archive vs. Delete

Rule of thumb: Archive by default. Only delete emails you’re certain are worthless — newsletters you’ll never reference, spam that slipped through, duplicates. If there’s any chance you’ll need it, archive.


7. Archive vs. Mute

Both archive and mute remove an email from your inbox, but they handle future replies differently.

  • Archive: Removes the conversation from your inbox. If someone replies to the thread, the conversation returns to your inbox.
  • Mute: Removes the conversation from your inbox and keeps it out of your inbox even when new replies arrive. Muted conversations only reappear if you’re added to the To or Cc line directly.

To mute on desktop: Open the email, click the three-dot menu (top right of the message), and select Mute. Or select the email and press m.

To mute on mobile: Open the email, tap the three-dot menu, and tap Mute.

Use mute for long group threads you don’t need to follow. Use archive for individual emails you’ve finished handling.


8. Bulk Archive Old Emails

If you have thousands of old emails cluttering your inbox, you can archive them in bulk on desktop.

  1. In the Gmail search bar, type a query to target old messages. Examples:
    • older_than:1y — everything older than one year
    • older_than:6m in:inbox — inbox emails older than six months
    • before:2025/01/01 in:inbox — inbox emails before a specific date
    • from:notifications@example.com in:inbox — all emails from a particular sender
  2. Press Enter to run the search.
  3. Click the select-all checkbox in the top-left corner of the results. This selects the emails on the current page (up to 50 or 100, depending on your settings).
  4. If there are more results, a banner appears: “All 50 conversations on this page are selected. Select all conversations that match this search.” Click that link.
  5. Click the Archive button in the toolbar.
  6. Confirm if prompted.

This works on hundreds or thousands of emails at once. Give Gmail a minute to process large batches.


9. Customize Swipe Actions on Mobile

If swiping doesn’t archive (or you want to change it to something else), you can customize swipe behavior.

iOS:

  1. Open the Gmail app and tap the hamburger menu.
  2. Tap Settings > Inbox customizations.
  3. Tap Mail swipe actions.
  4. Set Right swipe or Left swipe to Archive.

Android:

  1. Open the Gmail app and tap the hamburger menu.
  2. Tap Settings > General settings.
  3. Tap Swipe actions.
  4. Set your preferred swipe direction to Archive.

You can assign different actions to each direction — for example, swipe right to archive and swipe left to delete.
